  • 1.  Guests profile in mobile app

    I am wondering if there is any plan to allow guests to have full profiles in the mobile app. As of now, they can not add a profile picture or connect with others in the app. When I have incentive trips, guests have full agendas and we treat them just the same as a primary attendee. And connecting in the app with others is a big miss. Is there any plan to change this any time soon?

    Thanks for asking this! We do a ton of Incentives and it's made it difficult to do it because, guests need a profile too. The work around I was given was to do "Group" registration instead, but then reporting, housing, flights all become more difficult!

    Agree!  Their app profile does not allow for their flights to up uploaded either.  Fingers crossed the Guest component will be upgraded soon in Attendee Hub.

    I believe Travel details like flight info can be seen in the mobile app if you've enable the travel feature in the event. In the mobile app attendees can find their travel details in the "View Travel Details" Under the Profile tab. Here, attendees can find their air travel information, including flight numbers, departure and arrival times, etc. 

    if you use a travel company for booking (Egencia for example) you can have Cvent set up an integration for you so the bookings can flow into Cvent seamlessly then the attendees can find their travel in the profile section. Otherwise if you can't do an integration you can import the bookings yourself. 

    your Cvent CSA/CSM can assist you with this set up.

    Hey Maggie, 

    Yes, they can be seen but ONLY if you use the Cvent API to import the flights. You unfortunately cannot upload air actuals to a guests registration. It has to upload to the primary registrants information and then cannot be seen by the guest.

    Yes you're correct that only the primary registrant can see that info.  That is a known limitation, among other limitations, related to the guest experience. Please submit that enhancement request to Cvent's product team, who prioritizes frequent requests by users.

    In the meantime, here is a workaround that may help achieve your goal to allow guests their own info and login inside the mobile app: Use Group Reg rather than Guest Reg.

    • Create a "Guest" Reg Type, Admission item, and Reg Path. Associate that Guest Reg Type to the Guest reg path.
    • In the primary registrant's path do not use the "add a guest" widget. Instead, in the path settings allow group registration and designate "guest" as a reg type that can be added as a group member. 
    • This way, when the primary registrant reached the end of his/her registration process, he/she can add another person that can have his/her own registration (admission items), mobile app info/login, and still allow the primary registrant to pay for the group member  ("guest") in his/her own registration.  
    • The guest will get a copy of his/her own registration confirmation, which can be modified separately from the primary registrant.
    • Best Practice Tips for clarity: 
      • Rename the button from "add group member" to "add a guest" so it's clear to the primary registrant. 
      • On all pages of the Guest reg path rename fields with "guest" ("Guest's First Name, Guest's Email, Guest Mobile" etc)

    Heather, thanks for asking this question.

    Maggie, this workaround does sound like it would work for us too. Do the guests need to be part of the invitation list though to be added as group members/"guest" in this scenario? I was thinking that was a reason we opted away from this approach two years ago.
