    Happy New Year and welcome back to another Huddle of the Week discussion!
     
    We hope you enjoyed the holidays and are ready to start the year with high spirits. Let's kickstart 2022's first post with event planners (like you) to step up and share some time-saving event management hacks with other members. As an event professional, you must be always on your toes to improve, ideate, and skill up to make your event planning process as efficient as possible.     The planning and execution of events has completely changed over the last 20+ months. 

    • What are your top productivity tips while planning events? Create a timeline, and after each step look at the full agenda to make sure everything still aligns as things are completed.
    • What changes do you plan to make in 2022 to your event management process? We will strive to survey our attendees more aggressively, so we can make better decisions for future events.
    • How do you plan to work more efficiently with your team members and centralize event communications? Being virtual and on teams allows us to have a full dialog on a very frequent basis, but meeting once a week to touch base on the overall event is still a main priority.

    • What are your top productivity tips while planning events?  Timelines and checklists along with delegating attentively to ensure team members are not duplicating tasks.
    • What changes do you plan to make in 2022 to your event management process?  Listen to attendee and planner feedback.
    • How do you plan to work more efficiently with your team members and centralize event communications?  Tools like Slack make real-time, remote communicating easy.

    • What are your top productivity tips while planning events?
    • I am a huge fan of having a solid event plan/checklist in place to help guide the team through all the steps pre-, during, and post-event. It helps keep everyone aligned and ensures tasks are completed on time. A solid template can then be used for future events.
    • What changes do you plan to make in 2022 to your event management process?
    • None at the moment as we are remaining virtual for the year, but we'll likely look at how to increase event engagement and post-session follow up
    • How do you plan to work more efficiently with your team members and centralize event communications?
    • We have a point person in charge of event communications to make it easier to manage the process. We also have a communication schedule that we use to map out when, what, who, and how (what channels/media) to help manage the process

    • What are your top productivity tips while planning events? Having a timeline that you can share at the pre-con meeting is always a huge help so that everyone is aware what is needed and when items are due.
    • What changes do you plan to make in 2022 to your event management process? Sleeker Hybrid events
    • How do you plan to work more efficiently with your team members and centralize event communications? We utilize tools we have inhouse and have open communicaiton with a quick turnaround time.

      • be as organized as possible
      • embrace technology to work smarter, not harder
    • What changes do you plan to make in 2022 to your event management process?
      • Hire an event manager! Anyone want to work with me? 
    • How do you plan to work more efficiently with your team members and centralize event communications?
      • We are currently investigating project management software and how to leverage across the organization
      • We are beginning onboarding meetings when our internal stakeholders request a webinar to get everyone on the same page from the very beginning
      • Goal to replacement some of our email communication with a meeting and a project plan

    • What are your top productivity tips while planning events? Templates, templates, templates!
    • What changes do you plan to make in 2022 to your event management process? Focus as much on communications management as logistics management. 
    • How do you plan to work more efficiently with your team members and centralize event communications? On-line file sharing and task management platforms like Trello.

    • What are your top productivity tips while planning events?
      • Start EARLY. Get event specs from the event stakeholder and if possible, review and diligently note any additional items from the previous event's reg website and agenda
      • Use as many automation tools as possible: email marketing, reports portals, etc.
      • Make the reg website one stop shopping for all event questions. Don't just use a big, long FAQ, create custom pages for airport/transportation, how-to's (i.e. using the event app, exhibitor portal, speaker resource center, shipping and printing onsite, virtual event how-to's)
      • Put the answers to the most frequently asked questions on your out of office reply and turn OOO on. Link to the reg website where all the questions are answered. This can save you literally HUNDREDS of email replies, if not more.
    • What changes do you plan to make in 2022 to your event management process?
      • Understand the fastest and most efficient way to flip from onsite or hybrid to 100% virtual
      • Try more webinars
      • Create discussion-oriented events (using Cvent Discussions) to 1) bring in more potential attendees and 2) keep current attendees engaged
    • How do you plan to work more efficiently with your team members and centralize event communications?
      • Use a specific Channel in Microsoft TEAMS for a specific event.
      • Have cross-event collateral stored in a General channel/file section in TEAMS (until Cvent implements its content management system)
      • For the overall event managers, use a Gantt style management tool to track tasks, timelines, dependencies. For the "doers," what has worked best is to simplify the Gantt into a checklist and review it every week with the task owners.

      • integrate attendee feedback into future events

      • regular meetings and follow up.  Using tools like TEAMs has significantly helped.
