    Hello, Cvent users!

    Are you all registered and are getting excited for the Customer Success Group series kicking off next week? During the live session, you will be divided into virtual breakout rooms to connect in smaller groups and discuss a mock planning checklist for pivoting to a virtual experience. Get a head start and use the attached blank template to create an event planning check list of your own!

    Hi all! Our Trade Show sessions have officially wrapped up for this virtual Customer Success Group series. We had some fantastic conversation in the live breakout sessions that we wanted to share with the Community. Take a look at the attached file to see a completed virtual Trade Show checklist compiled from the best discussions in the sessions. 

    • What other tasks do you plan to add to your checklist that will be required to support a virtual Trade Show, but was not previously done for in-person events?
    • What ideas to you have to build out virtual sponsorship opportunities and engagement in addition to the suggestions in the attached file?
    • What will you add to your know-before-you-go email and attendee communications to support a virtual environment?

    We pivoted very quickly from live to virtual, as we had several live events in process. Due to the pivot, our "one man team" for event planning became a "two man team" as our marketing team wanted to ensure success for our business development team with this new platform.

    My biggest tip is to OVERCOMMUNICATE to your business development team, executive leadership team, and any other stakeholders. We also included our entire organization, as our in-person educational events that were moving to virtual events gave everyone in our organization the opportunity to learn more about what we do. It's been great to see a lot of employees take advantage of this free training. 

    We have not hosted a virtual trade show, as sponsors/exhibitors are not part of our current model.

    Our first big virtual event just concluded, and oh boy, did we learn a lot. 
    • What are some tips you have for pivoting an in-person event to virtual? Lighten up the schedule! Lots of people dropped off after two sessions/day. 
    • How has your event planning processes changed? We work much more closely with the trainers and speakers to ensure the content will be of quality, and that they have the necessary technical support to pull off what they want to pull off. 
    • Have you hosted a virtual trade show already?  Share any tips on what worked and areas of improvement. We had our vendors do some dedicated "Office Hours" where people could tune in, ask questions, then leave, much like at a regular booth. It was well attended, but mostly because we limited it to vendors who are in high-demand.
