    Hello, Cvent Community! Erik Shea here, Senior Product Manager at Cvent, bringing you our new standard event registration, Flex! My colleagues and I will be here in the Open Forum on Thursday, February 11, from 11 am – 12 pm ET to answer all your Flex and product migration questions through this Ask the Expert session.

    To best prepare for this session, I encourage everyone to register for the upcoming Customer Success Groups showcasing product solution evolution on Flex, New Reports, and Access Portals. We will prioritize questions in the Ask the Expert that we do not already address in these sessions.


    As a refresher, Flex was created to be your responsive, intuitive, and *flexible* event registration. Not only does it offer an enhanced experience overall, but it is also crucial to utilize many of our product solutions, such as the new Virtual Attendee Hub.

    I'm unclear how to access the Ask the Experts hour on  Thursday, February 11, from 11 am – 12 pm ET. Do I just head over to the Open Forum to find a link? Also, it was suggested that in preparation for that session, that we register for  upcoming Customer Success Groups, however, when I went to register, this session takes place in March, weeks after the Ask the Experts hour.

    Thanks for your questions, and apologies for any confusion! The Ask the Expert session will take place right on this discussion thread, so you are in the correct spot :). Here is a past Ask the Expert session on Cvent's Virtual Attendee Hub if you want to check out the format in more detail. 

    So, if you have Flex questions for our Product Managers, you can post them here anytime from now until noon on February 11th. You can expect a response from the Flex team during the official live session on the 11th from 11am-12pm EST.

    Regarding the Customer Success Group, for the North America region the series will be split into 3 sessions taking place from February 10th through March. The Flex session is on February 10th, so you can register/attend that and then continue the conversation in the Community the next day.

    This is our first time using Flex and we are finding lots of little glitches in the system during registration process.  One is when adding attendees to registration. We have sponsors that receive up to 25 registrations depending on level of sponsorship. In Classic when registering them, we had the ability to select use same address for each attendee we were adding to the registration.  With sponsorship the company address is used for all the registrations. Now we have to manually enter the same address 25 times for the company registration. This is very inefficient and is taking our team longer to register.  So, my questions are: # 1- will this feature be added to flex? # 2 - how do we report the glitches that need to be fixed?

    We really appreciate this feedback. To answer your first question, yes, we are planning to add the ability to copy address from the primary registrant in Flex events. We understand that this is a valuable time-saver in scenarios where registrants share the same address. Our development teams are still working on effort estimations for this feature, so we cannot provide a specific timeline today, but we will add this to the Flex Features Page in the future so it can be tracked.

     

    For any issues you are encountering during setup or testing, you can reach out to your account team so that they can help provide a resolution or report to the technology team if necessary.

    Hi Team, 

    We are trying to transition from Classic to Flex, however we utilize the group registration and the limited number causes a lot of problems. 
    We have groups of 50+, especially now more congresses have gone virtual, so to expect the group leader to register 5 times with 5 different email addresses cannot be presented to our client and guests as a viable solution. Therefore, we cannot transition. 

    Is there an update planned to increase the group registration limit? 

    If there is not a set timeline for the group limit to be increased, does the team have any suggestions on how to work around this?

    Our development team is currently working on performance enhancements that will allow us to increase the maximum group member limit in Flex events. For this increase, we are in the final stages of testing and expect to increase this limit within the next week. We are aiming for the new maximum group member limit of 100 members per group. As with any feature improvement, this timeline is subject to change, but this is a top priority and we are very close to release. Once the limit is increased, we will update the limit listing on the Flex Features Page.

