    We hope you have registered and are as excited as we are for the Customer Success Group series!  😊 During the live session, you will be divided into virtual breakout rooms to connect in smaller groups and discuss a mock planning checklist for pivoting to a virtual experience. Why don't you take a step ahead and use the attached blank template to create an event planning checklist of your own!

    My approach has been to think of it still just like a live event. There's so many components that remain the same (General session screen -- need holding and transition slides; videos); gathering of speakers and info and setting the agenda and roundtables. Whenever possible we try to pre-record single speaker sessions in advance to avoid any concerns over bandwidth issues. Have a running script. Collaborate and set up planners and access to files. Do run throughs and ensure everyone who is speaking signs on at least 15 minutes prior to the event.  We try and have a back-up emcee or host as well just in case something were to ever go wrong with our key host.

    • Share your tips for pivoting an in-person event to virtual. Over-communicate to your audience and internal team to ensure there is no confusion.
    • How has your event planning processes changed? We are spending a lot of time in webinar software now!
    • Hosted a virtual event already? Share some Do's and Don'ts for planning a virtual event. Over-communicate and be sure to do a "dry run" prior to webinar day.

    Hey everybody! 
    We have some meaty in-person events in the summer usually, and these have pivoted to virtual. A main difference for us was to condense the program. Usually we offer a week-long, all-day program, but with taking into account screen fatigue and the fact that people are also taking care of their kids etc, we went down to a four-day program, and with having only three meetings per day, two in the morning and one early in the afternoon. 
    Another big change is that we decided that instead of doing small group sessions and limiting capacity, our content would be more general and we would not limit capacity. 
    On the tech side of thing, one thing we did that worked really well for our first event was to have not just one trainer leading the webinar, but have one or two trainers doing the speaking and have one or two extra trainers dealing with the content questions in the Q&A, running the polls and announcing the results of those, etc. We also always had one tech person addressing tech Q&A, and helping presenters with their documents and slides as needed.

    Transitioning our corporate training classes to fully virtual experience has been eye opening! It made us realize that an online format might be the best option going forward... permenently! It is a cost effective solution for us and the attendees. 
    • Share your tips for pivoting an in-person event to virtual:
      • Our first couple events that went from in-person to virtual transitioned quickly. Thankfully we could contact everyone easily, inform them of the new format, and get all materials/links out to them beforehand.
    • How has your event planning processes changed?
      • The process has not changed very much. If anything I've really beefed up our template libraries since we're using Cvent a lot these days.
    • Hosted a virtual event already? Share some Do's and Don'ts for planning a virtual event
      • Do:
        • Interact often PRIOR to the event. Attendees are busier than ever now that they're working remotely. Its great to check in a couple days before to confirm they still plan on attending. Most of our events have a waitlist so it helps create 100% attendance.
        • Have 2 people running all events. While one person is presenting the other person can manage the live chat and any questions that might comet through.
      • Don't
        • Overbook online events. If attendees are interacting with the group it is important that the presenter(s) can manage the # of online attendees without taking away from the experience. 
        • Over schedule! Know your audience and what they need. Can they really commit to an event every other week or would one per month be more effective?
