Hey, everyone! As a Client Success Manager at Cvent, I'm excited to share the next edition of Tip of the Week here in the Community. I've been working closely with so many of my clients to adapt to virtual and successfully use the Attendee Hub. Therefore, I wanted to dive into a key aspect of your virtual event through the Attendee Hub – virtual sessions!
Below are some important steps I always advise my clients to take to successfully produce a session through the Attendee Hub. For all of these steps, remember there are awesome guides and articles in the Knowledge Base to provide even more detail.
- Configure Videos for Virtual Sessions: To get started, you'll set up your sessions for the Attendee Website in the Attendee Hub.
- Make sure Attendee Hub is enabled for your Flex Registration event under General > Event Features.
- Within the event, begin by enabling your sessions to be virtual with the options of live stream, collaborative, or pre-recorded.
- Within your session, click Edit > Basic Information > Set 'Will this session be virtual?' to Yes > Save these changes.
- This will populate a new Virtual Session tab where you can note if it is live or pre-recorded. This selection will lead to different options, such as Session Type, Video Steaming Tool, or Video Player.
- Test your Connection for Live Streaming: You'll want to make sure if you are live streaming any sessions that you have a stable internet connection.
- Use a free site to test your internet speed.
- Make sure your internet connection is at minimum 1.5Mbps upload speed, but ideally at least 10Mbps.
- Complete a Dry Run for Live Streams: Practice makes perfect. Work with your internal team or Cvent team to complete a dry run before the big day.
- We advise creating a test session in your event titled Dry Run Live Stream 1 and follow the instructions from above to complete the configuration.
- You will then follow the steps as you will for your live event, which would be configuring the virtual session details, registering test attendees, share the URLs with your test hosts and speakers, and run through the entire live stream process.
- On this note, it is extremely important to properly train your speakers, hosts, and moderators to be sure everyone is comfortable navigating through the platform for their session. Refer to these articles on preparing to host or speak at a virtual session for even more insight.
- Be Prepared to Troubleshoot: Even with testing and dry runs, it is always better to be prepared. Here are some of our top articles for troubleshooting assistance.
