Tip of the Week #22: Get to Know the Cvent Virtual Attendee Hub®

  • 1.  Tip of the Week #22: Get to Know the Cvent Virtual Attendee Hub®

    Posted 09-02-2020 11:58

Hello, Community! So, what did you think of Cvent CONNECT Virtual last week? Did you enjoy using the new Cvent Virtual Attendee Hub® ? Since some of you may be getting started with your own events using the new virtual event solution, we wanted to provide a few key tips to enhance your use of the Virtual Event Experience through the Attendee Hub.

    • Secure Login: Starting with registration, be sure to collect the mobile phone of your invitees. This will allow for a two-factor authentication when your registrants are logging into your Virtual Event Experience. To enable two-factor authentication, navigate to Website & Registration > Security > Post-Registration Authentication > Authentication method for post-registration: Secure verification code.
    • Promote your Agenda: Within the attendee website known as the Virtual Event Experience, there is a display of upcoming and live sessions. This will help your virtual attendees know what to join next and keep track of the schedule when they are watching from their individual homes. Be sure to note the correct Start Date/Time and End Date/Time when creating your Sessions in your Flex event, as this list will pull the sessions from a current two-hour window.
    • Organize your Agenda: The nature of virtual events offers your attendees flexibility when choosing the sessions and content they would like to view. To help assist with their schedule selection, use the Session Category function, which can then appear as an indicator next to the session details and on the Sessions page while they are browsing. You can create categories relevant to the topic or audience, or any other grouping for your event's content, such as Networking or Breakout session. To do so, access your Flex event and navigate to Event Details > Sessions > Select session > Edit > Select the ellipses next to the Category field and either create a new category or select an existing one from your account.
    • Make your Agenda Virtual: Once you have your sessions organized, don't forget to add the virtual meeting details. These can be added within the Virtual Session tab of the session itself in your Flex event. Once opening this new tab, you can answer the question "Will this session be virtual?" and once stating "Yes," it will prompt new fields to enter such as Video Conferencing Platform, Meeting ID, various URLs and passwords, and Recording Details. Now that the information is added for them, your attendee can join the virtual session with ease when the time comes.
      • Similar to the Session Category indicator, once enabling this setting it will add a Virtual Session indicator next to the session details when the attendee is browsing the attendee website.
    • Promote your Sponsors and Exhibitors: Using the Exhibitor Management Portal is easier than ever and gives you the control you need to promote your sponsors and exhibitors, while still requesting the necessary details from your points of contact. There is a ton to look forward to when showcasing your partners through the Virtual Attendee Hub, and we would suggest starting with the Featured Exhibitors on the Home page. Once you are in the Exhibitor Management Portal and select the exhibitor, navigate to the Exhibitor Statuses section to simply toggle on the Featured status. Now, these organizations can be displayed front and center on the home page.
      • Don't forget to note those who are sponsors, as well! Within Exhibitor Management, you can create your sponsorship levels, and then these levels can display as an indicator within the exhibitor card next to their logo and name.
      • If you would like to customize these terms or others within the Virtual Attendee Hub, you can use Language Management to update the system text. An example used for Cvent CONNECT was to change Exhibitors to Virtual Booths.
    • Collect Feedback and Analyze your Data: If you have not explored the Feedback Survey feature through Flex events, now is the time. Your event and session-level feedback surveys are still configured in your event, but then can appear directly on the Home page and easily be pointed to during or after the event. Check out this past Tip of the Week for helpful suggestions of survey questions during these times.
      • With the new virtual experience, this of course brings new reports. Our go-to will be the Attendee Hub Usage report, which will show key data in how the attendees interacted in the attendee website and event app. Access this report within your event > Reporting > Reports (New).
      • Take your data to the next level by adding Engagement Scoring. With the Virtual Attendee Hub, we have 20 actions that an attendee can take to contribute to their score. Virtual events bring even more importance to understanding your attendee's engagement, and this feature makes it easy to do so.

Have you already watched any videos or started to learn more about the Virtual Attendee Hub? What questions do you still have about the solution? If you are already using it, what is your favorite feature that you would encourage others to explore?

