Virtual Events and Cancellations

    Hello all,

    How far out are you currently cancelling live events or changing them to a virtual event? If you are changing to a virtual event, what platform are you using and what will change about your event? If it's a paid event and will now be virtual, are you still charging a registration fee or are you discounting/waiving it?

    We cancelled our trainings/meetings through April 17...a total of 38 trainings!  It was a lot of work setting them up, and unfortunately, cancelling them as well.  We have started to set up a few using Zoom or Web/Ex.  There was a major conference that was cancelled that had fees; it won't be rescheduled, so I refunded each credit card payment.

    Is there a way to add a Zoom link (maybe in the Location area?) to a CVent event? I'd like to provide registrants with the Zoom link but not sure where I can put it.

    We just had an event scheduled for mid-May cancelled. I noticed the cventconnect is no longer on the login screen.

    To date we have cancelled our April/May event. Likely we will cancel our July meeting as well and go virtual. Still deciding on the best platform.

    What are some of the options people have found for virtual conferences? we are planning a medical conference for the fall with a historical attendance of 350. Any ideas on a platform that would work for that many attendees? And how do you have sponsors involved if they can't have a exhibit booth? We are scrambling up this learning curve. Does Cvent have anything that can help?

    We have transitioned an in-person event to a virtual event fairly seamlessly in about 3 weeks.  We will be using Zoom to host the virtual sessions and were able to use our existing Cvent registration to continue to capture new registrations and modify existing ones.  We have included the Zoom link and password to access the virtual conference in the confirmation email.

    Thanks Heather.  Do you mind sharing how many attendees you had for your virtual event and whether or not you had both general sessions and breakouts?  We are considering transitioning to virtual events as well.

    Did you keep your fee structure the same as it was originally? Our event was to be held at the end of May. We are transitioning the event to Zoom. I see that you used your existing structure. We currently have our registration set up by days, and want to transition that for more flexibility for our registrants to pay per session. If you don't mind, what was your existing structure for fees for registrants?

    Hello, 

    I apologize for missing the fee structure questions.  We have reduced our fee by 50-60% for some events.  Others we are offering at no charge, but are soliciting sponsorship in order to do so.  Our 1-day event in April was $75 and a Shortcourse we are hosting in June is $250 (4 days, 4 hours each day).

    We recently cancelled 2 events for Mid-August in Monterey California during what is known as autoweek. Now 2 major events their have cancelled. We have chapters around the country who host high speed driving events on tracks. They are all cancelled and now we have been doing using online racing simulators to fill the void.
