    Odd subject, I know.

    We have a yearly event with only one admission item with the capacity of 50. I opened registration at 9:00AM. By 9:41, SOLD OUT.
    Since so many people are registering the same time, they get the message, not available. There could be 40 registrations summitted and still 15 visiting.

    Registrations times out in I think 20 minutes. In that time I believe the registration is being held until it is put back in the pool.

    Does anyone else have small events that sell out very quickly and  how do you manage them?

    I handle several events throughout the year with a cap on attendance and one admission item; I have not had any issues you are referring to above.

    In larger events when I hit the capacity there aren't many people registering. I guess this requires a call. :)

    For our smaller events that are likely to sell out, we try to tier our invitation lists. So Tier 1 might be the top 100 people we'd like to fill the room with, tier 2 is the next 100, etc...until the event is full. If the event is full with the first Tier, then we don't have to have any frustrations from tier 2 about not being able to register. We also include a lot of "limited capacity" "registration is first-come, first-served" language.

    That has been suggested by the people who go every year. :) They want first dibs.
    People know this particular event fills up fast.

    I open it up at 9:00 AM. I should probably let it open at midnight next time. :)

    @Steven Schlossman - I have encountered this when a registration does not meet a certain criteria. It is a default message. When the capacity of 50 is reached, perhaps THAT is when everyone is getting the default message. Have you tried digging into the Language Management side and changing the default message? I would think that once capacity is reached Registration closes, but if there is waitlist enabled or some other option enabled that keeps registration open although the capacity has been reached, perhaps changing the default message to something like, "We're sorry, our event registration capacity has been reached" might work?​

    seems like a wait list would eliminate the log jam.  and surely everyone who registers doesn't actually attend...... so it would be good to have a priority for those who could take the next available spot.

    Need to bump this since I expect to open a registration soon.
    Anticipation for my next event is very high. I can only accept 50 invitees and  50 guests. It will be sold out within 15 minutes.

    Capacity is 50 for session A and 100 for session B. Session A will fill up very quickly.
    I can't use an event waitlist. Last year I used session waitlists and people were seeing registration not available.

    Good Morning Steven,

    I am assuming that with your Admission Item, you set a minimum session selection requirement of "1" last year, correct? Thus, once sessions A & B were both maxed out, there was nothing left for people to select to fulfill that minimum--prompting the registration error message. Did you have 'count waitlisted sessions towards the limit' enabled, allowing for people to go through registration while only actually being waitlisted for a session?

    Looking back at last year, my admission item included 2 sessions. No minimum required.
    All sessions had capacity and waitlist.

    Sorry Steven, just getting back to this thread now. Ok. Well, if you just have one Admission Item and it already includes those two sessions, A & B, if you use a cap at the event level, you shouldn't have any waitlist issues or experience having people in registration getting error messages. As spots free up for the Admission Item/Session B, you can invite people off of the event waitlist.

    We'll see, :) My concern is the time someone registers and submits payment. What happens when the 51st person goes to register and people before haven't completed their registration?  It's an usual situation that few probably face.

    Yeah, it's like the old days of Ticketmaster. Since our registration cycles can last up to 20 minutes, your entire event could sell out in that interval. We use a HOP. When we had events like this, when they go to hit submit at the end of registration, if it had already filled up, it would return them to the Summary page, empty handed. Then they would see the option to sign up for the waitlist. Integrated payment may function differently for that 51st or 101st individual.
