    Hello community users! For this edition of Tip of the Week, let's take some time to go over some of the incredible functions Registration Types can offer you for your event. Now, we know there are many, so I am going to highlight just a few that I find to be particularly helpful.  

    • Assign Registration Type via a registration link
      • If you have not yet assigned Registration Types via the direct registration link, now is the time. This can avoid the Registration Type selection process for your invitees and instead assign them as soon as they hit your registration process. They can see the right questions, fields, pricing, and more without ever having to select their type. This is especially helpful if their Registration Type is more of an internal field. As an example, if you have different emails or channels for your members compared to your non-members, you could send the unique registration links to those separated channels.
        • If you'd like to track your registration traffic to a more granular level, you can also create multiple versions of these registration links by appending a Reference ID to it. Think one for Facebook and one for emails.
    • Assign Registration Type via custom logic
      • Using custom logic to assign Registration Types is another great way to assign a type without having the invitee select it. Instead, you control what they are assigned based on specific requirements that you can set. The criteria is custom to you and can even sync with your internal systems via integrations (talk to your Cvent account team if that interests you!).
        • You can use standard contact fields and custom contact fields to set your criteria for the custom logic. You can also choose if they are required to meet any of the criteria or all of the criteria in order to be assigned the Registration Type.
    • Note a Registration Type as "Virtual" if you are hosting a hybrid event
      • This is specific if you are hosting a hybrid event, however an extremely helpful step if so. When you note your event as "hybrid" within registration, you can set different capacities for virtual or in-person attendees. Therefore, it is also important to note your various Registration Types as virtual.
    • Assign Advanced Rules to specific Registration Types
      • If you've had the need to set rules for groups of people, and weren't sure how to do so, Advanced Rules is your answer. Now, there are rules and limits you can apply through Admission Items, however this method works when you do not necessarily need to control it at the admission item-level and need to only at the registration type-level.
      • An example would be requiring a specific group to a minimum number of sessions.
    • Customize Certificates for different Registration Types
      • Are you awards credits or certificates of completion for your events? Do you have different information or even graphics to include on the certificates? Remember, you can create different certificates and assign Registration Types to them. The Cvent system is then smart enough to populate the correct certificate for the attendee when they download it from the email you send.

    • What's your favorite use of Registration Types that you think others may not be familiar with?
    For some of our larger events we'll break people into categories based on VIP status (board members, top priority clients, senior level executives) so we can add special designations to their badges as they print out so they can be more easily identified by staff on site.

    • What's your favorite use of Registration Types that you think others may not be familiar with?
    Using registration types coupled with admission items to preassign agenda items for corporate meetings. This works well when there are different groups of attendees that need to attend different sessions that are already determined for them.

    Question for You:
    • What's your favorite use of Registration Types that you think others may not be familiar with?
    We host educational events for a membership-based audience so we utilize custom andvaced logic to determine 4 major differing registration types which allows us to segment what each audience sees. For example, we allow certain job titles/roles to see certain items all based on what they select from a drop down of custom fields we add on the admin side. It takes away the guessing aspect for our attendees and ensures they are viewing the most suitable registration items/options based on their criteria.

    This is really helpful, as I don't think we've used registration types to segment our audience in any of these ways, and I'm curious if it could help us with our certificates. Definitely something to investigate!

    One of the challenges I recently faced was figuring out how to minimize reg paths. 

    I'm doing some work for a big nonprofit and they have a lot of attendee types. Think of it this way: 1 person could have 5 overlapping "reg types."

    So I actually used a fair # of reg types, but we had to decide which was the most important reg type to apply to an attendee. Yes, he/she is a committee member, and a session chair, and a nonprofit member and also a speaker. The 80/20 rule was essential in overcoming the overly complex way that they categorized their audience.

    I could have easily ended up with 12 reg paths, but I looked at pricing as the most important ​reg path criteria and built just 1 Admission Item with 4 reg paths aligning with 3 prices (non-member, member and 2 free reg paths for OEMs and Speakers respectively). Some were locked by email domain (OEM), some by invitation list (Speaker). 

    I think the most important thing to remember is to look at the big picture, use the 80/20 rule, use as few reg types as needed, and as few reg paths as possible.

    Assigning a registration type via a registration link has worked great for speaker and internal staff registrations.  This saves them from missing the important first step in the registration process so they get the correct items and registration path.

    I too use weblinks to assign reg type. One of my events has 3 distinct parts with different questions, sessions and admission items.

    If you're hosting a hybrid event and using flex, is HYBRID an event format that can be selected? I am not seeing it as an option.

    And does the REGISTER ANOTHER function exist in flex? Would like to allow 2 or more individuals to register and pay at the same time, no matter which experience they select.

    Hi Kathy. Perhaps your question is already answered. If not, regarding "Register Another" function in Flex, when in your site designer, click on settings icon in the registration path where you want the this function to appear, scroll down to "Group Registration Settings" and make sure those are turned on. You can also indicate a maximum number of group members a registrant can add (up to 100 i believe) and the registration types a registrant will be able to choose from for his or her group members (if any). A button should appear on your Registration summary page, bottom left.

    We use Registration types for VIPs, Speakers as well as to sort attendees by Learning Path during the conference, to help them select their breakout sessions according to their specific path

    With our by-invitation hybrid events, their registration type may change from what was initially assigned, so we assign the registration type at the Invitation List level. This way, we can just use the generic {[E-HOMEPAGE URL]} or {[E-RSVP YES URL]} data tag on the invitation emails. If we switch someone to a different list (e.g. from virtual to in-person), the invitation email they already have will still take them down the appropriate registration path as the link isn't specific to the registration type. 

    Usually during registration, it's the "virtual" attendees who are switched to "in-person" and sometimes they've already registered as "virtual." In this case, I switch the registration type, registration path, and invitation list to "in-person." Then I send them an email I already have created in the system that tells them they are now attending in person and explains how to modify their registration to now add their hotel and air details. This saves me from having to write or find the email each time.

    Right before the event, we'll see a few of the "in-person" attendees who need to switch to "virtual" (we use an event app, so this is important), so I'll also have an email set up already for these people so they know how to log into the virtual event. For these people, I'll modify their registration myself and physically toggle the Admission Item to "Virtual" as we use the admission item to determine which sessions they see in the app.

    Sorry if I went a little off topic. LOL
