Zoom is what our Attendee Hub will be using for streaming the live presentations.  That platform is falling far short of expectations.  We'd like to
a green room feature to prep our next speaker but Zoom, within the Attendee Hub environment, just can't provide it, even as a breakout room.

Has anyone had better functionality with another third-party streaming vendor?

    Hi Gene,

Thank you for the feedback. However, we do provide you with the option of a Green Room within Zoom. If its a live stream session, till the time the stream isn't broadcasted, the meeting room acts a green room. However, with that being said can you please confirm when you say "prep new speaker," is that for the same session or a different one?

    Thank you!

By prep, all we mean is to make sure the speaker is ready to go live to the audience.  We'd like to check that his/her slides are in Slide Show mode, make sure audio and video are OK, maybe ask them to change the lighting in the room for a more flattering appearance, and help answer any questions.

Right now we are set up as one day-long session.  Would that not work as you detailed?

    Hi Gene,

    Thanks for your response!

As mentioned above, till the time the stream hasn't been started, you can start the meeting and get the your speakers in and test their audio and video setup. Once you start broadcasting, then it will be visible to the attendees.
With that being said, if it's one session you are building this out as, then we would recommend for you to create another session (name it as Test), close it so that it's not visible to your actual attendees, and use the Zoom meeting details from that one, test everything and then let the speakers go into the actual session to present.

    Best,

    Ritesh

We have returned to multiple session format.  The single all-day approach was too unwieldy to manage speakers.

The problem we're running into now is that we wanted the Host to open a second session, and keep it closed for viewing by the audience, a few minutes before the first session was finished.  In those few minutes of overlap, that second session would be available for one of our staff to meet with the speaker and check that he/she is ready.  When that first session ends, we wanted the Host to end live streaming of that first session and go live with the second one.

What we've unfortunately found out is that Zoom will not allow one person Host have overlapping Zoom meetings, even for a few minutes.  We really don't want to start prep on the second session only after the first session is shut down.  We want the session transitions for the audience to be seamless.

I'm thinking about your suggestion to create a hidden day-long session to serve as a come-and-go green room.  But how would we transfer the speaker to his/her actual session?  Have them leave the Green Room and join his/her session (with speaker URL)?  That would mean that the speaker would have to disengage from one session and join another.  I'd rather not do that to the speaker.  Also, having a session open all day, while the other sessions are coming and going, doesn't sound like it will avoid the overlapping Zoom issues.

    Hi Gene,

Thank you for the additional insight! I appreciate you sharing your use case here.

We do definitely understand your ask here, unfortunately that is the only way to achieve this. The speakers will have to jump out of the Green Room to their actual session in order to present. There is no direct way for a speaker to be in 2 different meetings at the same time, as this is the current function of the Zoom platform.

I have also shared your feedback with your Onboarding Specialist. If you have any further questions, he is happy to assist or set up a strategic discussion.

    Best,

    Ritesh
