    Hello Cvent Community!

    We are excited to announce our upcoming Ask the Expert sessions featuring several incredible 2020 Excellence Awards finalists. The Cvent Excellence Awards celebrate customers who are driving innovation in the meetings, events, and hospitality industries. This year, we will be celebrating the work they have achieved, as well as noting their contributions to shaping the path forward in our industry.

    Register for Cvent CONNECT Virtual to see the winners announced live on Tuesday, August 25th at 4:30PM ET.

    Next week on Wednesday, August 5th, at Noon-1:00 ET, we'll be hosting a real-time Ask the Expert right here in the Community to answer your questions about using the entire Cvent platform to manage your holistic events program and prove your success through an incredible attendee experience.

    We will have experts from SoftPro here in the Open Forum to answer your questions. SoftPro is a 2020 finalist for the Mobile Maverick award, which showcases best use of mobile event technology. SoftPro starts the event lifecycle by sourcing their venue through the Cvent Supplier Network, then builds out registration through Cvent Event Management. They have been using Classic registration for over five years and have begun their Flex migration this year. Their game-changer experience was the implementation of the CrowdCompass mobile app at their annual conference, where they saw an 87% adoption rate in 2019, 22,300 user interactions with the app, and 99% attendee satisfaction.

    At the suggestion of CrowdCompass (CC) support, we were able to utilize Groups to export the attendees from CC and then categorize attendees based on the track they registered for in Cvent to show the sessions unique to their track in their CC Schedule icon. Because the tracks an attendee registered for in Cvent do not carry over to CC, we had to export the attendee data from CC, make the appropriate group assignments, and then reimport into CC.

    We have supported basic exhibitor profiles in CrowdCompass via an Exhibitor navigation icon. The exhibitor profiles we had were fairly simple, listing the company name, a brief description, web link, and attending company representatives' contact information.

    If you're looking to transition an in-person event to completely virtual, we'd recommend researching and using virtual event software platforms (Cvent is a great place to start😃). Make sure you're using features like chat and video to interact with attendees virtually. We also recommend recording any sessions and making them available, at least temporarily, after the conference. We've found that it can be difficult for attendees to attend and virtual event, especially if it lasts several hours, so they're more likely to consume the content on their own time outside of the scheduled live date and time.

    We are new to Flex, but in transitioning from Flex to Classic, I would say utilizing the free webinars available through Cvent is a good way to kickstart and get through the learning curve. Also, Cvent support is excellent, so if you are stumped and cannot find a relevant help article or community topic, contact their support. They are always polite, responsive and knowledgeable.

    Our attendee registration path allows each attendee to choose one of three Admission Items which internally we refer to as "tracks" e.g. Track 1, Track 2, Track 3. Each Admission Item has sessions that are specific to that Admission Item. Individual sessions can be categorized using the same name as the Admission Item or could be categorized as Meal or General Session. By categorizing the sessions, you can then select which sessions to include for each Admission Item. The Admission Item called Track 1, for example, would have all sessions that are specific to that track, plus any meals or general sessions that are included with all Admission Items. The session association is controlled by going to Event Details>Admission Items. Select the Admission Item that you want to designate specific sessions to and then click on the Advanced Settings tab and click on Edit. Under Availability you can choose which sessions are associated with that Admission Item.

    Hi Linda,

    I wanted to pass along a great discussion in the Community reviewing the Cvent certificate feature and how to email it to your attendees at the end of the event. To ensure it is personalized for each attendee, you can use a Full Name data tag, which will populate their contact details on the certificate when they download it from the email.     When we first utilized the CC app at our 2018 conference, we made the decision to distribute all course materials exclusively in an electronic format through the app as opposed to printing and distributing manuals at the conference. We promoted the switch as a green initiative, and it was very well accepted by our attendees. Our attendee demographic is not what you would consider tech savy either, and our app download rates were 86% and 87% in 2018 and 2019. Attendees also loved the mapping capabilities so that they could find their way around the conference space and easily locate where a session was being held.
