    • Where are you located? Salt Lake City, UT
    • What is your role? My title is Marketing Events Manager, but my role is to handle any logistics and technology associated with events (Cvent, venue liaison, F&B, room blocks, shipping, tradeshow booth logistics, etc)
    • I want to connect with people who plan international meetings (outside the US), but I'd love to connect with anyone! If anyone has experience working with European hotel venues I'd love to chat about it, it's relatively new to me and so different than what I'm used to with the US
    • What are the types of meetings/events you typically host and how are you handling your events over the next few months? (Large annual events, internal sales kick offs, continuing education ect.) Large annual conferences. Our next event was supposed to be in Milan next month, but we made the decision to cancel at the beginning of March. We are now going to host a condensed virtual event in its place.
    • What has been your favorite space that you have hosted or attended an event? Last year we hosted our evening event at Casa Mila (aka La Pedrera) in Barcelona. We started with a reception inside the building and moved everyone to the rooftop for dessert and to watch the sunset. After the sun went down, we surprised everyone with a little 3D mapping light show the venue had set up on the roof. It was truly magical.
    • What Cvent feature has saved you the most time? The CrowdCompass app as a whole. No more program books and far fewer printed materials in general

    • Where are you located? Office is in Warsaw, Indiana
    • What is your role? Meeting Planner
    • I want to connect with people who plan large corporate meetings (1,000+) and smaller sales/educational meetings (25-50).
    • What are the types of meetings/events you typically host and how are you handling your events over the next few months? (Large annual events, internal sales kick offs, continuing education ect.)  For Medical Education, our Med Ed managers are organizing virtual meetings for surgeons, sales attendees.  Of course, all large meetings have been cancelled thru the end of May.
    • What has been your favorite space that you have hosted or attended an event? I especially like the Westin Hotel at the Denver airport.
    • What Cvent feature has saved you the most time? Cross Reports.
I just recently registered for the Cvent Certification program (Event Management), but I am finding it difficult to navigate through all the links, videos, etc.  I wish there was a more defined curriculum that walked you through the necessary information.  Right now I am all over the place and don't feel like I am doing it right!  :)

Hi Kelly!  I work for a competitor but do a similar job to you.  I used to manage med ed events and have transitioned to sales training, and other events.  I am advanced level Cvent certified.  If there is anything I can do to help you in the process of prepping for the test, please let me know.  If you are planning to do the test at Cvent Connect, I will share that their 2 hour pre-test session was pure gold for me for both tests.  I was especially nervous about the advanced certification.  I hope you are doing well! - Kristi

    Hi All!
I didn't know about this community until today so I missed the happy hour. :(  I hope to connect with you!

    • Where are you located?  Home, Pepperell, MA - Office is in Andover, MA
    • What is your role? Meetings and Events mostly for Sports Medicine franchise, but supporting all franchises. I formerly managed Med Ed meetings too.
    • I want to connect with people who are interested in networking and learning from each other. I have a lot of experience but am always open to new opportunities to learn. I also am happy to share any knowledge I gained from my past experience.
    • What are the types of meetings/events you typically host and how are you handling your events over the next few months? (Large annual events, internal sales kick offs, continuing education etc.)  I'm an "equal opportunity event planner" (tongue in cheek expression). I have done meetings as small as 7, as large as 2500. Kickoffs, incentive trips, training, med ed, roadshows, executive meetings, and lots of tradeshows in my previous life.
    • What has been your favorite space that you have hosted or attended an event? I have a lot of favorite spaces and cities for different reasons. Most recently, I really loved the Hyatt Huntington Beach. I've also spent a lot of time at the Gaylord Rockies during the last year and I love that property a lot because I now know it like the back of my hand. Cities I love to do events in:  New Orleans, Orlando, Miami, Denver, San Diego, Las Vegas.
    • What Cvent feature has saved you the most time?  I literally cannot imagine a time before I had Cvent for managing events, and the venue sourcing tool definitely saves me exponential amounts of time.