    Good morning,

    I have 2 questions for the experts, please:

    1. Is there any way to change the working on the color selection in Themes? Every time I create a website, I end up with pop-up boxes in dark colors and text (or vice versa), and have to go through the entire website to make color changes individually. Can the colors be listed as Color 1 (Headlines), Color 2 (text). Color 3 (background), etc.? That would be way more helpful in creating my events. Thank you,

    2. We are planning a hybrid event in May, and after several (MANY) calls to the Help Desk, we were still unable to have 2 separate agendas listed on our Agenda page on our event website. None of the current settings allowed us to offer separate agendas on one page; we ended up creating our agendas on another company website and linked them to our event website in Cvent. Moving forward, will we be able to create agendas for different registration types that don't involve using a dropdown box??

    Hi Jodi,

    As part of our early adopter phase we experimented with having colors named based on how they're used (Primary, Text, etc), but decided to simply number them (1-5). The main reason we made our colors generic was to better facilitate the flexibility for how colors can be used. There may be cases where a color is used for a background in one area of the site, but is used as text in other areas. However we are exploring ways to better allow users to express their own design rules, whether by having custom names for colors or providing descriptions to their custom themes. We'll definitely consider your feedback in designing those features.

    While the website does allow multiple agenda to be added to the website, there isn't currently the ability to pre-filter the sessions that are shown in each agenda. That is something we are considering as we continue making improvements to our agenda widget as part of an ongoing project to provide a better website agenda experience.

    Thank you for your question. At this time we don't have plans to create libraries for footers for site or email in Flex. However, you can always submit your ideas for features not currently on the roadmap through the Ideas page here in the Community. Customers can "up-vote" ideas that they would like to see, and we review these regularly to stay in touch with the enhancements that are frequently requested.

    1. Are there any updates pertaining to the waitlist function being able to be controlled by registration type?  You can already set a capacity limit on each registration type but from what I can see the waitlist only triggers upon full event capacity. I see listed is waitlist automation but more specifically is it by type?

    2. Will there or is there the ability to copy staff on event emails sent out automatically?  It would be great if you indicate the staff and they are copied on communications as if they were registered. 

    3.  The ability to create events and emails from templates is great.  Will there ever be the ability to use templates and edit them in the design view instead of code only?

    Thanks Jennifer,

    1. This is excellent feedback and definitely something we're considering as a future update. There will be a lot of nuances to consider for this project so we are still very much in the research phase. While this is feedback we've heard from many customers, it is still a good idea to add and upvote this in the Ideas section of the community so we can continue to track the level of interest as we evaluate our future priorities. 

    2. The best way to handle this today is to add the staff member's email address in the Additional Recipients (under Advanced Settings in your email). We can evaluate adding staff members to the dropdown in the future.

    3. Allowing account email templates to be created in admin using the Flex designer is something we're evaluating as a future enhancement, but do not have a timeline to share at this point. This would be another great addition to the Ideas section in the community as this is a request that is likely to resonate with other users.

    Thanks for your question. These are both definitely common enhancement requests we've heard. We are actively looking into the best solution for the media library user permissions and the possibility of sub-folders, and will update the features page when we have a better idea of when this is planned for the future.

    Hello,
    Is there any work arounds to invitation forwarding for Flex events until this becomes available?  I don't see that feature offered just yet and I have an upcoming event where I'll have two registration types - private (uploading an invite list) and public (for those who got the invite forwarded) In Classic, you could "turn on" this feature and invitees could forward their invitation to a colleague to register without overriding their current registration. 
    Any insights would be greatly appreciated!

    Hi Jenn,

    Unfortunately there is not a great alternative solution to using Invitation Forwarding in Flex. It is expected to be released in the second quarter of 2021. One option you could utilize is sending a generic invitation email via Cvent where you do not use data tags to populate personal information and replace the "RSVP Yes" with a public Weblink. This way your attendees could forward the invitation to others outside of Cvent.

