    Hello, Community members! We have some exciting news to share – on March 28th we will be hosting our next Ask the Expert session here in the Open Forum! We will have 3 fantastic experts from Cvent's Product Team here to answer all your questions on Event Reporting & Insights New Updates, how you can customize the new Session insights page to fit your company's specific needs, how to add GL codes to your event and report on it, how to send a report to a stakeholder who doesn't have Cvent access and more.

    I would love to know if there are going to be updates that get us closer to custom reports from the old cvent. I hate when I start a report do my editing, and then realize that there is just one field that I can't pull and I have to go completely do another report

    Hi Justina,

    We are currently working on creating a new report building experience which is similar to the old custom reports. This will allow you to add information from a lot of different parts of the registration like contact fields, custom contact fields, registration questions, internal questions, registration data like admission item, registration type etc. It becomes a little tricky when we want to pull data where an Invitee can have more than one value for a given column. As an example, an invitee can have more than one hotel request. In these cases, we will allow you to pull the "Most recent one" in the Invitees report so that we don't end up repeating invitees in different rows.

    In a similar example with "Sessions", we would show all the sessions that an invitee is registered for in a single column as each invitee can have a different number of sessions and repeating the invitees once per session will make the report very difficult to read.

    If you have questions about a particular field not available in the report, that can make your job easier, feel free to share that with us by submitting a case.

    Hi Hallie,

    We do have a plan to develop a standard report, available in our Admin section, which would show Portal Managers data around their reports published to an Access Portal, including who ran them and when (so that they can understand which ones are popular/getting adoption). As per the current plan, it looks like something we will be able to deliver sometime late 2024/early 2025.

    I feel like the consolidation of reports will help cut down on confusion, but I'd still like to see more customization options. The Registrant Details report is usually my go-to but even it doesn't have all of the necessary components sometimes.

    As you rightly said, consolidation of reports is being done to cut down on confusion and have you discover the report you are looking for easily.

    We are also currently working on creating a new report building experience which is similar to the old custom reports. This will allow you to add information from a lot of different parts of the registration like contact fields, custom contact fields, registration questions, internal questions, registration data like admission item, registration type, amount ordered, balance due, Hotel request information (most recent), Air Actual information (consolidated) etc.

    We are staring with the Invitees and Registrants as our first report that will use this new experience. Our goal is that all reports start using this in the future and that includes Abstract Management as well.

    Hello! I would love to know if they are looking at an All Fields report option like we did in the old Cvent version of reports. So it's not necessarily tied to a specific type (Travel, Hotel Request, Invitee) and can show any data in one report. I know we can create one that is close to that out of an Invitee template but I wanted to find an easier way to pull all registration data into one report. 

    Also, have they thought about being able to create a custom Report Template at each account level that will pull into all events?

    Similarly, with Air Actuals, an invitee can have multiple legs for coming to the event and going back. In this case, we are planning to add columns that will pull the final incoming flight and the first departure flight as we believe that is what you need to plan ground transportation.

    Hey Katie!

    Thank you for sharing your feedback regarding account level custom report templates! We are currently working on a feature that will allow you to create account level saved report templates. This means that you won't have to start from scratch for each event and can easily reuse them. Our goal is to have this feature ready for you by late 2024 or early 2025.

    In previous version of Cvent, there was a way to lay graphs from an archived event over a current event. More specifically, we could take the registration tracking line chart from last year's event on top of this year's event to see if we're hitting similar numbers, when to expect spikes in attendance (and if there is any pattern to that), and can better project final attendance. Is it still possible to do that? Is there another update or report that will satisfy the same intent? Thanks!

    We understand the importance of having such functionality, and we are actively planning improvements as part of an event insights initiative, and exploring the best solution for comparing registration data and pace over time across events. The objective is to provide you with a comprehensive tool that will enable you to evaluate registration performance and plan future events more effectively. At present, this project is in the early stages of product discovery. We encourage you to subscribe for product updates so that you can stay informed about the progress and availability of this feature. 

    We do actively working on the revamped registration over time chart that is scheduled to come out later in a year. The feature will surface registration numbers at the single event level.

    Is there a way to make revisions to RFP and proposals easier to see? When the RFP is edited and resent it can be very hard for the hotels to see what exactly was updated. Likewise when the hotel updates a proposal it can be hard to view what is new from the planner side.

