    JOB TITLE – Conference Program Specialist II (aka Event Planner)

    EVENT DESCRIPTION – Three-day Continuing Education Conference with exhibitors and up to six concurrent sessions.

    EVENT DATES – February 2021

    PHASE OF EVENT PLANNING: (Event/Web Build, During Event, Post-Event) - Post-Event Accreditation with Attendee Hub Streaming

    TYPE OF EVENT - Virtual Conference

    WHAT WORKED FOR YOU (DO'S - write at least 2) –

    • We had an information session during the conference where we explained how that accreditation would work: attendees received credits for attending live-session and also for watching recordings when they get posted. We also had "office hours" during exhibit times where attendees could pop in to ask questions.
    • We sent an email on the last day of the conference with the link to download the certificate (which includes a data tag with the total number of hours accumulated) and letting them know they can earn more credits by watching the recordings for two weeks. Since we needed to share accreditation data with a third party, we removed the links to stream the recordings after two weeks and sent one last email prompting people to download their final certificate.

    WHAT TO AVOID (DON'TS - write at least 2) –

    • Before you add the links to watch the recordings, don't forget to do some manual deduping to account for people who changed sessions halfway through. Currently, in the Attendee Hub, attendees get marked as participants on sessions (and so get the credit) if they click on the join button with the virtual session link behind it.
    • Setting up the credit to be awarded "when the session ends" – we had some off numbers with that, people being marked as participants but not awarded the credit for some reason.
    • Another issue we ran into was people wanting to know exactly which sessions they got credits for so they could go back and watch the missing sessions. For future events, we will be creating a second certificate the attendees can download that feeds in that info, like a certificate page 2 with the details.

    Great story shared here! I wanted to share some product information - we do have session duration tracking in the Attendee Hub for live and pre-recorded sessions – it is currently going through a soft launch and is on the roadmap for a full release in the future. I'd encourage you to connect with your Account Team for details and how to enable this feature!

    Hello Danni, 
    Do you know if this duration tracking works when using an independent video service such as Webex? Last I heard, the duration tracking was only going to be implemented for clients using the integrated zoom license. If we could track duration, it would make our life much better!

    Hi Béline,

    I hope you had a great weekend! I checked into this and was told at this time if you are using Webex and live streaming to the Cvent Video Player (CVP), the duration will be tracked.

    Since this is a newer feature in the Attendee Hub, if that doesn't fit your needs be sure to submit an idea - we're sure to see more development released in the future!

    Thanks for sharing the news on event duration in the VAH.  How will duration be rendered?  Will it be a threshold, check in/check out times, total # of minutes an attendee is in the session, or other?

    Hi Loretta,

    Great question! In your reports, you'll see the attendee's session check-in date (first time seen), session check-in time (a timestamp will appear if the attendee has met the duration threshold), duration in minutes, and attendance type (live or on-demand). Live and on-demand will have separate rows if the attendee views both.

    Keep in mind this feature is currently going through a soft launch, so work with your Account Team to learn more about how to have this enabled. There also may be more enhancements released in the future once this is fully available. 😊

    This is great news, Danni!  Having the different ways to measure engagement, whether using a threshold or duration in minutes (what we use) will be valuable.  Will share this with my team.
