    Hello, Cvent Community! We have some exciting news to share – on August 4 we will be hosting our next Ask the Expert session on this post!

    According to the recent Northstar/Cvent Meetings Industry PULSE Survey 70% of planners are booking or actively sourcing for their next event. But with nearly 80% facing issues over rising costs, the rush to in-person is not without challenges. We will have 2 industry experts here to answer all your questions on how to overcome these challenges based on the latest report released on June 23.

      This is a tough one Justina! There is no way around the truth, there is an availability crisis in the United States. Hotels are filling up faster and at higher rates than ever as travel is back post-Covid. For upcoming events, my recommendation is be aggressive on your room counts, if you normally do 100 rooms a night, maybe push to 110-115. Hotels are less likely than ever to be able to add to existing blocks.

      Gina, I hear that hotels are taking a much longer time to response to RFP's a lot from planners.  Each hotel receives the "Response Time" KPI from Cvent each month, as teams are return and staffing up, I think you'll see quicker response times soon.   Also note we have many new salespeople who are in a learning curve and take a little longer to work through the RFP.  My team tries to always have a 4 hour turn time to respond to RFP's. Our average YTD is 5 hours.

      Generally, hotels are responding in the US within 2-3 days. I set clients expectations that if we source on a Monday, we will have bids by Thursday and I will send our bid report late Thursday or Friday. If it is time sensitive, obviously that changes and we speed it up. But thinking it will be same day from all hotels is not happening currently.

      Hi Beth, Yes you should request what your needs are regarding safety procedures in your RFP's.  Many hotels, brands and states have different standards and policy.

      How are you handling budget overage when the costs of rental, f&b, a/v and lodging has gone up exponentially. Additionally, as some companies (A/V specifically) are trying to make up for lost revenue, how do you do comparative budgets from previous meetings when planning for the same needs now that you had for a meeting held three years ago?

      In my position as a Director at HelmsBriscoe I work with the end-user clients on sourcing so I forewarn clients that availability is very tight and all prices have skyrocketed. That expectation has to be clear going forward. Hotels have most of the leverage right now but that does not mean they won't show some flexibility, you need to pick your spots, dig in where you need to but understand that budgets from three years ago just do not apply to the current hotel world.

      Judy, what works best for me is sending the RFP then also sending a message to hotels that they need to hustle on this one, that gets maximum responses. But still it is only about 60% of hotels getting them in on schedule.

      Hello Judy, the best advice I can offer is to flag URGENT and emphasize the decision date.  You can also state "no late bids will be accepted".  You may see a faster or on time response.

      I absolutely believe that in-person attendance is impacted when the option to participate remotely is offered.  I just don't have any statistics to back that up in a direct way.

       

      However, anecdotally, I believe we could reach more eyes and ears if we presented a hybrid event.

       

      I have only one big event to base that on, our annual conference.  In-person prior to the pandemic we were slowly growing in attendance each year and had reached about 360 in 2019.  In 2020, we went virtual and had 454.  In 2021, back in-person only, we hit 332.  This year we are expecting about 330 but that is due to room nights limitations in the city we have chosen to hold the event.

      I think it allows people to attend more conferences than they would have pre-Covid. So it likely leads to a mix, people attend new conferences with hybrid but are back in person for the conferences they attended yearly pre-Covid.

Hybrid done right can and should extend the reach of events, and event organizers should raise the level of their production capabilities for hybrid events now, while demand for in-person is relatively strong. The virtual component of a hybrid event complements and is distinctly different from the in-person experience. It provides for additional customer touchpoints, promotes inclusivity, and can be used as a means of growing the audience for the live event experience for future events."

      It comes down to how low can you negotiate with the Hotel for your minimums.  Then market like hell to ensure you meet the minimums.  No matter what, you must budget for the minimum cost and go from there.  If you are worried that you won't meet your minimums before you even launch the event, perhaps a greater analysis of the event and its draw potential is in order.  Perhaps a lower cost or smaller venue and the costs it affords should be considered.

      Great Question Ashely! 
      Hotels look at what the RFP F&B needs and then determine the meeting space needed to host the event.  The F&B Minimum is based on what your needs are and what space the program requires.  It helps if you provide a F&B budget in the RFP.  The RFP can also ask hotels to make sure that the minimum does not exceed a certain budgeted dollar amount.  Another tip is to try to use the meeting space for meals as well, using less meeting space helps with lower minimums.   Take away here is to include the budgeted F&B spend in the RFP and ask hotels for creative menus and pricing.

      Abigail, there is one answer for this one. Houston, Houston, HOUSTON!! I start every client conversation with a Houston discussion. They are the one city bidding rates closest to pre-Covid levels. They have great hotels offering very reasonable rates.

      In the past, the hotels we frequented (and still do) agreed to room rates 2 and 3 years in advance.  The variables of food and beverage and A/V were left to market prices at the time of the events.  We considered this a win-win.  I am no longer intimately involved in our hotel contracting and am unaware if the hotels are still agreeing to this.

      The best way is to show flexibility!  Provide hotels with multiple date options and pattern shifts for peak nights. If the hotel understands the budget and planners are flexible hotels will work hard to present options that can work for the planner and the program that will be a win-win!

      We reached out to David Blansfield, Executive Vice President & Group Publisher, Northstar Meetings Group for your question.. here is his answer to your question- 
      That really depends on the type of event. Anecdotally, what we've heard is, that the more academic or content-centric the event, the greater percentage of attendees who will consider the cost/benefit aspect of traveling to and attending an event in person. The obvious question for these types of events is will they migrate completely to virtual, and forgo the live component? Costs and sustainability may play a role in the future of content-centric events/meetings.

      Where networking, motivation, collaboration, and sales are the primary purpose of the event, the less likely attendees will derive value from attending in-person. We're still hearing of unprecedented numbers of meeting stakeholders wanting to hold meetings and events in the near term. Some of our friends on the planning side are reporting to us that the flow of RFPs for meetings 2-8 weeks out remains heavy and steady. We'll see what the PULSE Survey tells us, as the next cycle goes live next week.

      Hallie, hotels first, when bidding hotels you can have the hotel price it with or without shoulders and then evaluate flights to determine what is best and then contract with the hotel accordingly!

      Elizabeth, this is coming up more and more, clients do not want to return to meetings "the old way" i.e., two days of General Session, a few breakouts, daily breaks, and a reception in a foyer. I have booked 200 groups in the last year, having a "unique" venue for a meal or reception has come up easily 20-30 times.

      I have so many requests for outdoor space.  (thankfully The Westin Tampa Bay has many outdoor options).  Tip:  Planners should always ask for what the weather backup space is for the event and be sure to approve that space

      Megan, this is a bit hard to gauge due to the war in Europe and issues relating to the airlines with cancellations. I get the sense that events are closer resembling pre-Covid patterns, so the events that were always domestic are still domestic. The hesitation with international would now be due to airline troubles and not Covid.

      On number 3: Clients are rarely interested in lowering attendees, and will always favor new dates, cities, or patterns. 

      On number 4: There is a mix of both, but in talking with 15-20 hotels per day, it is very clear that group business in all sectors is back or in the process of coming back in regards to the Fortune 500's. The companies that had not been sourcing for the most part are all now sourcing.

      #1.  The best way to find savings is to be flexible on dates, patterns and sets for meeting rooms. 
      #2.  If a planner is having to sacrifice, I don't believe any planner wants to reduce attendee counts.  First look at date shift and be flexible on peak night patterns this will allow you to achieve budget easier.​​​
