  • 1.  Setting up common widgets in your Flex event

    Hello all! Wow, can you believe we are already in June? Time is certainly going fast this year.  

    For this edition of Tip of the Weeklet's cover a few "top" widgets to use in your Flex event, and how to set these up if you have not yet explored them.  

    Attendee List 
    • Starting with one of the newest widgets, the Attendees List allows you to display your attendees (virtual, in-person, any!) within a list-view widget to then be browsed by others and kick off the networking. 
    • You can display basic details such as contact information, and consider adding additional details such as socials and custom fields.  
    • To add this to your website, within your Flex event navigate to Website > Event Website > Customize (next to page) > Build menu in Site Designer > Add Attendee List widget onto the canvas. 
    • Once it's added on the canvas, you can customize it further through instructional text, choosing your displayed fields (some are contact details whereas others can be actions such as emailing another attendee), sorting the list, filtering the list by specific criteria, and even displaying a search option.  
    • To populate this list, you can either allow it to be done automatically or allow attendees to opt-in themselves. 
    • If you chose the latter, you must add the Attendee List Opt-In widget to your registration process.


    Fees 

      • This widget has existed for quite some time, but with virtual bringing a shift to many of your registration pricing models, the new shift to hybrid and return to in-person may lead to new fee structures in your events. Therefore, this widget will play a crucial role to show attendees the fees prior to registration. 
      • The fees themselves will be configured outside of this widget – within your event > Registration > Pricing > Edit > Create Fee on item, or within the Fees tab of the item itself. 
      • Now within the Site Designer, add the Fees widget onto the canvas from the Build menu on the right.  
      • Customize this widget to your liking by updating the name, instructional text, adding information about future price changes (if you are utilizing early bird pricing in your fees), display refund policy information, and more. 
      • Consider sorting your fees in your preferred pricing structure – for example, setting your complimentary virtual pricing first and then adding the enhanced cost for each level afterward.  
      • Toggle on the Keyword Filter if you know your attendees will be searching for a specific item's cost.  


          Agenda at a Glance 

          • This is on the newer side, so if you haven't checked it out yet to use for one of your events I'd encourage you to do so.  
          • This widget is particularly helpful if you'd like to give your attendees an overview of your agenda, but haven't yet confirmed the exact programming. Consider it like a sneak-peak to get everyone excited.  
          • It can also provide value for attendees who want to keep it simple and quickly browse an overview of the agenda rather than viewing the agenda in full at the time of their registration.  
          • This widget is added to your website in the same process as the others (Open the Site Designer > Build menu > Drag and drop the widget onto the canvas), however it differs when it comes to what text & content is populated. Many other Flex widgets pull content and populate details from other features in your Flex event, such as the Fees widget. Here, you have complete control to enter sections and agenda items via text so you can give exactly the right amount of detail you'd like. 
          • To customize this widget, you will scroll to the Agenda Sections at the bottom of the menu, and either begin editing the default "Day 1" section, or create your own.  
          • Within each section, you will click the ellipses to edit it and add the agenda items you'd like to feature (or update the default text if those work for you).

              • What other Flex widgets do you consider your go-to or top-used? We have definitely been using the agenda and speaker widgets a lot in our pages.
              • What is the most creative way you have used any of the three widgets from above? Share below!  We haven't used these in this way though it's interesting to see about 'agenda at a glance' since we usually work to finalize details until last minute it could be nice to provide something earlier on to entice people and we'll definitely have to check it out.   

              Are there not GDPR issues with releasing lists of all your attendees on the site?

                • Speaker widgets are great as well it simplifies actions we need to take to build the registreation info.

              The agenda widget is the one we use the most, I'd only wish we had better ways to edit the Session Calendar Reminders without having to change the session description, as it can be confusing for attendees. 
              Another widget we've been using is the video widget to display recording from past events and add excitement for the current one.
              The Share widget has also been a life saver more than once!

                • Fees are one we use from the choice, but speakers we use most often
              • What is the most creative way you have used any of the three widgets from above? Share below!  
                • We have not used Agenda at a Glance since most of our recent events have been just webinars during the past year, but I can't wait to have an all-day event and use it. 
                • We have been using the video widget for past videos for the series of webinars.
