    We know it can be hard to keep up with virtual engagement best practices, social distancing procedures, hotel safety measures, and ultimately what this all means for the future of meetings, events, and hospitality. Cvent is pulling together an industry panel to have an honest discussion among experts in the Meetings & Events and Hospitality Industry at Cvent CONNECT Virtual. The session will be an interview style panel featuring the questions you want to hear.

    Curious what business leaders think about virtual and hybrid events? How are events changing during and what are the expectations for post-pandemic meetings? What measures are hotels taking to ensure safety?     Good morning,

    I would like to see some recommendations or best practices on how to manage a hybrid event. I believe this will be part of our future and we are looking for some guidance and suggestions to assist our hotel partners and the convention center to ensure that we all are able to execute the perfect event.

    We had to quickly pivot to virtual webinars, and it's been such a success that we are intending to do fewer live events once live events can resume.

    I'd like to know what they think the future holds for this industry.  Will virtual events be the new norm?  Will we try to get back to in-person events as soon as possible?

    We are a social organization and waiting to get back to in person events.
    That being said, we host an annual conference in Dallas for +200 attendees where we foot the bill for food, hotel and air travel for almost 100.
    It was decided to go virtual when the outbreak started. Net savings will be close to $150,000.

    I have a monthly zoom meeting where before I was never able to attend because of the distance. Now I can.
    We have board of directors meetings through RIngCentral. In person meeting is a full day event with 3 meals. Plus meals the day before and after.

    They are getting as much accomplished now with shorter RingCentral meetings as they did during a weekend. And we are saving a ton of money.

    In person meetings are valuable, but when you are footing the bill for travel, hotels and food, this will be the new normal.

    Our payment processor told us they were dropping us months ago due to the risk of Covid. There was a risk of a lot of refunds.
    They saw it coming.

    I feel worse for the low-wage employees in the hospitality industry.
    Covid will weed out hotels just as it is killing off restaurants. The ones with the deepest pockets will survive,

    We are not going back to the way it was pre-Covid. Just look at air travel post 9/11. And I see more and more conferences being virtual. Once there is a vaccine, things will change,

    Our company of 11 in house employees is down to 3. with everyone else remote. We have 2 floors. Sometimes I feel like I'm on ghost ship when I walk around.

    And back to the industry, hotels are going to have to be creative to make attendees comfortable. Airlines still don't know what to do.
    How long can one even sit on a Zoom call?
    A big part of the conference are the social networking at night.

    I would like to know how virtual events and those presenting at a virtual event can tackle the issues of attendee engagement. I know over the last few months I have attended many virtual webinars, virtual meet ups and a couple virtual conferences. I find it very easy to multitask with email, calls and project work while virtual sessions are running on my screen. While this is somewhat an issue in an in-person event it is so much more prevalent in the virtual world. This lack of engagement and ease of working on multiple tasks, and your benefit of attending and retention of what is happening in a virtual session is diminished. Obviously I am finding that I do not retain as much information from a one hour virtual conference session, as I would be on-site and attending an hour long session in person. That reduction of engagement and the ability to be easily distracted by other work issues will be a deterrent to those attending virtual only events.

    How do you combat this in a virtual world?

    I got the same error. Then again, I get the same error on my own events. :)
    I don't think you can register for sessions yet.

    Not at this time! You will receive information closer to the event dates about adding sessions to your calendar through our new virtual events solution, the Cvent Virtual Attendee Hub. This will be a new and different experience than adding sessions directly through your Cvent registration.

    I would love to hear what companies are doing for internal/employee events without breaking the bank as virtual event hosting is expensive. Also, how are people preparing for when we start hosting hybrid events?

    I would be interested in hearing their thoughts on engagement during virtual events - specifically networking/education style events (large member luncheons for associations for example).
    When it comes to networking live is king, but seeing as this might not be an option for some time, what unique engagement options have they experienced? Is there anything that goes beyond the polls and the Q&A that is an option to event planners.

    I would like to see how maintaining a strong SMM with the evolving meeting types can be tracked in Cvent. As a third party provider we need to have consistency in reporting, but when the types of meeting we typically report on is changing I want to know how to effectively show trends in reporting.

    I'd like to know what others are doing regarding pricing. We have found that switching to virtual is not cheap, but so many organizations seem to offering free or heavily discounted rates compared to their live events. Our virtual event still has a very high production value and we are pulling out all the stops to make sure it looks and feels that way. But I'm concerned that  the rates we are looking at charging are simply too high for this type of event. At live events our member rate for the full conference starts at $275 and for our virtual we are looking at $200.... Would love others thoughts on this!

    I would like to know what we can expect from venues and hotels when it comes to new policies and procedures staying in place. Does there seem to be new safety measures that will stay in place after we no longer need to worry about this virus? Essentially how will this affect the industry 5 or 10 years down the line?

    We are hoping to find a better solution than the honor system for events that have multiple registrant types in Cvent but where the event delivery platform contains some live, staff-facilitated sessions on Zoom or online learning course modules through the Canvas course platform. How do we assign rights and access levels to our registrants by registrant type in a way where they are the only people who can access the content that is specialized for them/their institution? Content may not be applicable to others, but we do not want access shared. We're ending up in a position where a group leader is registering themselves and 3-4 others from their institution, the group leader and each individual is given access, and either they share it with 8-10 others by forwarding their access email or they all assume that someone else from their group is attending - we end up with either too many people attending a paid event without everyone paying for their access or no one attending an event because they "thought someone else was going to go and report back or record it for them" and then they request a refund after the event.

    I'd like someone to address the best way to leverage Cvent for virtual and hybrid events, and how we may need to pivot further when live events do come back. Also what flexibility do hotels and other venues envision including in their contracts and terms going foward?

    Given the new event landscape, what tips and tricks are there for converting non-profit fundraising events to virtual or hybrid formats? These types of events rely heavily on in-person engagement to generate much needed donation revenue. How can non-profits pivot to the virtual landscape to build events that leverage the same level of engagement success in a virtual/hybrid environment without spending money?
