    Hello, community members! Welcome back to our next Huddle of the Week discussion.

    Today, we're talking engagement. We've heard from you about different features or tactics you've used to increase engagement, such as polling and live Q&A. Now that you've tried out many methods and maybe even are using a new platform, such as Cvent's Attendee Hub, we're curious what you'd consider your most successful virtual session/content. We know now how many new experiences virtual events (and hybrid events) can bring, and we'd love to discuss what you deem your most engaged session.

    So,

    • What type of session/content has produced the highest engagement for your virtual events?
    • How will you transition that production and content to a hybrid event?

    We have a series of events called The Exchange where leaders in the field lead a 100-150 group discussion on a pre-determined topic. Depending on the topic, these are very well received. We've also had a lot of engagement with our virtual job fairs/virtual career coaching!

    Hello Danni, 

    Our organization is a bit different, because we host large governance meetings on top of continuing education sessions. I'd say the most engagement (and the sessions where I'm sweating the most as a tech resource & meeting host!) are the governance sessions where delegates discuss and vote on motions. We use Q&A to get a speaking order, and the chat is for informal comments. I spend a good amount of time unmuting/promoting people so they can share video & audio, then demoting them when they are done speaking. We also do polls for voting. 

    In our more standard session (one presenter with people learning on the other side), presenters using interactive presentation tools such as padlet, peardeck, or nearpod have the best engagement. Much less static than a powerpoint presentation + chat. 

    As for taking those lessons to hybrid, we will see! Our team is not enthused by the idea of doing true hybrid, for cost and labor reasons.

    For my 100% virtual event last November (2020), we segmented our audience:
    • Business owners, and their three levels (platinum, gold, silver), their region (North America, Central America, South America) and even by language (special sessions for Spanish speakers and for Portuguese speakers).
    • We had many Cvent Conferencing (full collaborative Zoom sessions) for these business leaders, i.e. open discussion for all the Platinums in one session. For language, we started with one big "Spanish speaking" business leader session but did two breakout rooms: one for Central America and one for South America
    • We had a huge technical session (200+ attendees) and had breakouts by our 5 primary products

    Using Live Polls is VERY engaging, as it allows attendees to (at that time) tap on the poll on their mobile app and see the bar chart dynamically update on the screen. Live Q&A was interactive, but less so, yet it allowed the presenter freedom to present without having to manage a bunch of attendees in his/her room - the moderator took care of the Q&A.

    We sent a branded box with a swanky steel tumbler, a book, and snacks to our early registrants. It was fun on the collaborative sessions to ask "what was your favorite snack?" and see them hold up their choice.

    I do recommend programming in "free social time" with some fun activities you can do from home. For example, you can put 25 people into a single session, then assign 5 each to a breakout room, and do a surprise "scavenger hunt" to have them collaborate. A moderator in each breakout room gives a list of items to the team and sets a timer. The team has to figure out who has what most handy (i.e. toilette paper, a screwdriver, a photo of a car, other common household items) and the first team to gather all the items wins a prize.
