  • 1.  Producing Sessions through the Attendee Hub

    Hey, everyone! As a Client Success Manager at Cvent, I'm excited to share the next edition of Tip of the Week here in the Community. I've been working closely with so many of my clients to adapt to virtual and successfully use the Attendee Hub. Therefore, I wanted to dive into a key aspect of your virtual event through the Attendee Hub – virtual sessions!

    Below are some important steps I always advise my clients to take to successfully produce a session through the Attendee Hub. For all of these steps, remember there are awesome guides and articles in the Knowledge Base to provide even more detail.

    • Configure Videos for Virtual Sessions: To get started, you'll set up your sessions for the Attendee Website in the Attendee Hub.
      • Make sure Attendee Hub is enabled for your Flex Registration event under General > Event Features.
      • Within the event, begin by enabling your sessions to be virtual with the options of live stream, collaborative, or pre-recorded.
      • Within your session, click Edit > Basic Information > Set 'Will this session be virtual?' to Yes > Save these changes.
      • This will populate a new Virtual Session tab where you can note if it is live or pre-recorded. This selection will lead to different options, such as Session Type, Video Steaming Tool, or Video Player.
    • Test your Connection for Live Streaming: You'll want to make sure if you are live streaming any sessions that you have a stable internet connection.
      • Use a free site to test your internet speed.
      • Make sure your internet connection is at minimum 1.5Mbps upload speed, but ideally at least 10Mbps.
    • Complete a Dry Run for Live Streams: Practice makes perfect. Work with your internal team or Cvent team to complete a dry run before the big day.
      • We advise creating a test session in your event titled Dry Run Live Stream 1 and follow the instructions from above to complete the configuration.
      • You will then follow the steps as you will for your live event, which would be configuring the virtual session details, registering test attendees, share the URLs with your test hosts and speakers, and run through the entire live stream process.
      • On this note, it is extremely important to properly train your speakers, hosts, and moderators to be sure everyone is comfortable navigating through the platform for their session. Refer to these articles on preparing to host or speak at a virtual session for even more insight.

    • If you've hosted a virtual event through the Attendee Hub already, what is another suggestion you have for your peers?
      • We have not used the Attendee Hub yet!
    • Do you regularly test your event in the Cvent platform before launching or publishing to your attendees?
      • We test every registration in test mode and in live mode before launching

    This is all really great content, have bookmarked for future reference.
    • If you've hosted a virtual event through the Attendee Hub already, what is another suggestion you have for your peers?
    • Have not hosted an event yet, but possible plans to do so in the Spring of 2022
    • Do you regularly test your event in the Cvent platform before launching or publishing to your attendees?
    • From past events (in-person), we do routine, robust testing of the registration event site and mobile app with a select group of testers; this is so important to ensuring a seamless experience for our attendees

    • If you've hosted a virtual event through the Attendee Hub already, what is another suggestion you have for your peers? We have not yet hosted an event.
    • Do you regularly test your event in the Cvent platform before launching or publishing to your attendees? Not virtual, but for past in-person events and then our current events we sometimes host using Vmix on a cvent page we definitely do ample testing. We have a few different employees and set them up in various scenarios to run through every issue we think our clients may experience and try and catch them early on.

    • If you've hosted a virtual event through the Attendee Hub already, what is another suggestion you have for your peers?
                   We have not utilized the Virtual Attendee Hub yet.

    • Do you regularly test your event in the Cvent platform before launching or publishing to your attendees? 
               We test prior to going live with several Cvent users and after it goes live.

    • If you've hosted a virtual event through the Attendee Hub already, what is another suggestion you have for your peers?
      We haven't hosted events yet, but we are planning to. From past experiences from our colleagues, what we suggest is to double check the Calendar Reminders to make sure that all the invitees will have the links to the virtual meetings. If you haven't added it to the Calendar, the KBYG email is a good alternative to reach out to your entire audience.
    • Do you regularly test your event in the Cvent platform before launching or publishing to your attendees?
      We make a thorough test of the entire event before launching the event.