Please let us know if you have any questions or tips of your own to transition to virtual! #CventTip

Unfortunately, we learned about the Attendee Hub too late to utilize it for our event this year but I am curious to learn more about the platform. There were a number of questions I had during CONNECT about how it worked that I know my own attendees would also have if we adopted the platform:

    - What happens when you click the video button to enter into a sponsor booth. Sometimes you would be taken to a space with PDF's you could click through at your own speed, other times a virtual tour of the products would be underway and you could just watch along from where it was at when you joined, and sometimes you joined to 4 eager faces of the company screaming hello at you and calling out your name the second you joined the meeting which was very overwhelming, especially on the first occasion it happened. I would have liked to have seen some content before I clicked that button that told me what was awaiting - "Sam, John and Terry are online now to answer you questions" or "Join us now to watch a walk through of our property"... Just having the video link was not enough information for me to check out a booth.
    - The session list was not interactive in that by the second day, I still had to scroll through everything that had passed to get to the current content. I'd want my attendees to only see what is happening now and next...
    - Appointments with Exhibitors. I was only able to setup appointments with Cvent people and not with exhibitors or other attendees.

    Hi Sharna,

Thanks so much for your response and your feedback here! Hopefully you can plan to use the Virtual Attendee Hub for your next event.

Regarding the questions on virtual booths, the settings for the streaming service are taken into consideration here. For example, if using Zoom you can take the attendee into a waiting room, then take them to a product expert or exhibitor/sponsor as needed. However, I would suggest sharing this as feedback through the Ideas page in the Community to explain your experience at Cvent CONNECT and organization's use-case in more detail!

Our Product Team is aware of the feedback regarding the Sessions list, and have plans to enhance this to ensure it is more interactive and responsive of the day/time.

Please let me know if you have any additional questions, and if you have any further feedback be sure to add it as an Idea in the Community! :)

    Best,

    Danni

This was really good, easy to navigate, well organized. I am in the contracting process right now for Virtual Attendee Hub 360.

One thing I always liked was having TABS for various days for multi-day conferences, i.e. "Agenda" to see all, and then the dates (Tue, Wed, Thur) to see just THOSE sessions.  I also like being able to tag sessions (in Cvent Event Mgmt on the reg website) and allow attendees to filter on them (i.e. by Role, aka Sales, Marketing, Principal, Technical) or by some other designation.

I didn't notice a tab functionality (really a calendar view) or ability to filter in the Virtual Attendee Hub. But that could have been the way it was configured, or those enhancements may be coming.

I enjoyed using it during Cvent CONNECT; but I would like to see the ability to scroll through an agenda and stay put, and be able to open sessions (and recordings) in a new window so that we don't lose our place.

I'm excited to see how the Virtual Attendee Hub will complement CrowdCompass!

We were able to attend a CVent conference in Las Vegas a couple of years ago and I was curious as to how it could be duplicated in a virtual environment but I believe it was pulled off well.  While we would really like to be able to use the platform for our own conferences, we unfortunately, do not have the budget to support it at this time.

We will not be using the Attendee Hub for our upcoming event, but I've spoken with our account reps and we may be able to implement next year.  I very much enjoyed the Connect experience.  Thanks!

    Hello,

I enjoyed discovering the Hub during Cvent Connect! I really look forward to some of the features to be released, such as the My Agenda tab, and hopefully some more interactivity features directly in the Hub such as polls, chat, and a Q&A where answers can be typed in and threaded to the questions.
I'm also curious about the reporting capabilities in terms of being able to tell not just which sessions people looked at, but also if they watched them live or watched recordings later, how long did they watch (left after 2 minutes or stayed for the whole 60?) etc. It would be really neat to be able to holistically look at the data and be able to see trends within our attendance, such as knowing if they show up for the early morning sessions or for the late evening ones, or if their attention span is better with live content or recorded content.

    Cheers,

    Hi Béline,

Thanks for your note! Great news here - our product team is actively working on enhancements to the reporting & insights through the Virtual Attendee Hub, and duration-based attendance tracking is set to be released by the end of the year. Not sure if this is the right forum to post this on, but I am having a lot of trouble logging into webinars billed as webinar series via the Cvent Virtual Attendee Hub.

We had CventConnect2020 as a virtual event.

There is also a 5-part series and a 2-part VAH enablement series.

I am having a terrible time trying to log into either of those.

I could not log into today's "Designing + Producing Engaging Virtual Experiences." I always get in and then am asked to register again, and then told I am already registered. If I have my reg confirmation code sent to me, well, today it never came through my email.

I am trying to attend as many virtual and hybrid learning sessions as possible and am not having an easy time of it. Is anyone else experiencing this? And how do you solve the problem and log in to get to the learning?

    Hi Brenda,

Thank you for your note! To troubleshoot this further, I would recommend trying a new browser or incognito browser if you haven't already. Additionally, we re-issued your verification codes which I will send you in a direct message. Check your Community profile inbox shortly for these follow-up details!

I really enjoyed using the platform and think there's a lot of great potential there for our account. We're still figuring out what it will look like to host hybrid and/or virtual events as we think about 2021, but I'd love to see integration with the Hub as we ramp up our general use of our instance and other on-site solutions.
