  • 1.  Extended room night requests (shoulder dates) - add question?

    Is there a way to add a question to be asked only if someone requests shoulder dates in a room block?  For example, we need to know if the extended nights requested are for business or personal reasons, so our logistics team can know how to manage the hotel costs.  Any ideas on how to do this?  - Thanks.

    I would first create an advanced rule regarding shoulder dates and then create a question under "Travel Questions" that has a sub-question within it that asks your desired questions based on whether they select they need or do not need shoulder dates. I've attached a screenshot of something similar we have used.

    Hi Chelsea, 

    Thank you for the advice but I'm not completely following.  What would the advanced rule be for?  And regarding the travel questions, are you suggesting that I create a question to ask people first if they selected extended dates?  And then if they say "yes" then ask them if the extension is for personal or business?   That would work but it's repetitive for the attendee.  I just was hoping that the system would recognize people who selected shoulder dates and allow me to directly ask only those people this question.  But I'm guessing there is not way to do this directly?

    Hi Ana,

    We have looked into this in the past and were told by our support team that Cvent cannot automatically ask a question based on selected arrival/departure dates on the request form. The way we've addressed it is to include an optional question on the hotel request page to say something along the lines of "If you have chosen to arrive prior to X and/or depart after Y, please let us know why", with an open text field.

    As far as I know (and I've been spending a lot of time on the Flex housing widget lately) there isn't a way to do it directly. I have a similar issue with rooming, and I added a question that only pops up when people use the housing module. I do have to ask them again about rooming arrangements to trigger the right sub-question.
