  • 1.  Can Cvent generate calendar holds for specific sessions or agenda items?

    I see where I can pull a calendar hold from my registration confirmation, but that's for the entire event and not specific dates and times for individual sessions. Can an attendee get calendar holds for individual sessions?

    Hello Jan, 

    Yes, you should be able to achieve that if you: 
    - allow your attendees to sign up for specific sessions as part of your registration process
    - change the settings behind the "Add to Calendar" button to include sessions
    They should then be able to download a calendar file from each session they selected. More info on how to enable that on this tutorial article

    If you are using the Attendee Hub, note that attendees can also download calendar files directly from a session's page too.

    1. In the site designer go to the registration path you are updating and open the Confirmation page.
    2. Click Build and drag and drop Add to Calendar onto the canvas  ---- this is where the additional settings you're looking for will appear
    3. Under "
    What type of calendar event can the invitees download?," select Individual Sessions 
    4. In these settings you may then establish whether or not the session description and registrant information will display on the calendar. 
    5. Repeat steps for all applicable registration paths then click Save and then Publish.

    Thanks this works for calendar holds being shared from website locations. What we're wrestling with now is how to include them in email messages. Any ideas?

    Hi Jen,

    If you are holding a virtual event, once the virtual attendee hub is launched, attendees can go in and click on the session name and get a calendar invitation. Best way to accomplish this is to email attendees and give them instructions and allow them to log into the VAH early. 

    However, I know of no way to actually include the calendar invitation in an email. Last year in the first version of the virtual attendee hub I downloaded the calendar invitation for each session and sent it to each speaker manually. Very in efficient and time consuming, but it's what I had to do.

    Hi Jan & Jen,

    You have probably already exhausted this option, but for a handful of our Spring '21 multi-session virtual events, we utilized the session emails so that we could use the SS-CALENDAR LINK data tag (see attached). I know it means you have to create session emails, but at least this satisfies your need for calendar adds and you can automate these, if you wish, to go out anytime; even as soon as someone registers for one. Maybe this will help.

    We have the same challenge.  We would like to include individual session .ics calendar links in our event level emails.  The option of sending a session level emails with each calendar link is a poor customer experience if an attendee is registered for multiple sessions.  It would risk spamming them with session level emails.
