    It's time for our first Ask the Expert session of 2023 in the Open Forum!

    Planners are exhausted. According to the February Northstar/Cvent Meetings Industry PULSE Survey, planners are optimistic and perceive the value of in-person to be greater than pre-pandemic, but they're also stretched thin, expecting fewer attendees, and experiencing slow RFP response times. Join us on March 9, 11 a.m. – 12 p.m. ET to find out how to help planners simplify their workload.

    Great question, Colleen! While a looming recession may be of concern, from a financial firm's perspective, there are no talks of a dip in the number of events. In fact, due to the constant change in the financial markets, we are seeing more of a need for client touch and engagement throughout the year.

    From a hotel perspective, we do notice that event planners are booking more on a short term instead of months/years in advance. However, the clients that we spoke to have not mentioned anything in that regard and leads are coming in for Q4.

    Hi Rebecca, while this may not be a new so called "trend"; I find polling to be a key contributor to client engagements, as you can engage with virtual and in-person attendees. Using personal devices with various platforms and apps is also key. Cvent's survey and attendee hub are great products where clients can engage throughout the program (posting pics, asking questions, receiving push notifications). 

    In terms of layouts for meeting space; combining a traditional layout with "living room" kind of feel has received great feedback. People learn and engage in different environments, so having crescent rounds with lounge seating can accomplish just that.

    Hi Rebecca,

    As far as unique meeting space designs, we do notice a lot more set-ups that move away from the traditional set up and opens the floor for more networking and mingling of the attendees. As well as Rose says, a combination of a traditional lay out with the 'living room' or cocktail setting is very popular at the moment as attendees have not seen each other or were not able to meet in person for a while and this is a returning aspect for almost every group.

    Hi Katie, with regards to response time; are you referring to vendors response time? I think it will take some time for the industry to level-set and we will continue to experience lean-staffing in the near future. And so, knowing this it is imperative to give yourself longer lead times when planning.

    • What trends are you seeing for networking opportunities and welcome/dinner receptions for events? 
    • What do you feel is the best way to transform a ballroom into an engaging space to captivate attendees?
    • We have a 4 year contract at a Marriott property, but the response times are delayed 4-7 days. Do you see this commonly? Is it due to less staff, or the demand for more in-person events, or both?

    Hi Vicki -

    Thank you for your questions and I hope this gives some insight for you.

    In regards to the networking trends, we definitely see an increase in groups adding a welcome dinner or reception at the beginning of their event. This is mainly due to the fact that attendees were not able to meet in person in the last few years. The main request is an outdoor space that has a unique setting or different from a meeting space since they will be in the ballrooms during the day for their meeting, they want something different. This is usually paired with a theme or specific cuisine and entertainment.

    As far as the transformation for a meeting space, it is going away from the traditional set up and an additional set up such as a lounge, living room, or cocktail tables in the same space, to give the attendees the time and opportunity to mingle. There are even meetings now where they entire set up is lounge style or cocktail tables. That way people, can move, mingle and are not seated next to the same people the entire meeting.

    Working for a Marriott hotel and seeing your last question hurts my heart. At my property, we have a rule that if a question, lead or RFP comes in before 5PM, it will be answered in the same day, or we reach out to the client. After 5PM, you will have a response the next business day. If for some reason, we are not able to return a question right away as we need to consult with our chef or operations team, we would still email the client to let them know that we are working on it and have an answer within a certain time frame. However, being able to see in our booking system if other Marriott hotels are sourced, it actually happens often that their response is delayed. In my direct market, this is all due to staff shortages and not having the people in the office to answer any questions or leads. As an event planner, you are vital to our property and you could address this with that property that if an immediate response is needed that you would list this in the email that you send and if it is a question that does not need to be answered right away.

    Interesting question, Hallie. The short answer is absolutely! In the past you either came or didn't to an in-person event. We are now seeing it necessary to take the in-person event and have a broader client reach. And so by recording, sections of an event or a replay can be available for folks who cannot travel to the in-person event.  

