    Hello, Community members! We have some exciting news to share – on May 25th we will be hosting our next Ask the Expert session here in the Open Forum! We will have 3 fantastic experts from Cvent's Product Management team here to answer all your questions on the digitalization of the In-person event, what tools are most effective in engaging audiences pre-and/or post-event, how to successfully integrate digital and in-person experience, how technology incentivizes audience behavior, how to keep attendees engaged once they head home and more.

    Our attendee pool tends to skew older and we can have a hard time getting them to adopt new digital technologies at our meetings. What are your recommendations for introducing attendees to these new advancements in a way that is not overwhelming and will increase the likelihood of adoption of digital tools.

    Hey Jessica, thanks for joining today's session. We've definitely heard the scenario before. Not all events or their attendees are the same so we do our best to provide customization options throughout Cvent that allow you cater your event to your unique audience to ensure they can get use out of the platform. My best advice is to keep it simple to try and ease your attendees into these technologies. Keep the navigation and items on your event website simple and minimal and the same goes for registration. The more decisions presented and paths they can take, the more complex and overwhelming it may feel. If you're using Attendee Hub the same advice applies there too. You can design your home screen to have simple links to each area of the app so that when they open the app they see what they need right there.  Attendee Hub also allows attendees to open the app and get straight to the content without requiring login up front. Cvent can also help you provide custom tutorials and videos for your attendees that you can send to them to get them more comfortable using these technologies. I hope this info helps!

    Hi Jason,

    I'm curious about your sentence, "Attendee Hub also allows attendees to open the app and get straight to the content without requiring login up front."  This was one of the biggest complaints I heard during my last major event.  Staff and attendees felt that it took too long to log in to the Attendee Hub to find information like where a session is being held or what time a session starts and ends.  How can an attendee get into the Attendee Hub without logging in, and what information is available without logging in?  Per some conversations with my customer account team, I was under the impression that attendees must log in before they can access any information.

    Hi Jess, thanks for the followup! I was referencing the Attendee Hub Event App experience here. The app has the option to allow attendees to open the event without requiring login initially. In this scenario attendees can access most of the event content, like the schedule or list of speakers and sponsors. They can also view any custom pages or other links  added to the app. Login is only required once the attendee needs to take a specific action in the app that is tied to their particular user so that their information is saved, e.g. adding an item from the schedule to their personal schedule, or if they need to access or interact with other attendees at the event. I hope this info helps!

    Hi Lori,

    Thanks for the question!  We are actively exploring and currently support a number of ways to leverage the Event App and our other technologies to increase physical engagement while onsite. 

    For example, we currently support the use of RFID tracking utilizing OnArrival that can track participation, booth visits, and attendee locations utilizing the combination of name badges with RFID trackers and overhead readers - we typically see this technology being more reliable than the Beacon technology that has been leveraged in the past.  On similar note, we are also actively exploring adding fun, engaging activities such as an embedded QR Code scavenger hunt to help incentivize various activities while onsite.

    I like to think of Attendee Hub as this kind of digital mesh that ties your event audience to the content and to each other.  It can stay open days, it can stay open weeks, or even months leading into your event. This lets you deliver that key content to those that have already registered for your event, and it can stay open for longer, after your event as well and you can continue to foster those connections.

    Here's a fun fact: at Cvent Connect US last year, 40% of our Attendee Hub interaction took place BEFORE the event started or AFTER it ended through on-demand content.  So use that to think about how you can build that engagement so when they get onsite they are already excited, maybe with birds of a feather meetups or speaker/session hype videos.  And then after, how can you keep that momentum you built up at your event to keep them engaged with on-demand sessions they missed, or additional networking/break-out opportunities to reflect on their biggest takeaways?

    Hi Rebecca. Thank you for joining today's session! We're really excited about the possibilities with Audience Segmentation in Attendee Hub. Currently you can use audience segments in the page visibility settings within Attendee Hub. This allows you to create an event experience that is unique to groups of attendees at your event. For example, you may have staff or VIP's, or other groups of attendees attending your event and you can create custom content that is only for them so that when they log into Attendee Hub they will see that custom content, but others may not. This functionality was existing through the use of Registration Types and Admissions Items, but now with Audience Segments there's a lot more flexibility because Attendees can be a part of many segments so if you have a particular attendee or group of attendees that fall into multiple types of groups your want to create custom content for, now you can! We're also planning on expanding the use of segments to allow more areas of Attendee Hub to be personalized, e.g. specific Discussions topics, or different Games per group. I hope this info helps!     For those that attend virtually do you send them any of the goodies that the in-person attendees get? What if there was an option for the virtual attendee to purchase the goodies that would be given to those attendees that paid more, to attend in person?

