    Hello, Cvent Community! My name is Ginger Swart, and this week I'll be sharing the Tip of the Week.

    My tip has to do with what I think is an easily overlooked feature in Flex, but one that can be hugely beneficial.

     

    Version History

    When working in the Site Designer in Flex, saving your work will enable the version history option. To view the version history, click on the ellipses (...) in the top-right, then click Version History. Here you will see a list of each time your site has been saved.

     

    There are a couple of important things in the version history.

    • Published vs Viewing: In the list you can see which version is the current published version and which version you're currently viewing/working on. Keep in mind that you can be working on or viewing a version that is different from the published one.
    • Notes: You can add notes to a version, which is a useful way of remembering what changed in a version and sharing that information with other members on your team.

     

    A Few Examples of How Version History Has Helped Me:

    • Opening the Event Website before Registration: I found the version history to be helpful with being able to display our event website before registration had opened for our event. We were able to publish a version of our website that had key information that our attendees would need so they were informed and ready when registration opened. We then had a different version of the site that we were able to work on that had the registration button enabled along with changes to text and graphics. Once we were happy with that version of the site, we could mark it in the note field as being the version to publish next.
    • Peace of Mind: I also appreciate the peace of mind that having saved versions can give me. There have been plenty of times when I made changes to the site to only discover that I really just liked what I had before or had a coworker mention that they liked what was shown in a previous version. I can easily revert to that version without having to recreate what I had done previously.
    • Pivot to Virtual: The version history even helped with our switch to virtual events. We wanted to update the site daily with recommended sessions and featured speakers of the day along with any other important announcements or news to share. We were able to essentially create a template for the daily website and have each day done ahead of time, so we only had to make minor additions before hitting publish.

    Hi Ginger, 

    Thank you so much for this tip! I have used version history many times before but it is always to revert back to something published previously because someone (usually my boss) has changed his mind on what he wants and we need to go back to yesterdays version until he makes a new plan. It's always been useful for that purpose but I'd never thought about using it for forward thinking our marketing - What a great idea!!! Our conference is in two weeks and we too will have daily highlights to share. This will be a game changer for our marketing team.

    Since I am the sole person working on the registration website, I do put notes in for myself to track what changes I have made. And YES, it helps to see how I progressed!

    I use version history as the "webmaster" for our company website, and it's nice to see some examples of how it is being used in Cvent Events. Great suggestions!

    Hello Ginger, 

    This is a great tip! We don't document our version history as well as you do, but it definitely has been helpful with going back to a more liked version (aesthetic choices) or, when doing something that breaks a registration path or creates other errors, going back to how it originally was and trying again.

    Hello Ginger,

    We are asked all the time to open the Event Website before Registration while session, speakers, and fees are still being added. We have been building a "new"  landing page without a registration button and create a weblink to the new page. 

    If we are using history version our workaround will be completely eliminated and there won't be any confusion with the weblink.

    What a great use case, thank you for the post.

    Hi Ginger,

    thanks for these tips. We currently do not use Flex, but I have attended several webinars, training sessions as we are thinking of taking on this program for our meetings (just not in the budget for this year) and I started a file to share with our team.

    So this will definitely go into that file.

    That's good stuff! I totally failed to notice that I have the ability to add notes to the version history, which is something I wish I would've known while designing previous registrations. Thank you! I will be definitely be putting this valuable tool to use going forward.
