  • 1.  Cvent/Concur Integration

    Hello all,

Our organization, with support from a Cvent PM, are currently implementing an integration between Cvent and Concur to allow attendees to register for meeting and seamlessly book travel as part of one registration process.

I was wondering if anyone has gone through this integration and has any tips/advice to share about:

    1. What worked/works well about Cvent/Concur integration?
    2. What could work better and what do you wish you would have known prior to starting integration?
    3. Do you currently use Classic or Flex for your registration sites?

Thanks for any advice anyone can provide.
    Best,

    Jay

I have used it for Classic Events, but not Flex yet.
It can be confusing for the attendee because Concur pops up as a new screen and can be blocked or missed by the attendee so make sure that you add on your confirmation page to look out for the pop-up screen or give them instructions in the confirmation email of how to get back to the travel page and click through to Concur. We only had a small group of people that used this and about half of them had trouble since they don't use Concur normally. It might work better if the attendees already have Concur accounts and know how to use the system. For me it has worked best to just book them individually instead.
But if it does work well, it is really nice that cvent pulls their flight information into their registration instead of having to add Air Actuals after then all the information is in one place.

I've been using the Cvent/Concur integration for a year and I love it.  I also have the GDS integration so I get full scope of flight information.  The best thing I did was connect my company's travel agent and Cvent reps.  We all worked together to set it up and they were able to speak directly to each other whenever I had issues that needed research/fixing.  My biggest challenges:
    1. getting the PNR's to come across.  Some of this was due to how my people were booking their flights and some were system glitches.
    2. make sure your matching criteria includes the event title otherwise you're matching everything manually.
    3. getting my people used to going straight from registration to the concur site.  Definitely include verbiage on your invitation, website, and confirmation page that they will be re-directed to Concur.

The reporting is fantastic once you get the integration setup.  We saved an estimated $30K in no-show hotel charges this year and expect that to increase next year.

    Can I set specific parameters
Lowest fare not to exceed $50, 21 days in advance and have attendees fares paid to my credit card?
