    Hello, Community, and happy December! For this edition of Tip of the Week, we are focusing on Cvent migrations, also known as the Solution Evolution. For many, the year of 2020 brought upon migrations, whether that be Classic to Flex events, Legacy to New Reports, Access Portals, and even Virtual Attendee Hub. We also know that for many, your Solution Evolution is in still the works, or being planned for 2021. With that in mind, we want to outline key enhancements and resources for the various products that you can use during this process.


    Flex: The key differences between Classic Registration and Flex Registration is a truly pun of its name – its flexibility. Flex is responsive, intuitive, and adaptable, both from the user-perspective and attendee-perspective.
    • A few major features:
      • Live Site Designer – Offers real-time edits, drag & drop functionality, and a true preview into your registration and website.
      • Global design themes – Become a website designer without the code! Use default themes or customize your own based on your branding, and then save as an Account Theme for later use. Flex takes your design up a notch and brings your event into the modern times.
      • Mobile responsive display – Your invitees can check out your event on any device, whether that be desktop, mobile, or tablet, and you only need to put in the work once. Flex is automatically responsive.
      • Save & Publish – Sometimes you aren't ready to fully publish your updates, and that's where the Save functionality comes into play. You can save your work, and only publish when you and your team are ready.
      • Site Validation – Sometimes events can get tricky, and the Cvent platform offers many features to meet those challenges. However, this can lead to a complex registration or website. With Site Validation, our system will check your work and make sure you aren't publishing something that will lead to negative invitee experience.
    • Resources:

    New Reports: On the theme of intuitive and adaptable come our New Reports. Our New Reports offer more customization in a simpler interface. There is no longer the need to run a Standard report, then switch over to a Custom report. Rather, the New Report functionality gives you a detailed base to begin with, then the functionality to sort, filter, add, remove, and so much more all within the same interface.

    • A few major features:
      • Change and edit data – New Reports make it easy to update the data you need. Once you run the report, if you notice a few fields should be added or maybe the date range should be updated, you have Change Report Data and Edit options to make those updates directly in the report.
      • Filter – When you need to drill down into specific information, the filtering is as simple as using the menu on the right to select your fields and then apply. You can also make changes on the fly and save when you are ready.
      • Graphs – In today's world of analytics, graphs and charts are key for consuming the right message. Many New Reports include updated graphs and charts along with the standard text data to provide you with all the insight.
      • Schedule – Sometimes you need a reminder, too. Adding the report to a schedule will provide you as the user direct updates and notifications, whether that be daily, weekly, or monthly.
    • Resources:

    Access Portals: What's more important than taking your event program data and sharing that with your organization and stakeholders? Access Portals offers a seamless, secure, and branded way to do so. With Access Portals, you are able to publish and share out reports. With Access Portals Premium, you can additionally share Meeting Request Forms, Event Calendars, and Appointments Calendar (licenses required).

    • A few major features:
      • Secure login – We know your data is important, therefore you get to control who is added to the portal. Once invited to the portal, the user will create their own login credentials to ensure security through the whole process.
      • Unlimited users – Speaking of users, sometimes you need to share your reports with more than just a few colleagues. With Access Portals, you are provided unlimited portal users, therefore there is never a concern for who gets visibility.
      • Modern and branded design – Like Flex and New Reports, Access Portals follows our updated designer standards and brings your reports into a great interface. You can customize and brand the portal to your liking, as well.
      • Portal Emails – Sometimes we need a reminder. That's where you can use portal emails to your benefit by sending notifications and scheduled emails when a user should log in and take a look.
    • Resources:

    We know there is a ton of information to digest, but don't worry, because we also offer extensive trainings for all of the products. For all migrations, we also recommend working closely with your Client Success resource to take the right steps for your organization.

    Hi, it would be great if it was possible to disable the filters in a report published on the Access portal. We need to publish reports to external partners via the Access portal and some of the information in a report need to be filtered and not displayed to the external partners. This is not possible today which makes the Access portal useless for us.

    Or if it would be possible to upload a report in Excel och publish it on the Access portal, then we could remove the data the external partners shouldn't access.

    Is this something you have in your roadmap?

    For my team's largest annual event, we did a lot of "evolving."

    With Flex so close to 100% of classic functionality but with a much more flexible design interface, we evolved from Classic to Flex event registration. We also evolved from Parked Reports to a Portal for our stakeholders to access the data they need and used the automatically emailed reminders to prompt them to go in and get the data. Our evolution continued with moving from a live-in-person event to a completely Virtual event using the Virtual Attendee Hub, which went REALLY well.

    The KB articles were super helpful and I had just a couple of support tickets which were answered quickly and accurately.

    We migrated to Flex early on, and have found it to be so much easier to use than Classic. The one thing I wish we could do is get into the HTML... we've had a couple of times where we've wanted to tweak it but cannot.

    We're really excited about the new Access Portals and (hopefully) better and easier reports!

    We have migrated to all of the above products. My biggest takeaway is templates. Make a template for everything you can as it is a huge time saver.

    I am still a little confused why some of the new widgets and platforms do not include Spell Check. Randomly I will find some areas do, but most areas have not.

    The access portal is going to be great!

    It'd be great in the designer to be able to layer images / objects. We'd like to import an image but then also be able to add a full gradient image box over it or something to make it easier to read text. We've been manually doing this with backgrounds and spacers, but it'd be nice to just be able to do it in one spot as a gradient over the image.

    The Report Functions are much better in Flex than Classic.
    The key is to get an event built in Flex so then you can copy. You can not copy a Classic Event to a Flex Event.

    We've migrated to Flex, New Reports, and Access Portals, and so far so good!! I do have to say that we're having an issue with the new Carina interface, though. When I clicked on the button on the landing page to make the switch, things appear a bit distorted and half of our logo is being chopped off, so I switched back and indicated why when prompted. We happen to have a product upgrade and migration touchbase with our Cvent client success advisor today, so hopefully we can sort that out then.

    Hey, all! Thanks so much for your responses and feedback. If you haven't already, be sure to share it as an idea within the Ideas page here in the Community. :) 

    @Elli Holm – I checked into this with one of our product managers. It is great feedback, and we'd encourage you to share it within the Ideas page of the Community so the team can look into it for the future. As a solution in the meantime, rather than using the direct filters in the report, you can also control the data by navigating to the Data gear icon > Change Report Data > Select the fields in Selection Criteria. If the fields you are looking to filter are not there, you can add them through Add Advanced Criteria at the bottom of this prompt.

    @Nikki Burn – Glad to hear you are connecting with your Client Success Advisor to look into that further! If you have any additional feedback, along with the Ideas page that I mentioned, you can also share your thoughts in this survey created by the team leading the new initiative.

    Hello all, 

    We have migrated to new reports this year, and creating a template is very useful, you just select the information you need the report to include and you can run a single report with everything on it. It is great.