    Absolutely, we can't forget about our virtual attendees! They should feel just as involved as the folks there in person. Sending them "virtual goodie bags," full of cool digital perks or even physical items, can make them feel more connected.   

    If you did it before the event, then they could have their swag/goodies before the in-person attendees which gives them a little bit extra love and can even help boost promo and buzz before go live!

    I love the idea of sending or providing them the same goodies as the in-person crowd, but I am not sure I would charge them.  These "goodies" are often supposed to feel like a gift, or token from your brand to them, so having them buy them feels a bit strange.  

    I did see a GREAT idea one time where someone gave attendees "tokens" and then they could choose things from a swag/goodie store. They had a little pop-up shop on site, with some higher priced items, in-case the in-person crowd wanted to buy more.  This could translate well into having two different "goodie pop-up shops" one for virtual and one for in-person, with some of the same items but you could manage the token quantity.

    Thanks for the question!  You're of course not alone, this is a tough problem to solve.  In addition to the follow-up email that you're currently sending, here's a few other recommendations that we have specifically leveraging the technology:
    -Increase visibility of the Survey card on the Event App home screen by strategically scheduling it to appear at the top during the times when you want to drive responses
    -Pre-schedule Event App push notifications that directly link to the Survey page
    -Announce that a feedback survey is available at the end of each Session combined with those scheduled push notifications and emails
    -Create a banner within the app that encourages sharing feedback with a link directly to the Survey page

    Is there a way to monitor virtual attendees to see if they're actively in the internet tab with Attendee Hub during sessions?  We don't want virtual attendees to tune out sessions (or worse, open up the session and have it playing on mute in the background while they work on other things or are out of the room) if we're giving credit for them attending.  Is there a good best practice to show they were more or less present?

    Hi Julie-Michelle,

    Thanks for the question!  While we don't currently have a way to track specific browser tab focus, this is very common feedback that we've been hearing, specifically for training-style sessions that award credits.  We are therefore exploring ways to provide this type of functionality - in the meantime, we do have a Duration Tracking feature that can be used to track how long the attendee is watching a session in order to report back to see if the entirety of the session was watched.  This can track across viewing sessions as well to ensure that, even if someone leaves and comes back, it will track the number of minutes the attendee viewed.

    Hi Colleen,

    Thanks for the questions!  At this time, a work around is to use the "print page" option in your browser where you are viewing the proposal, then save the page as a PDF.  Later this year, we will be releasing an easy way to share proposals with a secure URL, which will allow the recipient the ability to view the proposal with the same rich content in the proposal, like videos, that don't translate well to a static format like PDF.

    Hi Lauren,

    Thanks for the question!  While the contact merge process is manually done from the Contact list, I think it's important to attempt to prevent these duplicate contacts from being created in the first place in order to avoid the need for this merge.  Our system leverages Email Address as the unique identifier so as long as attendees use a consistent email address across events, the system will be automatically able to use an existing contact. 

    Some recommendations I have are, sending Email Invitations to attendees since the system will pre-populate their personal information during registration rather than requiring manual entry, adding help text to the registration page to encourage the use of a specific email (i.e. Please use your work email address), and creating invite-only events, where applicable (so that the system only allows specific email addresses to register.  Similarly, if the event is internal and all attendees therefore utilize a common email domain, we can place restrictions on the allowed email domain without making the event invite-only (i.e. only cvent.com email addresses can be entered).

    Hi Carli,

    Thanks for the question!  Depending on the types of insights you are looking for, there are a number of ways to do this that will best feed into data that can be used to best cater your event to your attendees' interests.  For example, asking very targeted Registration Questions on topic interests and "pre-feedback" on what attendees would like to experience can be extremely valuable.  The system can also cater these questions to be different based on the registration type of the attendee to better refine that survey data.  We then have specific reporting that can measure the sentiment of those responses.  Similarly, we have a cross-event Tags and Attendee Interests feature that is currently being developed so that we can use those topic interests to feed our recommendation engine when using Attendee Hub.

    I'm going to dive into the first part about getting emails opened, because no one reads your amazing content in your e-mail if they don't even open it! 

    Play around with words that spark curiosity, and create maybe a sense of exclusivity (people love feeling like they are getting something special).  A good emoji in your subject line has proven to increase open rates. But if that's not your style, maybe play around with capitalization, changing it up to make it a bit more interesting. And make sure your subject line and preview text have an actionable feel to them.

    My favorite email subject line guru is Jay Schwedelson, he has a great newsletter and posts great info on LinkedIn on monthly trending subject lines and other really cool email tips.  So check him out!

    How often you poll your audience at a show, or even before and after the event, really depends on your audience and what the event's all about.

