    Hello, all! We're back with our next Huddle of the Week discussion. 
     
    It is a special week, as next Thursday, April 7th is Global Meetings Industry Day. Reflecting on the past year, our industry has recovered and showcased the undeniable value that meetings and events bring to people, businesses, and communities. So, let's reinforce the value of resuming meetings in person and how this can be done safely.  
     
    This year's theme for Global Meetings Industry Day (GMID) 2022 is #MeetSafe. From health and safety guidelines to contactless check-in and physically distanced floor plans, the events industry has been working harder than ever before to prepare for a safe return to in-person events. With that in mind, 
     

    • How do you make your attendees feel safe at in-person events? 
    • How do you incorporate health and safety-related communications into every step of your event marketing plan?

    Hi Megha,

    Attendees feel safe at in-person events because, in order to check-in, they must show either proof of vaccination or a negative test. We are also still requiring attendees to mask at the event regardless of local mandates. We are very clear at every step of the process on those expectations: when we advertise, when they register, and again in our reminder emails.

    Hi Megha,

    Depending on the client, location and type of event we are putting on will really make the difference in how we prepare our attendees/guests/clients for being comfortable while on a program. We have sent Covid tests to our clients to use prior to departing for an incentive trip, one of our programs requires all attendees to be fully vaccinated and boosted at least 14 days prior to arriving to the program.

    We have been starting at the sales level when it comes to incorporating health and safety related communication. We start with a very open dialogue with our clients/attendees/guests when it comes to the Covid-19 protocols for traveling/staying in different resorts/countries. We make sure that our staff is as prepared as possible for cases to occur while on program and we have plans in place in the event that attendees test positive while on program.

    • How do you make your attendees feel safe at in-person events? We are still keeping any in person events at a below venue capacity. We continue to work with venues to make sure all safety protocols are being managed. We also LISTEN to attendee feedback to make changes for future events.
    • How do you incorporate health and safety-related communications into every step of your event marketing plan? We promote the venue and highlight any things they are doing to make our event safe.

    • How do you make your attendees feel safe at in-person events? Understand the venue capacity and ask the venue to provide diagrams to ensure that you are satisficed with how the rooms will be set up for the event. 
    • How do you incorporate health and safety-related communications into every step of your event marketing plan? We work with each planner to understand what protocols they require for there groups.  We provide planners with what the currently Local and Federal CDC guidelines are as well as what the Marriott Brand Standards are and we start with those standards and enhance from there.  Of course this is a moving target as there has been many changing in the last 24 months.
