  • 1.  Agendas with multiple pre-assigned tracks

    I'm trying to wrap  my head around the best way to set this up in the event app.

    I have a conference made up of three tracks, with thee audience segments attending their own track.  It's automatically selected, they don't pick the sessions.  

    That said, a few sessions will join sessions between the audience segments.   

    Currently, everyone sees all the sessions, and they have to filter to see their session category.   

    Is there a better way to do this, so that the audience segments are only seeing the sessions within their category?

    Hi Jennifer,

    There is some manual back-end labor to this process, but you could definitely assign each group to their sessions rather than use the categories.

    • From the Attendee List, select the attendees for any given segment, then click 'Bulk Actions' at the top right.
    • Click 'Update Session Registrants' from the dropdown.
    • In the pop up window, leave the update selection as 'Register all for a session' then select the session you want to add them to. 

    If you do this for each segment, and then also for the sessions where they are joined up, then everyone will already have their own personal agenda, and you can just hide the 'All Sessions' tab in the app via the page visibility section.

    Hello!

    You can also consider working with admission items or registration types.  You can set up each track as its own admission item, and then assign the necessary sessions to automatically be included with each admission item.  Sessions that are available to everyone can be included on all three admission items.  Alternatively, you can set up a different registration type for each track and then only allow visibility to that tracks' sessions to its registration type.  You can include the registration type widget in your registration process before the session widget, so based on which track (registration item) your registrant chooses, they only see that tracks' sessions.

    I know I'm VERY late to this and you've figured it out - and likely your event has already happened - but for the future, I'd use Admission Items and assign the sessions to the specific admission items. Admission items can be really magical and are a great feature to being able to control your agenda and what people see. It definitely takes a lot of untangling of your people and understanding what they do/don't need to see (and some compromise to be able to assign things right) but usually worth it.

    Hi Leanne,

    Thank you for this tip! I am doing something similar with the admission items and was curious about a setting. When I make these session items that I plan to match to admission items, should I mark the availability as optional or included? I am assuming included, but I wouldn't want these agenda items to show up to users with a different admission item. Thank you for your help!
