    Hello, Cvent Community! McNeel Keenan, Vice President of Product Management, here. I lead the team bringing you our new end-to-end virtual solution, the Cvent Virtual Attendee Hub®. My team and I will be here in the Open Forum on Thursday, August 27, from 11 – 12 pm ET to answer all your questions and discuss the Virtual Attendee Hub for your virtual meetings and events.

    Hey Sherry! We're working on bringing attendee-to-attendee appointments with built-in video conferencing to the attendee hub later this year. We also have a number of exciting things coming to help attendees connect with each other directly, like session chat and direct messaging.

    I'm also interested in the answer to this question and if this feature will be available for attendees to set appointments with our staff and vice versa. Or if we have to set our organization up as an exhibitor so that attendees can request one-on-one appointments.

    Either way is an option! For the time being, we're just making Cvent Video Conferencing available for attendee to exhibitor vs. attendee to attendee appointments. However we are working on bringing that experience to attendee to attendee appointments later in the year.

    Hi McNeel, thank you so much for hosting this Ask The Experts session! I am loving the Cvent Virtual Attendee Hub experience during Cvent Connect and I cannot wait for the Roadmap Session tomorrow. My company has been doing several virtual events and we have been using a few different tools and platforms and as the future is looking virtual/hybrid, we are very excited to understand the Virtual Attendee Hub works. My question for you is what is the backend technology that we may need for our speakers and presenters if we are to transition to the Virtual Attendee Hub for future virtual meetings? Do we need to be integrated with Zoom, WebEx, etc. in Cvent for the live stream to work on the platform?

    Hi Jenny, 

    Cvent Virtual Attendee Hub offers an all in one solution for your event. Live sessions will be streamed through the Cvent video player. We do include a capture tool with our live streams. Alternatively, you can utilize your own capture tool or work with a production company as long as it support RTMP (Real Time Messaging Protocol) output and have the content streamed and embedded in the Virtual Attendee Hub. For collaborative sessions, we offer video conferencing or you can bring your own!

    Hi McNeel,

    The keynote was an empowering start to the event!

    Will the Cvent Virtual Attendee Hub be an a la carte solution in which certain elements that we are experiencing in Cvent CONNECT will be an add-on at an additional cost?  If so, what will be included in its core base? 

    Will reporting incorporate all solutions (Flex registration, sessions with the Virtual Attendee Hub engagement) in one report?

    Is it using the Flex UI for the build?

    Hi Loretta!  Thanks for joining us.  The solutions that we used to power Connect Virtual were Cvent Registration, Cvent Virtual Attendee Hub, and Cvent Appointments.    And yes- Reporting will all be in one place so you will see some additional reports about Attendee Hub engagement show up in the reports list for example.    

    As for the build experience- its all done in the same event but it's a little different than the canvas based, drag and drop interface of flex.  Your account team would be happy to give you a tour now.  They can also review the pricing details as well.

    I have enjoyed using Attendee Hub for Cvent CONNECT this week! I am curious if there is an option for attendees to download content in real-time, like in the mobile app? Speaking of the mobile app, can you contrast the differences between CrowdCompass and Virtual Attendee Hub for those of us familiar with CrowdCompass for live events?

    We do have a mobile app as part of Attendee Hub. If you want to see it in action you can download Cvent Events and search for Connect. Attendees are able to view documents and search the event schedule. 

    The Attendee Hub Event App was inspired by CrowdCompass and how event apps have been evolving over the past decade. We wanted to build an app that fit your needs in 2020 so you'll find a lot of similarities. We don't have a 1:1 comparison for CrowdCompass and Attendee Hub at this time but your account team will be able to walk you through the differences.

    Hi Hallie, 

    A lot of the same principles of data privacy apply to virtual as they do for in person.  We have seen a tendency of other virtual platforms that were built many years ago to be fairly invasive in the amount of data sharing that they are doing with third parties like exhibitors.  In general, it's always a best practice to make sure that your attendees opt in to having their information being publicly displayed in anywhere in the virtual event experience.  Additionally, they should consent each time before sharing their information with any third parties as well.  We are making sure that these workflows are easy to use and understandable for attendees but also enable you to provide value for your exhibitors and sponsors as well.

    Hi Rachel! For collaborative breakout sessions (where all attendees can speak or be on video), we have a limit of 500 attendees at a given time when using Cvent Video Conferencing.

    Like others, I am curious to know about the pricing structure to use the attendee hub for our own events. And would the price be all inclusive of all the functions or would it vary depending on which functionalities we required for our own events. 

    Will there be an option for attendees to select their schedule ahead of time and view their selections within the attendee hub page? That is one thing I am missing with Connect. At each time slot I need to review all the sessions again to make sure I am going to the right one based on my previous research.

    For pricing, you will want to reach out to your Account Manager to talk about the requirements for your event so they can provide accurate pricing! 

    We are actively working on session enrollment and personal schedule. We are targeting a late Q3 release for this functionality.

    For the video session, what is the production level behind the scenes when switching from speaker to speaker, showing multiple speakers at once, toggling to content, etc.? Is this accomplished by the host/moderator?

    Hello McNeel, 

    It's thrilling seeing a bit of what Cvent is working on with the Engagement Hub. While I've been enjoying Cvent Connect so far, it is my understanding that many features are not yet available. Do you have a timeline for when features such as My Sessions and One-on-One Appointments between attendees will become available? 
    In the meantime, and since our events do not have exhibitor and sponsors as a big component, we are considering using CrowdCompass to add a bit of that engagement layer to our virtual events, using both the desktop and app versions. That said, I know you will eventually sunset CrowdCompass in favor of the app you are building alongside the Engagement Hub. Any timeline on that as well? Will clients who have CrowdCompass be shifted into that new app?