    • Where are you located?
      • Portland, Oregon
    • What is your role?
      • Event & Program Production as well as Online Community Manager
    • I want to connect with people who have unique and exciting ideas to keep a typically active community connected & engaged while not being able to gather together.
    • What are the types of meetings/events you typically host and how are you handling your events over the next few months? (Large annual events, internal sales kick offs, continuing education ect.)
      • We usually host a variety of in-person events on a weekly/monthly basis including lunch & learns, happy hours, continuing education conferences, product pitches, executive engagement dinners and other larger meetings. We are moving everything to a virtual experience (which is a first for us) and adding new things we haven't done in the past like: podcasts, virtual chats/discussions with our CEO and various political figures across the state, an online community engagement tool called "Mobilize". It's been challenging, but we are all learning a lot through the process.
    • What has been your favorite space that you have hosted or attended an event?
      • Hotel Lucia in downtown Portland: great space, great service, excellent price point, attendees loved it
    • What Cvent feature has saved you the most time?
      • Copying events and the attendee list - this has saved SO much time!

    Hi all!

Sad to have missed the happy hour last week as well, hopefully there will be another one to join soon :)

    • Where are you located? Tampa, FL
    • What is your role? Events Project Manager - I support our events team while working with the marketing department, also managing our event websites and Cvent registration pages.
    • I want to connect with people who have a similar hybrid role between event logistics, agency project management, and Cvent.
    • What are the types of meetings/events you typically host and how are you handling your events over the next few months? (Large annual events, internal sales kick offs, continuing education ect.) We have 2-3 larger conferences a year. We had to postpone our semi-annual Europe event (May 11-13 in Amsterdam) until next spring, and are still playing the waiting game for our product conference June 22-24. If we cannot do our June event in-person we will do a virtual option.
    • What has been your favorite space that you have hosted or attended an event? At my last company we did a closing party at the top of Snowbird ski resort at the summit restaurant. It was incredible!
    • What Cvent feature has saved you the most time? Not really a feature, but moving all our events to Flex was a game changer! It's so easy to pop in there and make updates on the fly -- which is what I am doing a lot of the time now!

    Hello everyone -
    • Where are you located? Tulsa, Oklahoma
    • What is your role? Corporate Administrator - I plan our corporate events in addition to administration of employee award programs, our policy/procedure software, Board of Directors software, file our tariffs, order SWAG - it's a wide & varied role.
    • I want to connect with people who have any tips/tricks for a newer Cvent user that doesn't use the software all the time, only for a handful of my events.
    • What are the types of meetings/events you typically host and how are you handling your events over the next few months? Our events consist of off-site Board meetings for 18-40 people; employee retreats (held every 4 years, we host 4 duplicate events w/25% of the employees at each - these were supposed to kick off today 4/7, but have been postponed to 2021); Supervisor summit (annual event that was schedule for next Sept, moved to this Sept after we postponed ee retreats, then a week later, we canceled the summits altogether); on-site trainings; customer meetings both in Tulsa and off-site; ee award dinners; employee Christmas party (250-300 pp); company picnics. As of right now, we've postponed our large employee retreats, canceled a Sept off-site Board meeting in Orange County; canceled Sept Supervisor Summit; Christmas party is up in the air; family night at our local minor league baseball team is up in the air since their season is delayed; award dinner canceled and will be doing luncheons at the office in the fall; the only events I have remaining are a Strategic planning meeting in August (local, but off-site) and two customer events - a small one already booked at the Fairmont in Banff, Alberta, Canada in July (about 40 ppl) and one here in Tulsa in October (80 ppl). Depending on travel restrictions, I think all of those will still happen, but...
    • What has been your favorite location that you have hosted or attended an event? My favorite location is Charleston, South Carolina. It's such a beautiful city with the friendliest people! We've done two events there - one for our customers in 2019 and one with industry HR people in 2017.
    • My favorite space to host/attend an event? We held our Board of Directors meeting at The Broadmoor last fall and there's just not a space that isn't beautiful.
    • What Cvent feature has saved you the most time? I'm a pretty new user - we just contracted last year for our Charleston event. I haven't used it since but plan to for the July & October customer events. I loved the ease of collecting RSVP's & activity options. So much better than the email chains that we used 2 years before!

You've intrigued me... since you don't use Cvent for much event planning, what is your typical process for sourcing and planning the many events for which you are responsible?

