    Hello, Community members! We have some exciting news to share – on June 30 we will be hosting our next Ask the Expert session here in the Open Forum! We will have 4 fantastic experts from Cvent's Product Management & client services team here to answer all your questions on Monetizing/Sponsorship Opportunities for your Event through the Attendee Hub. Ask your questions and discover more about how the Cvent Attendee Hub can help you create sponsorship opportunities and drive revenue from all your events, whether in-person, virtual, or hybrid.

    Hi Megha, 

    I look forward to this Ask the Expert session. One question I have is if there is a plan to make the Attendee Hub more customizable like the Event Website and Registration are. I think it would be great if the footer could be edited in more chunks than importing a single picture (which is only moderately responsive) so that we can display our sponsors' logos at different sizes in a repsonsive way. On the Event Website, we can use the section column feature to somewhat control which size the pictures are. 
    Another great way we could do that would be to be able to make cards of different sizes on the Home Page of the Attendee Hub, so that we could either sell the larger cards more or include the larger card in the more expensive sponsorship packages.

    Hi Béline,
    Great questions! First and foremost we are continuously working on adding more customizable options to help differentiate the Attendee Hub experience for your events. While we don't have anything planned short term specific to the footer, we have heard similar feedback to enhancing the Sponsor cards sizes under the Sponsors section to reflect their tier. This is something thats up for roadmap consideration as we look to enhance the experience on that page. We are also constantly looking at opportunities to enhance the home page experience, so appreciate your feedback here, and something I will share with the broader team.
    Concerning more branding opportunities, we're going to be releasing new Expo page banner support in early July, that will support a number of image templates to create a more branded experience for specific exhibitors/sponsors from the Expo page. This will be a great tool for highlighting your top sponsors to drive more engagement.

    This is a great question that I hear often - the division of sponsorship between in-person and virtual. While this depends on the event characteristics I would imagine that in-person and sponsorship options are equally important in both scenarios. For example, you may have a gamification challenge specific to driving traffic to a sponsor booth in the tradeshow, and yet you may have an elaborate virtual booth online - both sponsorship packages can hold immense value to sponsors.  I would encourage you to look at sponsorship packages as options in order of exclusivity.  What I mean is that some sponsorship items like a listing in the sponsor list by sponsorship level - however a splash screen on the event app or a dedicated custom card may be available only to the highest level of sponsorship. By crafting your sponsorship packages with options in ascending degrees of exclusivity, you can begin to add in higher costs to your sponsorship level.

    So to reframe this, try looking at the sponsorship options for both in-person and virtual collectively and price them according to their exclusivity and value to your sponsors.

    Thanks for your question. Hotels can definitely help in your event planning and sponsorship process.

    1. They can not only support you as venue sponsors but also help advertise your event.
    2. Hotels can also help you build your sponsorship packages to make them more attractive for other potential sponsors
    3. Venues are also a great catalog for local vendors who can support your event
    4. Venues can also further help reach out to CVBs who can also be potential sponsors for your event depending on the size of your event. 
    Overall, venues/hotels can be great partners for your event who help not only manage/deliver but also plan your event experience.

    Hi Lori,

    Thank you for your question!

    When you set up an exhibitor or sponsor booth, you can choose to assign booth staff to the booth as well - this will display anyone you list as booth staff on the sponsor profile page when attendees click into it. If these staff are also speakers and assigned to a session, you can associate these sessions to the sponsor as sponsored sessions - this way, the sponsor profile will be linked at the bottom of the session details page, and the session will be linked at the bottom of the sponsor profile. You can also add the location of the booth (e.g. Booth #9) in the Exhibitor/Booth Location field when setting up the profile in Exhibitor Management.

    I have recently did an audit of Attendee Hub and there are about 30 different areas where you could place a sponsor logo and/or name for brand awareness.  Some are very obvious like sponsor listings. push notifications and sponsored sessions. Others are more obscure but still effective such as a 1-1 message to all attendees. Here is a list of sponsorship opportunities.  Please note this document will be updated soon with all the latest brand awareness opportunities available today in Attendee Hub - as well as some exciting new features that will be released very soon.  Look for it in the next week or two.

