This roundup highlights recent Cvent Community discussion threads where a Best Answer has been marked. From event duplication and multilingual registration to Attendee Hub configuration and speaker setup, each thread offers a confirmed solution or practical guidance from the Community.

Read on for the key takeaways, then visit the original discussion to see the full question, replies, and marked Best Answer.

Make custom session details clearer in Attendee Hub

If custom session fields appear under About This Session without their headers or labels, this is a current Attendee Hub limitation: the field values display, but the associated field names do not.

A helpful workaround is to include the label directly in the field value. For example, enter Track: Track A instead of Track A. This keeps the information understandable for attendees while a longer-term product enhancement is considered.

Know the limits of audience-segment filtering on the Agenda widget

The Registration Website's Agenda Widget does not support session visibility by Audience Segment. Its visibility control filters by Registration Type only. Public or generic links also do not carry a registration type, so the widget may show all sessions marked Display on Agenda = Yes.

Depending on your setup, consider one of these approaches:

    • Turn off Display on Agenda for sessions that should not appear publicly.

    • Use Registration Type filtering when your audience can be grouped that way.

    • Direct attendees to Attendee Hub, where Audience Segment visibility is respected after registration.

Copy an event strategically when launching a new year

When duplicating a mostly unchanged event, copying the core configuration can save significant setup time. Consider copying:

    • Registration Paths, Admission Items, Fees, and Discounts

    • Sessions and agenda content

    • Exhibitor Portal configuration

    • Attendee Hub content

    • Event emails

    • Speakers and credits

After copying, review event dates, fee deadlines, discount dates, static email copy, hardcoded links, Attendee Hub elements, and exhibitor contacts. If your event website will live on WordPress, use the Registration Weblink from Marketing > Weblinks rather than rebuilding or promoting the copied Cvent event website.

Remember that registered attendees and invitee data do not carry over. Invitation list contacts do not carry over either, social integrations do not copy, and add-ons are copied in a deactivated state.

Upload custom translations through Language Management

Cvent automatically translates default system text, such as button labels, form-field labels, error messages, and standard validation messages. Custom content-including website copy, registration questions, session names, fee names, event titles, data tags, and terms and conditions-must be translated and uploaded by your team.

    To upload translations:

    1. Go to Marketing > Language Management.

    2. Select the language and choose Actions > Export.

    3. Add your translations in the Custom Text or Display Text column without deleting or reordering the header row.

    4. Save the file as .txt, .xls, or .xlsx.

    5. Return to Language Management and choose Actions > Import.

Text added directly through rich-text widgets in Site Designer cannot be imported through the spreadsheet and must be entered manually. Translations are not machine-generated when attendees switch languages.

    Configure OnArrival SSO separately

Cvent Planner SSO and OnArrival SSO are configured separately. If a user can sign in to the Cvent website but cannot sign in to the OnArrival app, complete the OnArrival-specific SSO setup before attempting to log in again.

Remove an unwanted language from a copied event

You cannot remove an event's base language, and default invitation lists cannot be deleted. However, you can prevent registrants from seeing an unwanted language:

    • In Site Designer, remove the Language Selector widget from each applicable registration page or header.

    • To disable the language in the event, delete its invitation list under Emails > Invitation Lists.

    • Then go to Event Information > Edit, uncheck the language under Event Languages, and save.

    Register speakers from the backend

A speaker registration type is a flexible starting point. Once it is configured, speakers can be registered individually from Attendees > Attendee List > Register Invitee or in bulk through Import Registrations. For imports, use Cvent's template and include an email address, which is required.

If planners need to capture the same information used in front-end registration, create Custom Contact Fields under Admin > General > Custom Fields, then add those fields to the relevant registration path. The values can be viewed and edited from the attendee record after registration.

After speakers are registered, they can be invited to the Speaker Resource Center to upload assets and complete assigned tasks.
