  • 1.  Changing email of attendee

    An attendee reached out to have their email changed. When I go to the attendee list, and click edit contact information, I get the error below. However there is no other attendee for the event with the email address I am trying to update it to. Any ideas on how to update the email address? Thanks

    A contact in your address book already has this email address.

    Hi Pritha,

    You can update the attendee's email address by using the Substitute Registrant option:

    1. Go to the Attendee Details page.
    2. Click on the Registration dropdown.
    3. Select Substitute Registrant.
    4. Enter the First Name, Last Name, and the New Email Address.
    5. Click Submit.

    If needed, you can also resend the registration confirmation email to the updated email address.

    Hey Pritha! 

    The information provided by Cvent below is a great way to handle it, however... you should think of the Cvent system as a CRM. When an attendee attends any event, it logs their email along with all their registration information into their contact record. Each time they join another event, it updates their information based on that. If someone wants their email to change completely, the best way is to update their contact record. (Top right, change views to go to contacts). This will update their email for ALL uses of their email so, if they registered for multiple events, then it will change it across all events.

    One other thing to note, if you have a lot of questions during your registration process and you use substitute registrant... it will NOT keep the answers to their questions and they will have go back in and update their registration to include the answers to all of those questions.

    To expand on Michael's response... if you search by the email address in your account-wide contact list, it will show you who is already using that email address.  If you are using email address as your unique identifier it's only going to allow that email to be used once - so 2 people can't use the same email address.
