    Hi Jodi!

    Right now I'm diving into pivoting our usual live-in-person-at-a-hotel event into a Virtual one. We've signed a contract for the Virtual Attendee Hub 360. It would be helpful, I think, to dive into the VAH and showcase how some Cvent customers are using it for ideas about how it actually works and some best practices. 

    Many people don't know that you can take 1 big virtual breakout room (like a big round table) and break it into smaller subsessions, like Cvent did for the Virtual Happy Hours. I think it would be super useful for Cvent users to understand how to use the Cvent Event Management Registration website (included fields AND custom fields) to "slice and dice" attendees so that they can either set up virtual subsessions in advance, or dynamically create them on the fly. 

    Since Live Polls are not yet available in the VAH, perhaps some examples of intermediary/3rd party solutions until Live Polls are included on the Engagement Panel in the VAH?

    Also, I had a discussion recently about engagement with Exhibitors. Cvent brilliantly awarded Celebrity points for visiting certain CventConnect exhibitor booths, but how does one do this if one does not have Influitive? Are there some best practices around Exhibitor engagement? Usually I use the CrowdCompass app's gamification, but I'm looking for ways to assign point values for engagement with Exhibitors WITHIN the Virtual attendee hub.

    And of course, when Hybrid events are being planned, a web series of best practices would be welcome!

    My proudest professional achievement for 2020 was becoming certified in Event Management and Mobile Event App.  However, it would be nice to see a diagnostic with the test results.  Setting the bar at 75% for passing is honorable, but it would be helpful to know which areas you didn't score well.  Additional, focused study could only improve second attempt outcomes.

    More Tips & Tricks/Best practices for DMO's/CVB's (and you heard that from me before, sorry). We just don't respond to leads like hotel partners, and keeping the Cvent Supplier Network up-to-date, ensuring that your hotel partners/non-hotel partners are part of the related venues, etc.

    Would like to see lead scoring available for DMOs as well.

    With budget being tough, I would love for us to use Flex/Social Table options Cvent has to offer, but not sure if that is an option for us this upcoming FY.

    Hello Jodi, 

    I'd love to hear more about the Attendee Hub in terms of future features that are coming down the line (and a timeline of these would be helpful too!).
    One challenge we are struggling with is making sure our content is interactive throughout. Polls and Q&A are nice, but we are looking into leveraging more participative tools like whiteboards. Tips on what software and services are out there to address those more specific needs would be helpful (things like peardeck are great, but are they going to integrate with the Attendee Hub?).
    Proudest achievement: my team and I training ourselves on all those new tools! We became Webex experts overnight, and are now providing support to events throughout our organization as technical resources.

    I would have to agree with you on your comment about ensuring that content is interactive throughout your event. I wouldn't say we excelled at this for in person events, but the nature of an in person event is just more interactive. Now, the move to virtual (or to hybrid) is really highlighting that area we are lacking. Also, I'd love to take that a step further, tips for interactive content & gamification for hybrid events that involve both types of attendees would be so helpful!

    Hi Jodi,

    Our biggest challenge at the moment is showing our trade show exhibitors that there is value for them in this virtual platform.  We have gone from 300+ exhibitors at our in person conference - sells out completely months in advance and we usually have 25+ on a wait list just hoping someone drops out - to now we only have 30 exhibitors committed to our virtual trade show. We are using gamification to encourage our attendees to visit the trade show and we have specific "open hours" for the exhibitors to be online to interact with attendees but it is so hard to sell. I'd love any ideas you or others have on how to make our exhibitors feel like this is still the place for them and see value in the money they spending.

    1.  I'd like to see more articles/content around SMMP and diversifying what that looks like in a live, hybrid, and virtual format. We're working to rollout our instance across the organization, and it just happens to be at the same time that we're all pivoting to hosting events in all sorts of formats. Any tips, tricks, best practices, etc. would be a great help!
    2. I'm proud of our team for continuing to forge ahead and make progress in getting our data into Cvent despite all the changes in our industry.