    Our team is wondering about best practices and recommendations for handling reg type assignments.  We used to do it by invitation list, however, due to Contact Types being assigned by planners outside of our team, but with the same account, that is no longer working and people are defaulting into the No Registration Type. 
    We were told by CVENT Support to use different custom links for each registration type to assign them that way.  None of our invites go out from CVENT as they typically require at least a portion of public registration access for certain reg types, so there is a very high chance of attendees receiving or clicking on the wrong link due to forwarded invites. 
    This can have a rather large impact, especially on our bigger events with multiple registration types, some with specific limitations regarding payment options, questions, travel rules, and capacity restrictions. 
    What are your recommendations for best practices to avoid people clicking on the wrong links or us being able to default them another way?

    Hi Leah,

    Registration type assignment practices can vary widely based on each event's situation. Generally keeping things simple is better, but that's not always manageable. Ultimately your Cvent support team will be able to provide the best insight into what is best for your situation, but there are two features that you might want to explore.

    The first is registration type custom logic. Using that feature you can set up rules per registration path to make sure users are assigned the right registration type. These rules can be very elaborate, or very simple, but are useful in acting as a catch-all solution. You can read more about that here.

    The second is registration path weblinks. By using those types of custom weblinks instead of the ones that assign registration type, users will still start off on the right path, but not have a type assigned to them yet. So if their invitation list or contact type determines that they need to get a different registration type, they can be assigned that type appropriately. More details on the two weblink types can be found here.

    As you continue to explore which solutions work best for you, if you have an new solution in mind please let us know through our ideas page. We'd love to continue getting your feedback.

    Even though the option wasn't available in Classic and not available in Flex, are there any plans to have the ability to edit the audience for an email? It would be nice to change the parameters just a bit or select a different audience for a particular email.

    Thank you for your question. At this time we don't have plans to allow the audience to be changed once an email is created.     With that said, as an alternative, when manually sending the email you can click "Advanced Settings" which will allow you to change the statuses or criteria of your email's intended audience and search for attendees. You can also create additional custom emails with the audience type of your choosing if you prefer.

    Not sure if this works for you or is exactly what you are asking, but my work around for when I need to send emails to attendees who are not on the invitation list of an email they need to receive (i.e. they are a partner but need a dealer email) is to go to invitees/registrants and use bulk actions which allows me to send them any email that I have set up. I can also do an advanced filter if there are multiple attendees who need an email from a different invitation list.

    Is there any way to filter events that are built in Classic and those built in Flex in my View or in a report?  Right now, the only way I can tell this is to open the event and look on the Registration tab.  
    We are an enterprise customer with nearly 10 teams using the system and it would be very helpful to me as the sys admin to be able to quickly see how many events are being built in Flex - especially in these last few month leading up to the sunset date for Classic.

    Hi Suzie, 

    At this time there is not a way to filter events built in Classic and those built in Flex. How to tell a Classic event from Flex event has been submitted as an Idea for a product enhancement.  If you would like to see this implemented, please log in to upvote that idea.

    Additionally, customers have shared within the Community a couple of workarounds they have found to delineate between Flex events and classic events. I have linked to those below.

    Hello, 

    We are preparing to transition from classic to flex. We are now working on re-creating our classic event templates in Flex and I have  few questions I would like to ask:

    1) Flex registration with multiple languages -
    • Can you explain in what ways is setting up multi - language registration in flex different from Classic?
    • We have invitation lists in different languages. We want to make sure, that when we send invitation email from say German invitation list, clicking "Yes" will send the invitee to German version of the registration pages. Do we need to change the {[E-RSVP YES LINK]} data tag in some way to do that? 

    2) Visibility logic in registration pages for Text widget  - in Classic registration it is possible to use visibility logic on text (html presentation in classic) and also to use text as a subquestion.  This is not possible in Flex at the moment - are you planning to change this? If so, do you have a timeline for it?
    We have a number of disclaimers that we need to display to specific registration types only.  And because we have a large number of registration types associated to one registration path we would like to avoid setting up separate registration path for each registration type just to limit the disclaimer visibility. 
     (But just in case I would also like to ask if there is a limit on number of registratin paths that we can have in flex event.) 

