  • 1.  Changing / updating a registrants email address

    Help! does anyone know how to change or update a registrants email address after they have registered? many thanks in advance

    Hi Claire - I have found that you can edit an e-mail address by going to your Attendee List - searching for your individual - click on the icon (looks like an envelope to me) to the right of their name, choose edit contact information.  From there you can make updates.  My issue is that I have an individual that registered and entered his e-mail address incorrectly, so now, when I try to modify it, I cannot because the program states that e-mail address already exists in my system.  Now I'm  trying to figure out how to get his registration merged to the correct e-mail.  Good Luck!!

    Go to Attendee List, Edit contact information, and change the email address.  Then go to Contacts, find both versions of the record and merge them.  Come back to the Attendee List and verify the email address is correct.

    Or do it in the reverse order.  Edit in the Contacts list and then come back to the Attendee List.  The system doesn't care which is done first as long as it can't find the email.

    Hi!
    When the system tells you someone already is using the corrected email address, click on the blue button in the top right corner and select "Contacts." Search for the last name. Once the find both records for the incorrect email address and the correct email address, click the boxes next to both of their names, then "Actions" and "Merge." One of the 2 records will need to be the "Master Record." Make sure the one with the correct email address is listed as such. Review the entries and select/toggle which ones should be kept (all other information will be removed, so make sure it's correct). If they've recently registered, chances are you're going to select most of the data under the incorrect emails record (except for the incorrect email address). Also be sure when you are done that the "Opted Out" is set to "No" (as the system will automatically set it to "yes" if an email is undeliverable and they won't show when you try to send them an invitation). Then click the "Merge" button. It takes the system about a minute, but then if you refresh your browser window, you'll only see one entry for the person now in the "Contacts" area. The data in ALL of your events where either email address appeared as an invitee/registrant will magically be updated to the information in that record.

    Keep in mind that the record in the address book has a lot of historical information in it for that attendee, so you never want to simply change the address book data to someone else. For example, let's say Joe Smith, Sr. has attended events for you in the past and has an email address of joe.smith@example.com. But you find out for your most recent event that Joe Smith, Jr. (joe.smithjr@example.com) should have been invited instead of Joe Smith, Sr. You SHOULDN'T change Joe Smith, Sr.'s email address to Joe Smith, Jr. because doing so will cause all past events to look like Joe Smith, Jr. registered and attended, when it was the Sr that attended. Each contact should have their OWN record in the address book.

    If I get a warning that there's already a contact with that email address when I try to change an incorrect one to the correct one, I just choose "substitute registrant" and change it to the record with the correct address. Of course, that doesn't remove the incorrect contact from the address book.