    I would like to see more comprehensive content on gamification, live polling, and any other interactive tools. One challenge we are currently trying to work through is determining the future of our company's annual incentive trip program.     I would love to know more about best practices for creating a hybrid event - from AV to execution to marketing. I think that we will need to be forward thinking for our attendees that have now learned that conferences are able to adapt to the online model.  Thanks!

    Jodi, I would love to see more training on the Survey module and it's evolution from the Inquisium too. Additionally, I would love to understand the roadmap of the new Cvent format, as there are parts that have increase scrolling and made visibility much more cumbersome.

    Hi all, 

    My biggest accomplishment in the last 6 months is planning 3 virtual events. Our biggest was an external event and we only had 30% attrition for a large-scale free event! I thought that was pretty good given the current "zoom fatigue" a lot of us are feeling. I attribute this low attrition to the below factor:
    • Reducing the time frame
      • Our normal physical event is 1 1/2 days of content, virtually, we scaled it down to 4 hours only
    • All sessions were 25min or less, trying to keep our attendees attention levels up!
    • We incentivized the first 400 to register with a welcome box shipped to their home

    Great topic.  We had a huge challenge/learning opportunity this year. We needed to create a Learning Pod for children of our staff to come to for the semester. We needed parents to pick their session/date (AM/PM Monday - Friday) and have a strict 20 person limit.  At the same time we needed to ensure parents could register multiple children at different times all under one email. On top of that we needed discount codes and other discount options for registering multiple kids and/or 10+ sessions.  Thanks to the AWESOME support, we found a way to make a "camp" type registration work with Cvent (which is not quite there).

    We used two paths (Family and Child) to help with automatic discounts.  We then set up a Guest registration for "additional" kids and made EACH AM/PM a Session.  The challenge we are finding is being able to run a report and ensure that parents do NOT cancel a session on their own. As there is money tied to each session and we are touchnet ready partner - we need them to ONLY be able to add sessions but not delete. Unfortunately we can say they can't cancel their registration but that does not help here.  

    So my overall suggestion is to look at how CVENT can assist with events like this and what opportunities CVENT would have for registrations for events like camps etc.  Think about Medical forms that can be linked etc.  Also - how can sessions be the main source of "funding" but enable a cancel/do not cancel sessions for registrants.

    Right now we're working through the challenge of providing hybrid programming when our in-person and virtual programs look so different. Our in-person event has thousands of sessions, and for the all virtual event we pared it down to a few dozen. How can we reconcile how different those programs look when trying to do a hybrid? It's too costly for us to stick with our former in-person model and merely stream all the sessions for people tuning in virtually.

    One challenge our company is working through is finding information under the knowledge base for the new Cvent experience moving the super menu from the top of the screen to the left side. We also love the functions of new surveys; however some of the major functions for surveys are not available in the new plantform.

    Hi Jodi! 
    We are having a challenge with time constraints with our hybrid and in person meetings since COVID.  We now need to take into consideration that all functions including food and beverage and meetings are going to take a lot longer than usual with some of the COVID practices and procedures that need to take place.  

    We have now built in more time for breakfasts, lunches and breaks knowing that we want people to social distance at stations or buffets.  Most of these functions are going to be strictly managed by attendants which is going to take more time.  

    Also, for business meetings, needing more space and time to have a refresh of rooms between sessions if the clients don't agree to have the speaker rotate instead of the participants.  

    Everything has been a challenge since the pandemic has hit.  I think we are all ready to have some things get back to "normal".

    Thank you for all your suggestions!  There are some really great ideas here, showing value to exhibitors/sponsorships, tips & tricks for DMO's/CVB's,  gamification, building out SMM, building unique registration paths are just a few that I heard. 

    Customers always provide a fresh perspective for many of these topics. If you or anyone you know has experience with these or the other topics suggested, I encourage you to submit a session for Cvent CONNECT 2021. The submission deadline has been extended to May 7, 2021. Early bird registration for Cvent CONNECT 2021 is now open as well.

