  • 1.  CPE credit tracking and certificates

    Hello! 
    As CPE administrator for our group, I am looking for Cvent training or information on the best way to track, report, and send certificates upon completion of an event.  Anyone currently using this feature? Or best module for training I can check out?

    We create all of our certificates with the data tags and use an eblast to send them to attendees so they can print them. It's been working for us so far. That way we can run an email open rate report if someone says they didn't receive their certificate.

    Hi Erik,

    We have a super complex credit setup so I worked pretty closely with my account client services rep to get it all going the first place. Here are the basics:

    - input all your credits for each session in the credits tab
    - Create certificate and use data tags and dynamic resizing to make sure everything will fit no matter who the attendee (test with the longest and shortest names)
    - Ensure your settings are assigning credits based on attendance - there are a few options that you'll want to consider for your needs. 
    - At the completion of our conference we send out an event survey which our attendees must complete in order to receive their certificate. That's a setting in the email template for event surveys. Once they complete the survey, they automatically receive a second email with a link to their certificate. We love that this serves a dual purpose and we get so much more feedback now than we ever did before!
    - You can go back into an attendee record after the event to add/remove credits and the certificate will automatically update so you can resend

    Hello Sharna! 

    Thanks so much for your responses, they are a huge help and I can see you were where I am now with all this. 
    How do you track attendees onsite to verify attendance in each session?  
    When you send the survey, it is asking about the sessions they attended I am assuming, I just don't know how you are pulling this info.

    Scanning? An App?  NASBA is pretty strict about full attendance for each session and we try to ensure folks are participating and in each session the full time for credits.

    Hi Erik, 

    We use OnArrival 360, through Cvent. Our badges have QR codes which are scanned at the door upon entry to each session. After the event, we can pull reports of who attend which session based on those scans, and that's how the certificates are generated.  You can use the freestanding iPads for self scanning, or you can get hand held scanners to have staff manually scan each person in. We often have 10 consecutive sessions and not enough warm bodies for hand scanning, so we use the stands and have a "hall check" where a staff person walks the halls to see if anyone is having problems scanning in.  

    You can also download an OnArrival app to your phone to turn your own phone into a scanner which is super helpful when long lines form or someone is really struggling to scan on the iPads. 

    You can have the scanners setup where attendees need to scan in and scan out so that you can ensure they stay for the whole session. You can also upgrade to the beacon tracker technology which tracks exactly where attendees are at all times (super expensive, but very cool - one day maybe).

    One of the settings on the credit tab of each session asks how you would like credits to be applied. These options allow you to choose if it should be applied as soon as they are scanned in, if they selected that session during registration and some more manual options. This year, as we are going virtual and using a system separately from Cvent for our sessions, I will be selecting "award credit when marked as participant" and pulling the attendance report from the external platform and uploading it into Cvent to mark each person as a participant to the sessions they attended. Once I do that upload, the credit will automatically be awarded based on the setting I will be using.  

    The survey linked to the certificate is an overall conference survey asking generic questions about the event as a whole. We do have individual session surveys which people are asked to complete through the crowd compass app - which we encourage all members to utilize.

    Hi Erik

    Here is a great tutorial on how to Award Certificates in both Classic and Flex events that you can use as a tutorial. We always like to send certificates after they complete feedback surveys to help with getting a higher completion rate on surveys.