    It is really knowing the type of event that determines whether it should be in-person, hybrid or virtual. My take is that anything longer than an hour (maybe an hour and a half) should be in-person or hybrid. Product updates (where there is limited to no interaction with the audience) are excellent events to be simu-live (especially if they need to be reviewed by legal).  The virtual (live) events tend to work best for experience events (i.e. books clubs) or events that provide content and there the opportunity to ask questions throughout to the panel.

    Hi Kayla -

    I would say the easiest way is email. Working in a hotel and with groups on property, we are not always in our office to answer a phone call but we do have email on our phones that we can see wherever we go. This also avoids the situation of phone tag which happens very often so I would definitely recommend an email or schedule a call if that works better for you if you need to have a more in depth conversation.

    Beth, love that you are asking this question! For full day/ multi-day meetings, I always try to incorporate the great outdoors! And so, having you food in the outdoor space of the event is key. Breakfasts or lunches could be set outside or your breaks with some lounge furniture; just to give folks the opportunity to get some fresh air.   If you are planning an event where team building is required --- have that activity be outdoors if permits. However, when looking for your venue - choose the ballroom that has a courtyard or pre-function space "attached". 

    I wouldn't be surprised if F+B continues to increase; however, not at the same rate as the last year.

    Yes, we have very little request for any hybrid meetings or virtual meetings as I would say we are back to 90% of in person meetings. A few companies, still do a recording of their program if they are international or want to use it at a later time.

    It all depends on the event and the strategy of the event! I have some events where we cap the event because it is a must that we have it at a specific location. The key is to know your internal client and the goal of the event to determine where you need to be most flexible.

    What we see with groups is that companies are more cautious when it comes to booking a program and asking for less rooms and meeting space as they are not expecting the same amount of attendees as before. However, we had a group recently that said they would have 150ppl, and it ended up being 250ppl, this is a big difference and we were able to make it work so what I would suggest for any companies in that same predicament and not being 100% sure on the number of attendees is to work with the hotels on either a lower attrition, or add a clause where you would review the meeting space 2 months prior to see if the full amount is needed or if it can be reduced in any way.

    However, the more events a company has, they volume does go up!

    This is key in order to be able to provide a quick response to a client. We have all basic hotel information loaded in all portals such as Cvent but also for proposals that are directly to the hotel. This saves a lot of time and gives us the opportunity to get a proposal out in the same day! For any hotels that have not done this, please do so as this saves you a lot of time on each proposal!

    Automation is EVERYTHING!!!!! My team of 3 would not be able to handle the 300+ annual events without it. I have found Cvent products such as the Access Portal (automated reports), Budgeting tool, SMM (we use for event requests/ assignment). event reminder emails to be such valuable resources!!!!! Could not do my job without it!

    My property is more of a corporate hotel but there are a large variety of resorts in South Florida and colleagues at other properties have noticed that this is being combined more often especially for a sunny destination as South Florida and even more so when it is winter in most other parts of the States. There are definitely incentive trips where the partner is invited and we receive more requests on activities that can be organized while the partner is in the meeting.

    Now that virtual and hybrid events are in the mix; we are now planning more events and with more attendees! Also, the ol' multi-day conference is now hybrid - so you have another level of complexity. So essentially greater more complex ops tempo.

    We have definitely noticed a change in planners. We have a lot of companies that come back all the time and there has been a change in planners. For some of them, they are being combined or it is someone that hasn't done it before. So I would say it is a combination of both. We have an amazing Convention Services Manager that has a lot of experience, and for the inexperienced planners, she takes her time to help them and educate them on the clear expectations for both her but also the planner in the sense of what kind of information we would need from the planner, the timeline and she helps them through it to ensure that we have all the information for a successful event that exceeds the clients expectations.

    I am again going to say it Depends! There are certain client experience events that have more flexibility with dates as opposed to an event that is market driven. Being able to distinguish is key to understanding whether it is rate, date or attendee experience to take the priority.