HI Rachel - I do use Cvent for sourcing/RFP's. I've actually been using their free version for that for quite some time. I should have been more specific, we've only been using Flex for the past year and launched it for our customer meeting in Charleston. Since most of my other events involve only employees and sometimes our Board of only eight members, it's easy enough to manage either via email or using Microsoft Forms. I used Forms quite robustly for our off-site Board meeting last fall and it worked great for gathering activity selections, food allergies, and flight info.

For our employee events, particularly the retreats, their manager decides which retreat they'll attend, so then it's just a matter of getting each dept/area attendee list and dumping them all into an Excel sheet for rooming lists, etc. We keep those events pretty clamped down as far as options and it doesn't make sense to pay for add'l user licenses within Cvent. We only use Flex for external events, which is solely customer-based. Additionally, I work for a pipeline company, so our customer base is relatively small in comparison to those who have hundreds or thousands of customers. We don't have a marketing dept, advertising dept, sales dept. For the most part, our customer events are appreciation events to schmooze them.

    Hi Katrinia,

Got it! I'm always in the market to pick up best practices :) I hadn't heard of Microsoft Forms, but it looks like a great tool. Especially for the size of the group you are serving. Thanks for the response!

Forms is really great for groups of 40 or less, like our Board meetings which include our in-house C-suite members and all spouses last time around. I also use it for employee events that need simply RSVP's, i.e., Christmas party, sporting events, award dinners, retirement parties. I can add in a field for dietary restrictions, # of children (if applicable), etc.  It's great b/c it can be sent outside of our company network, you can assign start/end dates for the form, customize it with photos/graphics/logos and it usually takes no more than 15-30 minutes to build a specific Form.

For our customer event, we used Cvent Flex and it was sent out to about 175 people with about ultimately 85 attending our event. There was definitely a learning curve for all involved as it appears we may have been one of the first pipeline companies to use Cvent for our Shipper Meeting.

    • What is your role? Travel and Meetings Specialist
    • I want to connect with people who source and build meetings and events from 25 people to 100+ attendees, both domestically and internationally.
    • What are the types of meetings/events you typically host and how are you handling your events over the next few months? (Large annual events, internal sales kick offs, continuing education ect.) Our company typically hosts large (1000+ attendees) as well as small (10+ attendees) meetings/events. Our largest event happens once a year, with what I'm sure are hundreds of smaller events. These can include QBRs, holiday parties, leadership trainings, etc. Honestly, we've halted or postponed pretty much every official event or meeting in the next couple of months due to COVID-19, and currently have our first large meeting to take place at the end of August. The much smaller meetings are happening virtually.
    • What has been your favorite space that you have hosted or attended an event? Domestically, San Diego, Orlando, and Seattle is pretty great, too :)
    • What Cvent feature has saved you the most time? We are still very young in our Cvent relationship, but I am so looking forward to managing events with the tool. I know it's going to be life changing for me and the team.

Hi Rachel, hello from a Seattle area colleague. We too have been very affected by COVID-19, and have spent the last 6 weeks rescheduling all our spring and summer events into late August and later. It's a tough time for sure, but we feel blessed to be in a position to help our clients while they focus on other challenges. Being so close to Canada, have you ever hosted an event in Whistler - you would love it there if you haven't already been, and Fairmont is my favorite - they're so wonderful to work with. And yes, Cvent's sourcing is a life-saver.

Where are you located? Vail, Colorado
What is your role?  Freelance Travel Director
I would like to connect with meeting planners who are interested in hiring a TD's that has Cvent training. I have years of experience in working both the meeting and incentive side of corporate events, but am now going through the certification for Level 1 of Cvent.
What are the types of meetings/events you typically host and how are you handling your events over the next few months? I have various clients and they all  range in meeting/incentive size. My largest client plans for an annual event that hosts upwards of 55,000 pax and I have another client that hosts incentive events for 15 pax. So I feel I have a wide knowledge base of intimate to large scale events.
What has been your favorite space that you have hosted or attended an event? Brush Creek Ranch in Wyoming
What Cvent feature has saved you the most time? I look forward to learning the reporting side of Cvent.  I then can assist and work with my clients on managing and running data for their onsite events.
