  • 1.  Rescheduling Event One Year Later

    Hello everyone,

    One of my events is being postponed and rescheduled for one full year , ie the event was supposed to be held May 2020 and is now rescheduled for May 2021. 

    I'm trying to think ahead to any potential hiccups down the line. Can anyone think of anything?

    Has anyone done this - do you have any advice?

    (I have reviewed the articles on postponing and rescheduling in the Cvent database)

    I'm in the exact same boat, my event was supposed to be in May 2020 and will now be in May 2021 instead. We are allowing registrants to roll their registration over to the new dates and are planning to reopen the same event so that payments for those rolling over are correctly accounted for. Here are the potential problems I could see:

    1. Session sign ups: if sessions change, we will need to delete the session and recreate one rather than changing the existing session so those who signed up for the session being deleted don't end up signed up for the wrong thing, if that makes sense. Especially for any sessions that are at an additional fee.
    2. Promotions: We will need to be careful with promotions to make sure they're not better discounts than those offered to attendees rolling registration over
    3. Registration: I was concerned that registrants who cancelled their registration and intended to re-register next year would see a message that they had already registered since we're using the same event. I tested this and did not see anything out of the ordinary, I was able to go through the path as if I was a new registrant. I also confirmed with support that the system will just re-activate their invitee record rather than creating a duplicate registrant as long as they use the same email address. 

    Additionally, I have long running list of everything that needs to be updated (emails, reg path, branding, dates, etc). If you think of any other potential problems I'd love to hear