    3) Registration path settings - using custom logic to assign registration types -  is there a limit on number of Conditions we can create to assign the reg. types?

    Hi Jitka,

    1) There are a few key differences to keep in mind when setting up a multi-language event in Flex. These updates were made in response to customer feedback collected from Classic multi-language users:

    - While Classic required a separate website version to be maintained for each language, Flex allows all languages to be managed on a single website and simply replaces the text depending on the visitor's assigned language.
    - Classic did not allow new languages to be enabled once an event has been launched while Flex allows you to enable additional languages at any time.
    - Classic did not allow custom website text (added directly to page) to be translated via export/import, but Flex allows you to handle all translations via export/import, including text widget text. A notable exception to this is that handling custom formatting within a text widget translation must be done in the language management grid.

    - To answer your question about invitation lists, when sending an email with a data tag link such as the {(E-RSVP YES)} data tag, the recipient will automatically be sent to the website version that corresponds to the language of their invitation list.

    2) Allowing visibility for text widgets and allowing text widgets as sub-questions are both in our future plans. Our development team is still in the process of estimating the required effort for these enhancements so we don't have a timeline to share today, but we will be adding these to the Flex Feature Page in the future so it can be tracked.
    - The current limit is 30 registration paths per Flex event, but we plan to increase this in the future. 

    3) When assigning registration types via custom logic, you can create up to 100 conditions, with up to 5 criteria within each condition.

    My company has made the transition to Flex for some time. While it does present great features that we leverage, there are some items that Classic had that we wished had transitioned over to Flex. Can you please let us know if the features listed below are going to eventually transition over and if so what would be the timeline:
    • Ability to have a rich text statement into a sub-question option
    • Being able to to edit rich text of question verbiage
    • Being able to add images to sessions
    • Ability to select different return airports during the air request process
    • Ability to copy over air request itinerary for guest of main registrant

    Hi Kevin,

    I'm happy to hear your company has made the switch!

    The good news is that all of the items you have mentioned are definitely on the Flex roadmap. Our teams are currently in the process of estimating these and other features, so I'm unable to share specific dates at this time. However, when we have a better idea we will update the features page on our website with the tentative timeline for each.

    On the reg summary page, the way in which the date/time displays is a bit hard to read.  See example below.  Virtual events and sessions are often only a few hours long and do not span over more than one day.  I would like to be able to customize the display, something like:  3/16/21, 8:00 AM - 9:00 AM ET.  If the event or session is all in one day, the end date is implied.

    Along those same lines, the BIGGEST request I get from our copy-editors is to properly format dates in AP format: Wednesday, Feb. 17, 2021 (with the period). You'd be surprised how much they stick to their guns on that formatting! I end up having to remove the data tags and type the dates manually.

    Hi Lauren,

    I can definitely see how that could be helpful. We don't currently have plans to add that particular date format to our roster, but it would be great to have that posted in our Ideas page. We are exploring more nuanced ways to add more custom date formats, so we're definitely looking forward to your continued feedback.

    This is something we've heard quite often and is certainly on our roadmap. We're continuing to explore options to best address the underlying technical reason for this limitation. I can't provide a timeline at this time, but I can assure you that this is something we are working on.

    Regarding dates on flex, will you be adding a data tag to support this format: DD MM 
    To have  the year 2021 noted after each date is requested to be removed a lot by our clients.

    As we are a UK based client, the format for us DD MM YEAR is fine for deadlines, but adding 2021 to each date is a little frustrating. 
    Would be great to have a data tag for this, instead of a manual type!

    Adding this additional data tag is not currently something we have planned but is a great suggestion to better support our UK customers, and potentially in general. You can always submit your ideas for features not currently on the roadmap through the Ideas page here in the Community. Customers can upvote ideas that they would like to see, and we review these regularly to stay in touch with the enhancements that are frequently requested.
