  • 1.  Portals: Can you lock/prohibit the "Filter" function on a published report?

    I'm working on a report where the only way to show the appropriate data (hotel brand) is by using report Filters. When I publish the report to a test portal user, this test user can adjust the report filters to view other brands. Is there a way to prohibit or lock these filters from the portal user?

    Hi Meghan, 

    That is a tough one - I have a similar issue with showing only certain region's registrant lists. I don't believe there is a way to achieve what we are trying to do. What I've been doing (not ideal) is filtering the data in the report, export it, and send it by email. I do agree that it defeats the purpose of the Access Portal though.

    Hi Meghan and Béline, 

    When using the "filtering" option within new reports, when you save and publish the reports with filters, portal users are able to see the same filters tab and options that you see on the backend within the report when it is saved. They will see the same version of the report as you have saved on the backend and be able to uncheck and check off any fields that are available within the "Filters" tab when you save the report, which it sounds like you don't want.

    The solution to utilize instead of "Filters" within the report is "Advanced Criteria" which is located within a report in  Data > Change Report Data > Add Advanced Criteria. When using Advanced Criteria option, portal users will not be able to make any adjustments to the report (add or remove any advanced criteria options) nor do you have to worry about them being able to see information that shouldn't be shared with them as what they can only see will be pre-set for them.

    The filter option I need is not available under Advanced Options, otherwise I would have loved to use that solution.

    Hi Meghan,

    Can you let me know what the name is of the filter option that isn't available under the "Advanced Criteria" option within reporting and which specific report(s) you are using that it isn't available in? I'd like to submit the feedback to our product team and I also encourage you to submit it on the "Ideas" tab within the Community as well if you haven't already!

    The filter that is not available under Advanced Features is the "Awarded Chain."

    Thanks for the follow up. Do you also mind sharing the name of the report that this field isn't available as an option for within the Advanced Criteria section? And is it an event-level report, cross-event report, suppliers report, etc.?
