  • 1.  Unique Cvent Uses

    Does anyone use Cvent in a "non-standard" method like me? I use it for more than just events and usually have to come up with new unique ways to modify/customize my registration process and emails to fit different types of employee engagement/marketing programs.

    Hi Katie, 
    I'm not quite sure what you mean by "non-standard" way. What kind of non-event related programs do you run through it? How do you circumvent the fact that there's a date/duration at the root of the process? 
    One use that is a bit of a non-standard way for us is that we use it for our Call for Presenters (we don't use the Cvent abstract management tool). We put in the actual event dates in those fields I mentioned above, and then use registration questions for the session, bio, etc.

    Along with the many event registrations we do, we've also used Cvent for a couple other types of registrations. These both are launched far in advance of the event registrations.

    • We do a Supplier of the Year award and use Cvent to have our suppliers submit their application answers instead of filling out a Word document and emailing it. The only drawback is that they can only upload 1 document.
    • For our yearly virtual employee benefits expo, we have all of the vendors sign up to be presenters, and choose which time slots (sessions) they would like. That way we can limit the amount of presenters that are happening at the same time so we know we have the event productions staff to support them. When the expo was in person, we let them sign up for their booth and let us know who was going to be working it and what types of amenities they needed.

    Not sure if it's entirely not standard since it's somewhat related to an event but we use it for race nominations. My company sponsors several key large marathons across North America and as part of the sponsorships we can offer guaranteed entries to various races from 20 slots to 900+ slots so we use it for people to be nominated for guaranteed entry for our clients, prospects, guests and employees.

    Not sure if this helps but I used it for a camp/learning sessions this past year. It was called Learning Pods and basically we needed something for parents to sign their kids up for a AM/PM session (or both) for about 3 months.  What I learned was it's not straightforward and I gave a lot feedback to Cvent on this (a market they should tap into).  But what I had to do was create multiple sessions (import was my BFF) and keep it as AM/PM - if I did an all day option I could not control capacity (which was crucial with Covid restrictions).  I was able to add tons of consent and in the custom questions I added links to the required medical forms, forms for minors etc.  Overall it worked but some lessons learned:
    - If you have multiple Sessions upload them
    - Don't call the generic name AM Session/PM Session. Make each a date because in the agenda for each student all I could see was AM/PM so the back/forth if parents made mistakes was a pain.
    - Discount codes work, but the challenge we found was if you did by sessions and they had two kids they might not technically meet the qualifications but could get it.  Same with if we wanted all day vs half.  

    Overall we made it work and it took some work but the customer service was excellent in helping us make it work.