    My team used the tables function in classic religiously, and it has been very difficult trying to make a table in flex, as they are formatted much differently and takes a lot more time to fine tune. Also, when I am on my computer, what it shows as the preview for an email isnt what it looks like when I send myself a test email. Please, please, please release the table function for flex ASAP!

      • Our proudest achievement is definitely our virtual conference! We are using the Attendee hub & Appointments, We usually host on site for approx 400 attendees. We are currently up to almost 700 people registered. It has been a huge learning experience for everyone on our team but we have no doubt that it will be an amazing event.

      • One challenge was shifting to a fully virtual event! Like I said above it was definitely a learning experience and we've never been more thankful for our Cvent support team. It would be helpful if there were more knowledge articles geared towards fully virtual events. Especially one that highlighted best practices/ideas.

    The biggest challenge we are dealing with are the multiple session events that last several days, as we find Cvent has not finished developing all the session features we would like to achieve. My proudest achievement has been to get 5 certifications, although I would've loved to see which areas I failed so I could know how to improve.

    Would love to see content focused on hybrid event training - learning from real world examples and learning how to execute things not just slick presentations with a lot of industry buzz words. Learning about cost effective strategies, handling production, bridging the gap between virtual and inperson attendees.

    I am a Cvent Administrator and so many of the topics at Cvent Connect are for planners.  I'd love to see an entire Cvent Connect track dedicated to Cvent Administrators featuring tips and tricks, advanced skills for customizing the tool, even an entire training on all of the admin functionality in the admin section including reporting.  One thing in particular I would love is training on all of the user role settings and what each one covers.  The short information blurb is not enough and isn't available for every setting.  This would really make Cvent Connect more valuable for those of us who don't plan any more but are full time Cvent Administrators.

    I agree, something for administrators. Maybe reaching a little further, adding an option for administrators when we need to call into the 866 number. Sometimes I get transferred  several times when I have an administrator question.

    I totally agree Mary.  I've often mentioned to our CSM that we need a customer support line just for administrators.  When we call support, they automatically assume we are planners working on an event.  Then we do get transferred numerous times before we can get an answer on an admin question or they need to escalate the question and we have to wait at least 24 hours for an answer.  I WOULD LOVE AN ADMIN CUSTOMER SUPPORT LINE!

    Hi Jodi,

    Currently, we're still in the adaptation phase with CVent Flex.  We're running into issues with our Rather Large Gala Awards and multi-quantity items such as Sponsorships, Multiple Table Purchase, Ad Sales etc.  Basically multi-faceted events.  We feel like we've hit a road block.  We love the new changes that Flex brings to the table but we're having issues with adapting it to different type of events that we run.

    Overall so far we've had a great experience - once we get over that hurdle it should be smooth sailing :)  Any programming with Multifaceted events would be great

    Hi Jodi - for the NEXT CONNECT, it would be helpful to have some sessions designed specifically for Cvent Admins.  Perhaps get us into a room for a great discussion!  There are a lot of projects I'm working on and I would love to hear how others are managing the thought today.

    This is 100% a need Nicole.  Great idea.  I'm a Cvent admin for my organization, I gain so much value connecting with others and learning about how they are navigating large projects and implementation of upgrades.

    Hi Jodi,

    I'd like more Technical sessions. I honestly feel that most sessions speak to new users or those not currently using (or aware of) all Cvent's functionality. I love the solutions overviews and product roadmaps that give insight - but even find them to be very "Markety".

    I know there's the Training Camp on Sunday, but find it hard to justify traveling to the conference and paying the additional costs on top of of the Registration fees for one day of Training Camp. Even the demos in Cvent's booths are more high level.

    Hi Jodi -
    I'd really like to see some advanced "how tos" for the site designer. Specifically for setting up templates. I am responsible for setting up the design of our pages in CVENT, but am finding it difficult to manipulate the grid and elements at an HTML and CSS level.
