  • 1.  Sourcing Safely Through the Supplier Network

    Hi there! Today's Tip of the Week is focused on ways to leverage the Supplier Network to your advantage and save time calculating meeting room capacities. My organization is thrilled to be a finalist for the Ace of Safe Spaces category of this year's Excellence Awards at Cvent CONNECT and can't wait to cheer on all the other finalists in Las Vegas!

    This past year, we were challenged to design safe events. We believe the days of attendees sitting shoulder to shoulder in theater-style is not what our attendees want when coming to our events. We struggled with how to calculate meeting space capacities with a certain physical distance between each attendee. But not anymore! Did you know The Supplier Network has a built-in Capacity Calculator that allows you to select a minimum distance between attendees? This tool is fantastic and saves so much time for manual calculation! You can select what room layout you prefer, the number of attendees coming to your event, and the amount of space you require between each person.

    When you are in The Supplier Network, go to Venue Search, and find the location you are looking for. On the left-side navigation bar, there is the Capacity Calculator. Once you click on that, a window will pop out and you can input your requirements. It is amazing!


    Additional Tip
    : you can also filter your venue search with other safety capabilities such as requiring outdoor meeting space or venues that have safety information available. Take a look below!

    I have used the built in capacity calclator...which is great!!!
    The time of seating shoulder to shoulder maybe not be over, but most are shying away from that.

    Hi Jenny, 

    Congrats on being a finalist! My organization doesn't currently use the Supplier Network, as we tend to go back to the same venues year after year (some of our conferences have 15-year-old relationships with hotels). Would you say the tools offered by the Supplier Network would still benefit s even if we are not seeking new venues?

    Hi Béline,

    There are major benefits to using the Supplier Network, even if you're contracting with the same venue every year! Here are a few additional reasons why I think Cvent's venue sourcing solution would be beneficial to you:

    1. You'll have a centralized platform storing venue data across all in-person or hybrid events, you can look back at data instead of referencing email or old documents
    2. You'll be able to manage and track venue spend through various reports, get rid of manual processes! 
    3. You'll be able to see venue rate data based on city to validate your venue selection... we have a lot of data that no one else has & can show you historical, present and future rate predictions based on actual proposals going through the system
    4. Event planners can leave reviews on their experience with contracted venues so others in your org can be smarter and more prepared for their next event
    5. And if you want to expand your venue search, you can use tools like RFP Showcase to get qualified bids from new venues based on your specifications and then compare those bids easily

    As a venue, I've made sure that my hotel's profile is up to date with all of the ways we're keeping your attendees safe. It's slowed down now, but last year I was updating this regularly with the government and county changing it's mind so often on group size requirements. I've also created a Safety Protocol PDF with all the local ordinances, and onsite changes to our operations, I have this on my profile and I attach it to all of my RFPs that come in.
