  • 1.  Hybrid event formats to consider

    Posted 09-20-2021 11:02

Hello all! With a new week, we bring you our next Huddle of the Week discussion. We have hybrid on the mind again and are curious how some of you may be approaching certain aspects of your upcoming events.

A hybrid event brings great opportunity to expand your audience reach, and at the same time brings a lot of effort from your team executing the event to pull off both virtual and in-person experiences.

We have begun to see hybrid take its space in the industry and expect to see that continue as the environment allows for more safe in-person events to take place.

Taking your audience experiences into mind, consider these few questions below:

    • For your hybrid format, are you planning in-person and virtual components at the same time or separate experiences connected to one event?
    • What is the overlap of both audiences interacting at the same time?

We look forward to hearing your thoughts and plans! If you have any questions, let us know, too. #HuddleoftheWeek #VoiceIt

    • For your hybrid format, are you planning in-person and virtual components at the same time or separate experiences connected to one event?  We aren't doing it yet but we've discussed them at the same time, connected to one event but one wouldn't engage with the other. i.e. we will have a session but then q&a for in person and virtual would be managed and answered by different people
    • What is the overlap of both audiences interacting at the same time?   They'll be watching sessions at the same time but no 'interaction' between the two groups

We do not have plans at the moment for any hybrid (or in-person) events.

    • For your hybrid format, are you planning in-person and virtual components at the same time or separate experiences connected to one event?  We are planning an experience connected to one event. Our events are highly interactive and very much attendee driven.  We've devised a way to create a connection in our breakout rooms between the virtual audience and the in-person audience.  Our event is in December. On paper, it works. Looking forward to seeing it come together.
    • What is the overlap of both audiences interacting at the same time?  We will have the virtual/in-person audience interact.

    • We have not started having the in person events. Virtual events are utilized with better attendance than expected.

We haven't started official planning yet, but the idea is to provide an integrated experience somehow. We want our virtual attendees to get the same content as in-person, and have the same opportunities for engagement. Certain events will be hard to translate virtually, but the key sessions can be.

    • What is the overlap of both audiences interacting at the same time?
Thinking that through Attendee Hub and onsite tech setup, we can have both audiences interacting at the same time with some kind of interaction between the two. It will be limited, though.

    • For the ones that we are planning the experiences are different
    • What is the overlap of both audiences interacting at the same time?
    • Sessions with virtual content / format