    We have this comprehensive guide on how to monetize different sections of the Attendee Hub for sponsors/exhibitors. To recap, there are several ways you can do this, and I've listed the methods I've found most valuable to clients below.
    • Selling a "Featured Sponsor" or "Featured Exhibitor" slot - if you mark an exhibitor/sponsor as "featured", a logo with a quick link to the exhibitor/sponsor profile will appear on the home page, allowing attendees easy access to their virtual booth from the moment they log in.
    • Offering sponsored sessions - if an exhibitor is assigned a sponsored session, their logo and a quick link to their profile will appear at the bottom of the session details page, below the description (again, featuring them on the session page and providing easy access to their profile for attendees).
    • Allowing them access to engagement reporting - you have the ability to allow exhibitors/sponsors to run a report of attendees who engaged or interacted with their booth, which is again something you can offer as part of a package.
    • Gamification - you can assign a higher point value for interactions with your highest tier of exhibitors/sponsors.

    Hey Robin,

    I just attended a conference where they did just this and I won 2nd place! All of the attendees got nice bracelets with QR codes on them and the exhibitors got phone looking devices that would scan our QR code. The QR code had all of our contact info on it, so the exhibitor got our info and were able to talk to us and we got 1 point for every vendor that scanned us. The conference had an app that all the amazing things you would want for a conference but it also had the Leaderboard so you could see who was winning! I thought it was really fun and it made me go and talk to vendors I probably wouldn't have.

    There are several options for gamification depending on what engagement features in the sponsor/exhibitor booth you choose to utilize!

    Here is a list of all actions you can include in a game that pertain to a virtual exhibitor/sponsor booth (also listed in this gamification article):
    • Join virtual exhibitor meeting - Click the "Meet Now" button on an exhibitor profile page to join the exhibitor's virtual meeting
    • Open exhibitor document - Open a document on an exhibitor detail page
    • Open exhibitor link - Click a weblink on an exhibitor profile page
    • Submit an inbound lead - Click the "Contact Us" button on an exhibitor profile page to send a message to the exhibitor
    • View exhibitor list - Navigate to the list of exhibitors
    • View exhibitor video - Play a video on an exhibitor profile page
    • View virtual exhibitor booth - Access an exhibitor profile page
    • Visit exhibitor social media/website - Click a social media link on an exhibitor profile page
    • Note: you would need to enable exhibitor engagement features to assign points for joining virtual meetings or submitting inbound leads. You can also choose which exhibitor or sponsor booths these features display on, and attendees will therefore only receive points for these actions if they're engaging with those specific exhibitors/sponsors.

    As with any action in the game, you can choose how many points an attendee receives for taking a certain action (e.g., you can set this up so that an attendee receives 10 points for every time they watch an exhibitor video, allowing you to weight some interactions as more important than others). Additionally, you can choose which exhibitors or sponsors you'd like attendees to receive points for interactions with. For example, if attendees should receive more points for your highest tier of sponsors, you can select that and configure the game this way during setup.

    Thanks for your question. Exhibitors and sponsors can access the exhibitor portal. The exhibitor portal allows them to manage their profile, add team members as booth staff, add content for their virtual booth and allocate licenses to gather leads if they are using LeadCapture.

    Additionally, if they are scanning leads onsite, sponsoring specific sessions, or simply want to know who's engaged with their brand, we support detailed engagement reports available via the Exhibitor Portal.

    Hi Bouran,

    There are many fun and exciting ways to create sponsorship opportunities, here are some of my top picks:

    1. Create a pre-event gamification challenge that awards points for answering surveys, or making appointments.  Winners get VIP treatment with front-row seats or get to have free lunch with the CEO  during the event. Attendees love it and the cost is minimal.
    2. Create a custom challenge that involves the sponsor directly.
    3. Hold a sponsored session but let the sponsor present or even moderate. They could also hold the QA session at their booth - which involves them directly
    4. Create video advertisements before virtual sessions that features your sponsors
    5. Create a custom card that features an event-only promotion of your sponsor. 
    It can be very valuable to craft interactions and sponsors and attendees and Attendee Hub offers lots of ways to do that with gamification, and custom cards!

