  • 1.  Tip of the Week #29: Using OnArrival for your Virtual Event

    Hello, Community! For this edition of Tip of the Week, we wanted to provide some insight into our check-in app, OnArrival. Even in a digital environment, the value of using OnArrival for your virtual event is huge. And by the way, we used many of these features to support Cvent CONNECT Virtual this year!

    How you track your virtual attendance of course does depend on your virtual provider and how exactly your event is structured. Many of our integrations and the Virtual Attendee Hub track your session-level attendance, and then sync back to your Flex registration event. But did you know that can then sync to OnArrival? And what's great here is there have been many enhancements to view active session data and analytics in a quick and easy view through the admin mode of OnArrival.

    First, let's cover the Attendee List redesign. Access this through the OnArrival app and clicking View Attendees on the home screen. Through this list, you can easily browse through your attendees and drill down to what's important to you. You can filter by check-in status, company, registration type, admission item, or those with a balance due. If you don't necessarily need to filter but are looking for a different view, you can also sort your attendee list. Through this list, you can tap into an attendee's record and view additional details in an enhanced layout redesign, as well. This function is handy for both in-person and virtual events to stay in the know on your attendees through the simplicity of your phone or iPad.

    With virtual events comes an entirely new precedent of registration and attendance numbers. We understand how necessary it is to efficiently track your event stats, and OnArrival offers a clean way to do so. With the new Event Stats Dashboard, you can view check-ins over time, overall stats, check-ins by type, and active sessions. For the active sessions, you can view live and past check-in data, real time attendance numbers, and attendee breakdowns. During Cvent CONNECT Virtual, our socially distanced war room had OnArrival on display to track these statistics for every session.

    Looking towards hybrid events, there are a few other functions that you can keep in mind. First, there are new check-in filters in Kiosk Mode for company, registration type, and admission item. You may be keeping capacities in your check-in lines, and a way to control that would be by having designated lines/iPads for your different groups. Another major enhancement is Hands-Free QuickScan, offering contactless check-in and badge-printing in Kiosk Mode without actually touching the kiosk. Both of these will be hugely helpful for the return to in-person events.

    Is there a way as part of it they can check off either like 'i will not hold XYZ company liable if i catch anything' or confirming they haven't experienced any of the symptoms prior to arriving on site?

    Hi Rachel,

    Great question! You can use Check-In Questions if you want the attendee to respond to a question, or Onsite Terms and Conditions if you are requiring a signature or checkbox acknowledgement. As always, be sure to consult your legal team to ensure you are including the necessary language.

    this is all great info! I believe a quick in person scanning process is a great solution and it will promote less physical contact to stay safe

    If you are using the Cvent Virtual Attendee Hub, is there any reason you would/should use CrowdCompass or OnArrival too? Since the platform is robust I can't think of anything, but if there's any overlap I'm missing I'd love to think through additional enhancements for virtual events.

    Hi Stacy,

    Thanks for your note! When using the Virtual Attendee Hub, you do not need to use CrowdCompass, as the Attendee Hub includes the new Event App, however we do encourage you to continue to use OnArrival! 

    The Virtual Attendee Hub syncs your session attendance data back to your Flex event, and while you can review reports within the event, these can be a bit lengthy or time-consuming depending on the number of attendees you are supporting (and with virtual we have all seen attendance numbers grow exponentially). Within OnArrival, the Event Stats Dashboard offers you live attendance stats in a clean and quick manner, all through the ease of your phone or iPad. So, compare it to when you were previously supporting an in-person event: when you are in the moment you likely want a quick view and live data which you can find through OnArrival. Then, at the end of the day/event/post-event period is when you can really dig into the more in-depth reports through the Flex event.

    As something to look forward to for future hybrid events, our onsite product team is actively working on hybrid features that incorporate with onsite in the event app.