    Thanks for joining us at Connect!  My sessions will be coming very soon in September.   One on One virtual appointments are supported today for Exhibitor appointments and we will be introducing support for all attendee to attendee appointments in Q4.  

    For exhibitors, we do have a fair amount of functionality available today in the virtual attendee hub like Exhibitor and Sponsor listings, Exhibitor Documents, Sponsored Sessions, Video Conferencing and Inbound leads.  You may find the Virtual Attendee Hub actually is a great fit for your event now. 

    As for the Event App part of Virtual Attendee Hub, it's actually available now.  We launched the early adopted in March and we went into General Availability on august 1st.  The great thing is that it's all on one platform and it's one unified solution.

    I'm still a little confused regarding the Event App part of the Virtual Attendee Hub.  Is this only for virtual content?  How does a hybrid program operate?  We currently use the Crowd Compass App for in person events.  How will this work alongside the Virtual Attendee Hub or is there another solution in the pipeline?

    Cvent AttendeeHub features both the attendee website and the event app and is now our recommended solution for powering virtual event experiences.   There are still a few features that you have seen in crowdcompass that aren't yet available with the attendeehub so for in person events, we are still recommending CrowdCompass for the rest of 2020.   Ultimately, AttendeeHub will replace CrowdCompass.  But don't worry CrowdCompass isn't going anywhere anytime soon. It is full supported and still powers hundreds of events every month.  There is no formal timeline right now but we know that CrowdCompass will be fully supported through 2021.

    First, I have to applaud CVENT on the exceptional CVENT Virtual Event.  Everything that I saw and experienced was top notch.  One of the items I noticed was the help bot.    How did that work on the platform?  Did you have multiple people in the background answering the questions?  I thought the response time was fantastic.  Moving to virtual, we have also experienced the need for a help desk, and this was the perfect solution.  Is the help bot a part of the package or an outside company.  Right now we are using the old fashion send us an email or text, and we will work with resolving your issues.  Most of our problems usually are sign-on issues.  I can not remember if you had to sign on before the help option was available.  My question to you is how can technology help us with our attendees with on the spot questions, from the sign-on issues to signing into sessions.

    thanks for joining!  We are working hard to allow our customers to create a similar experience as connect virtual. We got a lot of great feedback from attendees on their chat bot experience. We plan to launch support for allowing our customers to bring their own chat bot service starting in Q4 of this year.

    Hello Linda, 

    Virtual Attendee Hub does have an app! We wanted to build a mobile experience that was 100% part of our Cvent platform to make it even easier for you to build a complete experience for your attendees. It is a new app and will eventually replace our CrowdCompass experience. CrowdCompass will be supported throughout 2021 but Attendee Hub is available for use today so you can choose when moving makes sense for you.

    For the virtual booth, did Cvent staff add all the exhibitor's content or is there a way for an exhibitor to do this themselves? Do you have support documentation for exhibitors that clients can provide to their exhibitors on how to participate in the virtual booth as an exhibitor?

    The exhibitor resource center allows exhibitors to manage a lot of content on their own. Cvent does facilitate the management of virtual booths. We are working on providing support documentation available.

    Hello Cvent Experts, 

    how do you feel that the Higher Ed Community can benefit from using the Attendee Hub? We have many departments that are looking for ways to "pin" a participant with a speaker so that it simulates them asking the question directly. Another request we are having is options to host virtual poster sessions for students. A poster session is kind of like an exhibitor hall where students will present their final project and have judges ask them questions about their findings. I would love to hear your thoughts.

    Hey Eva! Thanks for joining us. We see a lot of opportunities for virtual events in the higher ed space. For poster sessions, we're thinking about how best to optimize the product long-term, one way to facilitate them would be through virtual booths, with each student as an exhibitor and scheduled time for their presentations. They could also be managed as sessions, depending on the volume. For speaker and attendee interaction, we do plan to continue to extend Live Q&A functionality with things like written responses directly from speaker to attendee. Our product team loves hearing feedback and working through solutions with customers, so feel free to reach out to your account team if you're interested in a deeper discussion.

    Eva, one other thought here - there is a new HigherEd Resource page within the community (https://community.cvent.com/resources/highered) that you can check for future huddles with other HigherEd customer where you might be able to work through specific use cases with others. Thanks!

    Hi Team,

    Awesome job with Cvent Connect Virtual! Really excited about the Attendee Hub. For the page tabs within the Hub, are these hardcoded or can the text be changed? For example, if we have a collaborative event with other organizations, could we change "Sponsors" to "Partners"?

    If we have attendees select the sessions they would like to attend in the registration process, is there a way to differentiate "My Sessions" versus all available sessions? Additionally, can the session page be dynamic so that it populates with the current day's sessions at the top versus having to scroll down?

    Hi Mary- thanks for the kind words and thanks for joining as at Connect Virtual.  All of the text in AttendeeHub can be edited.  We have a language management tool that allows you to edit any default system text.  

    And yes- "My Sessions" was something that wasn't quite ready in time for Connect Virtual but it's coming soon.  Attendees will be able to build their agenda in AttendeeHub so no need to make them do it during the registration process if you don't want to.  

    As for the session list - yes we have heard that feedback and will no doubt be incorporating enhancements to the session list on the roadmap soon.

    very popular question!!   it;s actually an app from snap chat called Snap Camera.  You can install it on your mac or PC.  Then when you are using pretty much any live stream production or webinar tool, you can select Snap Camera as your camera source instead of your webcam.  I've actually been torturing the team helping us manage the AMA today for this whole hour! see attached :)
