  • 1.  Opting out of emails by mistake?

    We just started using Cvent in February of this year.  During a recent event, we had 3 CEOs inform us they did not receive session emails that were critical to the event.  After further research, I discovered they opted out of our emails.  

    Has anyone else experienced issues with people opting out of emails by accident?  All 3 commented they did not recall opting out.  I thought it was a 2 step process - click the opt out button and confirm on the website.  Is that correct?

    In my experience, most of the time when someone shows up as opted out, it is because the email address is incorrect.

    Excessive bounces will cause an email address to be opted out also.

    I have had this happen to me frequently.  When this happens, I address it by logging into their contact file. This is done at the admin level (that menu at the top of the screen).  Check their contact, make sure the email address is correct, and then turn their "opt out" off to opt them back in.  In the case of executives, I also add their admin to the email in the CC box on the contact and when I'm sending critical emails from Cvent, I opt to include the CC address when I send.  In the case of a customer, who will often have an aol or yahoo email, I confirm w their sales rep and add the sales rep as the CC person to cover myself.

    Another issue we have battled is that our corporate IT marked cvent emails as spam.  So make sure your IT security team hasn't done this. At my company, we had to put Cvent through an IT security vetting process that evidently happened before I joined the company and they still marked emails as spam, it's a constant issue to stay on top of.

    Lastly, if you really need to, you can pull email reports to show that you sent an email and if they received it or opened it.  I use click-tracking on those critical emails, not because I'm trying to get a marketing metric, but because I have had to prove that I sent an email in the past.

    Thank you everyone!  I checked the email addresses of those who were opted out.  They are all correct.   But that was a great idea and I'll keep that in mind going forward.  

    Kristi, I loved your suggestion to add the CEOs' admins to the cc email address field.  I also enabled click tracking for our next event.  I'm looking forward to trying it out!

    Let me also add that I generally look at the attendee list to see who has opted out, by choice or in error and take a proactive approach in fixing it. 10 out of 10 times they want to be added back. Especially when I tell them that email is out our only source of communication. That days of mailing attendees is long gone for most of our events.

    Yes Steven! Most of the time if this happens to my events it is because they entered their email address with a typo.
