    Hi, everyone!

    We're back with another Tip of the Week. Next up: Cvent Feedback Surveys. From pre to post event, it's no secret feedback surveys are an essential player to the event planning lifecycle, offering a way to gauge satisfaction to give attendees more of what they want and less of what they don't. With Cvent Feedback Surveys, the process is even easier within a single platform, allowing you to target specific audiences within events or sessions without the need for third-party services.

    Pre-Event: What better way to learn what people want to hear, learn, do, or see than straight from the source? As we all navigate this new normal and strategize what live events may look like in the future, this is the perfect way to not only tailor content, but also determine what precautions attendees expect. Some great questions to include in pre-event surveys for hybrid events might be:

    • If you plan to attend in-person, what are your biggest safety concerns?
    • If you plan to attend in-person, what safety precautions do you expect?
    • If you plan to attend virtually, what engagement tactics you've experienced in the past do you find most enjoyable?


    Post-Event
    : The feedback you receive after your event is essential in determining what elements of your program you need to improve and serves as a vital tool in measuring success. By setting clear survey goals and leveraging net Promotor Scores, post-event surveys are critical in proving your value and ROI. For your virtual and hybrid events, you may consider including questions like:
     

    • If you attended in-person, rate on a scale of 1 to 10 how safe you felt during the event.
    • If you attended in person, what was something we could have done to make you feel safer at the event?
    • If you attended virtually, rate on a scale of 1 to 10 how engaged you felt during the event.
    • If you attended virtually, what are areas of improvement we should consider to make attendance a more engaging experience?


    General Tips & Tricks

    • Eye-Catching Subject Lines: Feedback surveys are only useful if they're completed, so be sure to leverage email subject lines that are sure to guarantee high open rates. Recently, Cvent's own events team decided to play a little trick on our colleagues. For a companywide internal event hosted at Washington, DC's Warner Theatre, the post-event survey email subject line read, "Did you forget something at the theatre?" When employees opened the email, they found that the only thing they forgot was their feedback. We received a lot of laughs and even Cvent's CEO was fooled!
    • Standardization: When considering your total event program, it's important to think of ways to formalize and standardize your surveys with questions and question formats used in all pre and post event surveys. This could be across a certain event type as part of your strategic meetings management or year-over-year for annual events. This standardization allows apples-to-apples comparisons and can more accurately tell a story of improvement or decline across events.
    • Internal and External Event Surveys: Consider all audiences when creating feedback surveys – not just your attendees. This includes sending feedback surveys to sponsors, employees who may have staffed your event, volunteers, etc. It's important to look at each event contributor for a better understanding of your event as a whole.

    We like asking the registrants opinion of the best and least best aspects of the conferences. It allows them to take ownership and have a stake in next year's conference.

    These are great tips as we start seeing fall meetings (potentially) remain as live events.  We're debating how/when to use Inquisium versus Feedback surveys. Does anyone have a preference or success tip for using one versus the other when collecting standardized feedback?

    I have a client who often offers incentives (usually giveaways) to increase survey feedback.   Usually it's just a 'chance to win' but they offer a few prizes rather than just one.

    We tie continuing education credit to completing the survey. In addition to having to answer poll questions during the webinar (to prove they are actually paying attention), they must answer the survey. Then, thanks to how awesome the Cvent software is, they automatically receive their certificate via instant download and email once they submit the survey.

    We setup our post event survey so that our attendees must complete it before they can receive their CE certificate. As our members all need the certificate to report their credits (in order to remain licensed in the state of Texas) this is a great way for us to ensure we get responses to our survey. Our survey participation has increased from 12% to 87% since implementing this setting.