    Hi Paige,

    Sponsors can be differentiated in a number of different areas throughout the platform from exhibitors. On the home page, sponsors can be featured directly via the banner image, featured sponsors section or by using custom cards. These custom cards can be videos or links and can be scheduled to display at different times of the event. Attendee Hub also has a dedicated Sponsors section which will order them based on their sponsorship tier. Sponsors can also sponsor sessions to have their logo presented under the sessions list & session details pages. Exhibitor Categories can also be leveraged to group Sponsors together to differentiate them from the other Exhibitor groupings. Finally, we'll be releasing new Expo page banners in early July that will allow you to promote top sponsors over exhibitors at the top of the Expo page for attendees to view and engage with. Hope this helps!

    We have this comprehensive guide on how to monetize different sections of the Attendee Hub for sponsors/exhibitors. To recap, there are several ways you can do this, and I've listed the methods I've found most valuable to clients below.
    • Selling a "Featured Sponsor" or "Featured Exhibitor" slot - if you mark an exhibitor/sponsor as "featured", a logo with a quick link to the exhibitor/sponsor profile will appear on the home page, allowing attendees easy access to their virtual booth from the moment they log in.
    • Offering sponsored sessions - if an exhibitor is assigned a sponsored session, their logo and a quick link to their profile will appear at the bottom of the session details page, below the description (again, featuring them on the session page and providing easy access to their profile for attendees).
    • Allowing them access to engagement reporting - you have the ability to allow exhibitors/sponsors to run a report of attendees who engaged or interacted with their booth, which is again something you can offer as part of a package.
    • Gamification - you can assign a higher point value for interactions with your highest tier of exhibitors/sponsors.

    Hi Cassie,

    One of the main benefits of Attendee Hub is that regardless of the event format (in-person, hybrid or virtual), sponsors can continue to find value in many of these sponsorship opportunities provided. Specifically as events take place in-person again, once an attendee registers, Attendee Hub & Event App will continue to be the primary platform for driving attendee engagement for your event.  This will certainly continue to be the case as we invest in more sponsorship and monetization opportunities in the Event App. During the 2nd half of the year, we'll be adding new enhancements such as Expo page banners, exhibitor videos, exhibitor booth banners, & image support for Category cards in the Event App. All of these enhancements will provide a more consistent experience with Attendee Hub web, and again ensure that we can offer valuable sponsorship opportunities, especially as events return to onsite.

    Hi Amie,
    I think you will want to create sponsorship opportunities that revolve around interactions with attendees. This takes conversation towards sponsor value instead of cost - where your finance departments are mostly concerned. Emphasize the value in terms of brand awareness and lead generation opportunities and hopefully, you can draw an internal line between cost and value.

    From a hybrid event perspective, there are a number of great opportunities that can help sponsors increase their brand awareness. Certainly one of the most visible opportunities is to offer sponsorship placement on the homepage to drive engagement from both virtual and in person attendees. This could come in the form of custom cards, or being placed as a featured sponsor. Also being able to sponsor specific sessions and have their logo appear directly in the session list and on the details page helps promote their brand to all attendees of a hybrid event.

    With our Attendee Hub engagement reports, Sponsors can view this engagement data directly from our Exhibitor Portal to help justify the value and prove ROI for those placements. Coming early July, we are excited for our new Expo page banner release that will allow you to promote top tier sponsors with different image templates and custom calls to action. Im confident this will be a very popular sponsorship opportunity for hybrid events.

    Hi Katie, 

    That's a great question. Sponsorships are investments and the best way to attract an investment is to showcase ROI. Here are a few ideas to consider: 

    1. Communicate your event demographic - Your event has a key demographic. Look for strong sponsors that align with your events and bring something new to the table.
    2. Provide and communicate clear measurable metrics: Here are some parameters that you can look at measuring
      • Number of Attendees
      • Social Media Reach
      • Leads Captured
      • Brand Awareness
      • Direct Audience Engagement
      • Survey Results
    3. Different packages for different needs: Put additional thought while creating your sponsorship packages and create a list of benefits for each. This will make sure you are able to diversify your sponsorship offering and that sponsors are able to derive value from it. 
    4. Market in advance and communicate: Make sure you make room for enough lead time in your event planning process for selling sponsorship opportunities. This gives potential sponsors time to make a decision and definitely saves you some anxiety.