    I run weekly/monthly reports (previous week, or previous month) and have challenges with the current version of Reports and filters including all data in the report. I need to go to each of my filters and select "All" to ensure the data is reported accurately. The report doesn't seem to include new field responses from the previous week/month. It stays stuck on only the responses selected from the last time I ran the report. The new responses are available in the filter but not selected so I have to go to each filter and select "all". 

    Example: I have the "Meeting Purpose" filter set to all. In total we have 15 different responses that could be selected by the registrant. Last week, only 10 of those responses were used, and I selected "all".  This week when I run the same report, 12 responses were recorded but only 10 of those responses were selected, the same 10 from last week. The two new responses must be manually selected. 

     In the previous version of Reports, when we selected the "All" filter for fields, the report would include all responses for that field, regardless of if the response was recorded the last time the report was run. The "All" filter automatically included all responses recorded within the timeframe I selected for the report.

    Does anyone else have this issue? How can I overcome it? Reporting can be inaccurate if the manual step to select "all" isn't applied.

    Have you considered creating a visual metric on the dashboard that shows a pie chart with the various registration statuses on it?  For an invitation-only event, it's much easier to see a pie chart broken down with accepted, declined, cancelled, no response, visited on it than a linear graph that shows registrations but nothing else.

    We understand that for invitation-only events, having a pie chart breakdown with accepted, declined, cancelled, no response, and visited statuses would provide a clearer overview compared to a linear graph that only shows registrations.

    We are pleased to inform you that Cvent is actively working on developing a Registration Overview feature, similar to the existing Session Overview. This new product is expected to be released later this year and aims to provide event planners with a comprehensive set of widgets that offer key insights into event performance.

    One of the widgets planned for inclusion in the Registration Overview is a breakdown of registration numbers based on invitee statuses, such as cancelled, waitlisted, and abandoned registrations, among others. We appreciate your suggestion as valuable feedback, and we will explore options to incorporate additional registration statuses in a visually intuitive format.

    Hi, 

    Looking forward to the report revamp, and I've already started tweaking some of the new templates that are available. 

    I'd love for the titles of the new report templates to be clearer as to which fields can be pulled, or maybe some kind of tagging would be nice? I always have to dig into a few of them before finding which one allows me to include registration questions, vs which ones are post-event reports with attendance, etc.

    In response to the comment below, it would be really helpful if you could have report samples in one place on the Cvent community so we can look at them to narrow down our needs before we go to create a report.  Often, we know what info we want on the end report so having a way to look at sample reports in the community would be very helpful.

    We often use email domains in reports to filter or identify employee, clients, etc.  While email domains are agnostic when it comes to upper and lower case (i.e.. an email typed as xyZ.COM will be sent just like xyz.com.  However in Cvent reports, they will be listed as 2 separate domains - they are not.  It would be great if domain filtering would also be case agnostic.

    Due to our data storage mechanisms, email domains are case sensitive at the moment. Rest assured, we are aware of this issue and are working on making email domains case agnostic.

    I use the same basic report on multiple events, especially for our full attendee reports where we are capturing all registrant details, sessions, custom questions, etc. I would love to have a template that would pull the same details on each of my events automatically so I don't have to reinvent it each time. I know the report templates pull basic information, however it's a rebuilding process each time as I still have to go in and update the report data and filters for each event, even though they are similar each time.

    I would love to have more information on the new Air Actuals report. The Category field is a bit of a problem for us. We used this report as a flight manifest before, but now that some participants are doubled, we can't rely on it. Would like to know the thought process that went through this.

    We understand that the Category field has presented some challenges for you, particularly in relation to participant duplications. Our aim was to consolidate all air actual history, including modifications and cancellations, into one comprehensive report. By doing so, we sought to provide you with a convenient and efficient "one-stop shop" for all your air actual data needs. Recognizing the importance of having access to the most up-to-date air actual information, we also understand the significance of being able to verify it against event registration plans and housing bookings.

    To address your concerns, we have decided to continue supporting the Air Actual Details report until later in a year. During this time, we are planning to introduce a feature that will provide you with greater control over the report. This feature will allow you to choose whether you prefer to view the modifications history or solely the latest air actual record. Based on your selection, the report will be populated accordingly, ensuring you have the most relevant information at your fingertips.

