  • 1.  Tip of the Week #20: Flex Features You Need to Check Out

    Hi, all! For this edition of Tip of the Week, we wanted to bring you up to speed with some awesome features that are only available in Flex events. Now more than ever is a key time to start your migration over from Classic events if you have not already (with the support from your Client Success resource, of course). Our Product Management team has been diligently working on ensuring the features you know and love in Classic are available or will soon be available in Flex, but what about the new functionality that will make your life that much easier? Let's take a look at a few enhancements below. If you are eager to hear more, check out this blog post written by @Tristen Asrejadid showcasing 15 new functionalities!

    • Re-order your registration process: You may be familiar with the more static process in Classic that brings the invitee to fill out their primary details, then further into contact details, moving into item selection, and finally into travel details and payment (maybe with even more added if you use additional features). With Flex, you build the registration process in the back-end Site Designer and construct your process with widgets, therefore you have the flexibility to move those various widgets in the order of your choosing. Some examples would be the "shopping cart" style of choosing your item before entering your contact details, or simply shortening the registration process by collecting all contact details on one streamlined page. When first accessing the Site Designer, the registration process will default the number of pages based on the features you enable (think Sessions, Fees, etc.). To make your updates, you can hover over the widget of your choosing and then select 'Move to another page' from the ellipses. You can also entirely delete a page by clicking the gear icon to the right of the page name, then select the trashcan icon and confirm. This function not only allows you to get creative in your registration workflow, but ultimately gives you the power to simplify your process, leading to more satisfied registrants and less time on everyone's end.
    • Auto-generate a theme from your company logo: Flex offers a more modernized and mobile-responsive website and registration process. With these new looks, it allows you to get even more creative with your design and branding, but with much less work. Not only does Flex not require HTML and CSS Coding, but it has the ability to create a custom color theme based on your company's logo, saving you time from typing in those hex codes, as well as giving you a beautiful website with minimal effort. To use this function, create your Flex event and navigate into the Site Designer for the first time. You will see the Quick Setup theme wizard on the right, and under Logo can click Add Image. Here you can upload your logo, and the Site Designer will automatically update to list your Logo Color Suggestions.
    • Design your emails like you design your site: Speaking of design, you may be thinking of the effort you put into your website in Classic, and then repeating that process for your emails. That is now a task of the past with the new Email Designer in Flex. This designer functions just as the website and registration Site Designer does, and even allows you to copy the websites theme into your emails. Once in the Email Designer, navigate to the Theme menu > Change Theme > Apply Event Theme. Another huge timesaver is applying the Header & Footer to multiple or all emails, rather than you inserting the images into each individual email template.

    As you can tell, there is a ton to check out in Flex, and those were only a few of my favorites.     I would love the ability to add details to the ics calendar files that can be downloaded using the add to calendar widget.  Is there a way to add WebEx information such as links, passwords, dial in numbers, etc.?

    Hi Kim,

    Thanks for your question! With the new Virtual Event feature in Flex events, you can enter an Attendee URL and Attendee Password for your virtual meeting provider, such as Webex. These can then populate through the Add to Calendar widget. Additionally, within the settings of the widget, you can choose to customize the description if you would like to add further instructions/detail rather than use the default event description. 

    Here is a great article walking through the feature and other helpful functionality to make your Flex event fully virtual.

    Thanks Danni - is there a way to to send individualized log in details and passwords to each attendees? As an example some platforms require each person to have their own password.

    Hi Jane,

    You cannot enter the individualized details through the Virtual Event settings, as this applies to overall event information. You could achieve this through Internal Information, which allows you to create a custom field/question, such as Attendee Login and Attendee Password, and then import the responses in bulk to populate for each individual. Once the responses are populated in their invitee records, you can send the attendee this information by using data tags in your Cvent emails.

    Hi, Danni -

    To build on @Kim Abbott  question...Can we now use WebEx data tags to populate information in the ics file from the 'Add to Calendar'​ widget? I remember asking this question about 4-5 years ago when using Classic Events and was told it couldn't be done at the time. I'm wondering if this has since changed?

    As an example, if I entered {[W-MEETING NUMBER]} in the custom description section of the Add to Calendar widget, it wouldn't actually populate the link. Instead, it would just show {[W-MEETING NUMBER]}. If I wanted that information to display, I had to actually type out the WebEx Meeting Number in the description. 

    I hope this makes sense. I'm having difficulty figuring out the best way to describe this. :)

    Hi Sara,

    Let me check into this and send you a direct message with more detail. If I am understanding correctly you utilize the Cvent/Webex integration which populates the various Webex data tags, correct? The virtual event fields are not tied to an integration, but rather allow you to manually input the virtual provider details such as URL and Password. Then, the information in these fields can populate through the Add to Calendar widget, therefore not actually through data tags. 

    Please let me know if I am off here! Otherwise, I will check in with an Integration Specialist about the Webex integration in particular and how to use the Add to Calendar widget seamlessly.
