  • 1.  How to satisfy health and safety guidelines at your venue using Cvent Event Diagramming

    Hi all! We're back with our next edition of Tip of the Week.

    You may have seen last week's Product News (Hospitality) post sharing the exciting release of Diagramming Automation, and we'd like to dive into this a bit further for our hoteliers.

    Let's discuss ways to create layouts that satisfy health and safety guidelines at a venue using Cvent Event Diagramming, and how to use the Cvent platform to keep your guests as safe as possible.  

    • Diagram Automation: To save you and your team time, be sure to use the new Diagram Automation feature.
      • This will allow you to rapidly add arrangements of tables and chairs to a diagram for your desired seat count. It also can detect objects that are already placed in the room and avoid overlaps. 
      • You can also create and save presets through this new feature.  Presets allow you to save arrangements of tables and chairs for yourself or team members to be utilized whenever diagramming. Not only will this save you time when you're working directly in the tool, but it will also free up your team to focus on important initiatives by eliminating extensive training.
      • It is especially helpful to just click a button to design the event layout – not only will it meet your client's vision, but it will also satisfy public safety guidelines.

    • Interactive Floor Plans and Photo-Realistic3D: Now more than ever it's important for all things to be digital, and to give your potential planners the clearest vision of what their event space will look like while maintaining health and safety protocol. Use these features to share property details and build confidence and trust between you and the planner while they prepare for their in-person or hybrid event.

    • Social Distancing: Use the Social Distancing feature within Event Diagramming to ensure all layouts are a safe distance away based on the square footage and capacity of the room.

    • Source Safely: Ensure your property is listed within Cvent's Source Safely resource hub. This allows planners to find you through a new search method connected with the Cvent Supplier Network.
      • Additionally, your profile can be updated to include a Safety Information section tied to the Source Safely microsite.
      • Your profile can also be tagged in the search list of the Supplier Network and filtered by if you are a part of the Source Safely microsites.

    Questions for You:

    • Is there anything else Cvent can do to make the sourcing and bidding process as smooth as possible, while making health & safety protocols clear to all?
    • If you have hosted an in-person event recently or are doing so in the near future, what are your top recommendations for planners and hoteliers alike?

    We are currently planning a hybrid conference for November. Obviously, we don't know what the world will look like at that time. However, we are contemplating how to ask attendees about being vaccinated during registration. I really like how Cvent addressed this during registration for Connect and would be interested in receiving feedback if possible.

    I also liked how they addressed it, but am wary of how it is implemented on site.  A colleague from another city recently attended an in-person conference.  Due to underlying issues she has not received the vaccine.  She told me that approximately 25% of event attendees were not vaccinated and were made to feel very alienated by event staff throughout the event.

    Hello Holly, 

    I agree the questions are great examples!  It's very helpful to gather information from attendee to better plan.  I would add this to the F&B descriptions/questions;  "The buffets will have service attendants serving the buffet."  I think the attendee's will feel more comfortable that not everyone is touching serving utensils.  As buffets are returning to meetings/events, most hotels are requiring that there is a hotel staff that serves each person from the buffet.

    Even with the majority of states changing mandates as it pertains to wearing masks and social distancing, some planners are maintaining the request for meeting rooms to be set with  social distancing on the RFP.  By using  Cvent Event Diagramming you are able to provide a meeting room diagram with your proposal allowing the planner to have a visual on how the meeting room will look with the requested set.  Cvent Event Diagramming is such a great tool!
