  • 1.  Sponsorships- inventory management

    Hi Everyone!
    I would like to learn about how you manage your sponsorship inventory.  Meaning all the sponsorship opportunities/packages you offer...how do you keep track of what has been sold and what is still available?  Do you use a spreadsheet or a program/software?
    Oftentimes the sponsorship opportunities we offer overlap and/or we add as we go along to provide flexibility and unique opportunities to our potential sponsors.  We do not always offer specific packages, just suggestions so the potential sponsor could decide what is most important to them /what they prefer.  Multiple members of our team are involved with the management of the sponsorship inventory and it can get a bit messy with keeping up.  At the moment we manage it all using a list/spreadsheet.  We are interested in learning about potential programs/software that might be a good option to use for this type of management.
    Curious how everyone does it within their organization.

    Hi Erika, 

    We have several groups that sell sponsorship items in Cvent. If they offer packages (Bronze, Silver, Gold), they create those as Admission Items and items like breaks, receptions, etc. are usually set up as Quantity Items (Classic) or Sessions (Flex) with capacities to manage inventory.

    Thanks Alyssa!  Is there a demo I could see of that in detail- how it could be managed in Cvent?  We also tier our sponsorship packages but each package of items is bespoke for each sponsor even though it might fall into the same tier level.  That is what makes managing the inventory tricky for our team.

    HI Erika, 

    We also manage our sponsorships in the manner that Alyssa described.  Levels are set as admission items, exhibits are setup as sessions in session groups (so they have to select one of the options), and advertising and electric requests are setup using questions.  Feel free to contact me privately with any setup questions.

    @Erika Frey, did you attend #CventConnect? There was a Training Camp session titled "How to set up a complex Sponsorship Event" with a  ​​​printed step-by-step guide. If it is possible for you to view the session in the conference app, I'd recommend downloading any/all PDFs associated with that session. It was a great real-world scenario for #Sponsor set up in #Cvent.​​
