  • 1.  Adding online meeting Technology to your event

Does anyone have any experience with embedding a virtual meeting technology into their virtual event. My company uses Zoom technology for meetings and would like to use this for some upcoming events that we have moved online. Any help or advice would be greatly appreciated!

    Hi Bethany,
Do you mean online event or virtual event? The distinction I make is that a virtual event has attendees build some kind of avatar and interact with each other within a virtual environment - think the Sims, but for events. Those avatars can move between meeting rooms, visit exhibitors, etc. Those heavy-duty solutions usually come with a preferred software to handle the video conferencing aspect.
If you mean online, so people at home using zoom to attend meetings, what did you have in mind for integration? We are for example using the Cvent/Webex integration: people will receive along with their registration summary all the links for their online sessions. We are also utilizing the app as a way to make people's smartphones into second screens: they have access to the agenda there, and to any documents needed during the session. We will also send push notifications at the end of lunch break to remind people sessions are starting again. We are not planning on it but you could also use the app to organize a kind of scavenger hunt: have people add pictures of their pets, their "conference from home" setting, challenge them to connect with other attendees for one-on-one sessions etc.

    Hi Bethany,

Do you use the Crowd Compass app with your Cvent account? If so, this is the perfect solution for your virtual event. You can sync all your Cvent registration data with the app and drop the zoom link directly into each individual session so that your attendees simply open their schedule, click into the session and then click the link to take the to the zoom meeting. The great thing about Crowd Compass is that the app is available as a web version, so it looks just like a webpage and can be accessed fully accessed from a desktop computer as well as a cell phone or ipad.

    Hope this helps!