    I'd like to know if there are any upcoming updates to reporting in regards to merging fields. For example on a dietary report, typically guests and invitees have different columns for restrictions- could we merge the restrictions into a single column

    The current reporting allows you to customize in a lot of different ways like adding/removing columns, reordering columns, defining the sorting criteria, grouping criteria, applying filters etc. and we keep on adding newer options regularly.  We are also working on a new report creation experience where you will be able to create a report from scratch and will still have all these capabilities.

    I don't know if it's something I'm doing incorrectly, or it's just the way the reports are set up, but if I just want to run a report to show accepted and cancelled attendees - I have to search down the reports to find a template that has cancelled attendees in it. 

    I would like to just run the 'Registrant Details' report... and add the Invitee Status = 'Cancelled'... but I can't. That filter is grayed out. I feel like I should be able to do this with any report - the filter is there... but I can't change it when running the report. Again, it could be user error, but I've tried numerous things! Thank you!

    Hi Leigh Anna,

    The registrant details report only pulls invitees who are currently in "accepted" status. This report was created to help planners quickly get to the accepted invitees. For the use case you mentioned, you should be using the "Invitee Details" report. This report will let you filter invitees from all statuses. 

    Also, we are currently in the process of consolidating our report list page so that you are able to find the report that you are looking for, easily.

    We are having a difficult time with the GL Code reporting for admission items/sessions GL Codes ... so when I go to the Cross Event Reports and run the Event Fee Details report and add the 'GL Code' field to the report, the GL Code field does not populate any data. Any help would be appreciated - we really need a report to list all our items and GL Codes. Thank you!

    Hi Leign Anna,

    I know that we were recently working on getting the cross event GL reports updated especially after adding the ability to define 2 GL codes per fees (which was not a functionality in classic events). Adding this functionality essentially changes the way the reporting works as now each fee can possible have 2 GL codes and a certain attribution percentage towards each GL code. If you see a column that it not showing any data, I would request you to contact our customer service team, so that it can be escalated to the right team.

    Are there plans to create a better report that shows modifications to a registration record? The "answer change history" report is grouped by registrant, which is hard to read, and it includes every record because technically, fields were modified from no answer to having an answer. It would be helpful to see ONLY actual modifications (after registration was submitted) and stating what the modification was.

    Hi Caroline,

    This is a great suggestion and I can see this being a great help for planners who only want to look at any modifications done by invitees after the initial registration. This can help them in taking the appropriate actions based on the changes made during the modification. We do not have anything on our current roadmap that addresses this, but we can surely add it to our backlog and start taking a look on how we can solve this in the future.

    Will there ever be more flexibility in design and artwork and building 'layers' of images maybe instead of having to custom build in photoshop outside of cvent first? Maybe more 'template' style pieces too to work with (I know you have a cvent templates site) but then they require needing a cvent designer and would love to be able to do more of that one our own.

    We do allow you to use CSS and code widgets to add custom code and interactions that are not currently available out of the box. We are exploring more options to make the customization of these components more user-friendly while giving more options but we are still working on possible solutions with our user experience team at this time.

    Hi Judy,

    Thank you for the question. Just to make sure that we understand the question here, when you say mapping a feature directly with report are you referring to Event features. If that is true, We do have some reports that are visible based on the event features being enabled in the event. For example the agenda reports will only show if you have the agenda feature enabled in the event. In addition to that we also control columns that are available in the reports based on features enabled. One example around that is columns like Amount ordered, Amount paid and Amount due will only show when pricing is enabled.

    Hey Lauren,

    We support Group Flights in our travel module today https://support.cvent.com/s/communityarticle/Setting-Up-Group-Flights and have a report "Group Flight Overview" to show the summary of pick up counts against the inventory. Additionally, once a group flight is picked up, it becomes a part of invitee's air actuals and all the air actual reports will show that data for each invitee as well.

    Can you compare Session attendance from one event to session attendance from another event? (Ex. I am interested in knowing how many people were registered for a similar session at last year's event on Week 3 of registration, so I can track and project final attendance based on weekly registrations for a particular session.)

    Hi Cate,

    You can compare session attendance event to event. To do that expand Agenda menu in the left hand side navigation and open Session Overview. Then hit Compare data in the top right hand corner and select Event to event. The feature allows you to lay out 4 events side by side including your current event. 
    We don't yet offer an advanced date filter for session comparison and will take this as a feedback for the future product enhancement.