    Generally speaking, a poll for each session is a solid move. It gives your audience a chance to get involved, which usually makes them feel more invested. But, you can always play around with this a bit - if your crowd is more tech-savvy, (or opinionated) they might appreciate a few extra polls. It also depends on how you structure your content, maybe you are aiming for more collaborative sessions with the audience. 

    If you are firing off a handful of polls per session make sure you are giving them something in return for answering them.  React to the results, use the polls to dictate the topics being discussed live.  That's also how you will get people to adopt and participate in the polls too! 

    Now, about this idea of polling before and after the event. Honestly, it's brilliant. If you are doing a sort of "know before you go" kick-off, or on-demand session it this would be a great time to incorporate some polls. This can give you valuable insights about your attendees before they arrive, what they are excited about, what they want to see, and so on. You can use this info to fine-tune your event or even craft some personalized experiences for your attendees.

    In the end, it's all about understanding your crowd and your event. Tailor your polling strategy to those factors, and you're on the right track.

    I love the idea of pre-event polls!  What method would you recommend for getting those polls out to attendees?  Do you schedule a pre-event session and link the poll to the session, or is there a way to link a poll to a pre-event email so that attendees can answer the poll directly in the email, or be directed to a poll via a link in an email?

    Hi Jess, one of the easiest and best ways to do this is directly in Attendee Hub. You can actually set up your polls there and open them up early, even before the event officially kicks off. This way, attendees can start engaging right away. It also keeps everything in one place and helps teach your attendees that this Hub is really the place where all the magic happens.  Helping drive this fact for them will ultimately make it easier for you to manage and for your attendees to engage.

    When we're talking about measuring audience engagement at events, there's a whole bunch of key metrics that really count.  Here are some of my faves: 

    • App/Platform Usage: Check how many attendees downloaded your Attendee Website and Event App, how often they interacted with it, and what they interacted with. 
    • Content Consumption: If you have downloadable content or on-demand videos, track who's downloading or watching and how much they're consuming.
    • Session Engagement & Audience Participation: This can include a bunch of things like session attendance, trending sessions, or the length of time attendees stay in a session.  And look at how many people are participating in Q&As, polls, or interactive sessions. This can be a good measure of active engagement.

    Every event is unique and goals are different, so what matters most might vary a bit for you.

    Hi Carrie,

    Thanks for the question!  We have a number of ways to leverage our technology to track onsite attendance - most of which leverage our onsite solution, OnArrival.  Using this technology, we are able to easily track session-specific attendance via different methods depending on the resources you have at your disposal onsite.  First and foremost, we recommend leveraging name badges to facilitate this tracking that either contain a QR Code or RFID tracking chip, both of which can be generated using the Cvent platform.  From there, we can then have physical staff members scan badges (using devices with the OnArrival app installed) or setup overhead RFID readers that automatically track attendees as they cross the threshold.

    For more self-service options, we can leverage OnArrival's Kiosk Mode to have attendees scan themselves in (again using tablet devices with the OnArrival app installed) or manually check themselves in by searching - although the latter option is not ideal for large, General Sessions.  Similarly, for smaller, training-style sessions, the Attendee Hub Event App contains a self check-in feature that allows an attendee to enter a code or scan a QR code to check themselves into a Session.

    Hi Judy. Thanks for joining today's session. The best way to think about "digitalization" of an in-person meeting is the technology for attendees during that event and the best example of that is the Attendee Hub Event App. From the app they can access everything they need about the event and so much more. They can view their schedule, find out where their session is, answer surveys, or ask live questions or answer polls during those sessions they attend. They can also engage directly with other attendees through messaging, connections or discussions. Planners can also easily reach out to their attendees with important info through push notifications in the app as well.

    That's just s short list of the possibilities. There's so much more the Event App can do for these in-person attendees. We have a couple dedicated sessions on this subject coming up at Cvent Connect, both in-person or virtually that can definitely provide you with more info too.

    Love this question, it's definitely important for venues to think about what digitization means for in-person events.

    You'll need to expect new demands, like substantial bandwidth requirements to accommodate heavy Wi-Fi traffic from attendees, especially as event organizers are going to be relying on a strong internet connection for their event app usage and online activities. Security should also be a big priority, especially when it comes to internet and Wi-Fi access. Event planners want to know that their attendees can connect quickly and safely, regardless of the event size.

    AV (Audio-Visual) is also super important. Lots of times they are going to want to record, maybe even stream and be able to display audience poll results or Q&A live on screens in the room. So, being prepared with an AV and tech program can put event organizers at ease and help give you a leg up.

    It's all about anticipating the new tech needs, and being ready with answers about your venue's capabilities can greatly help event organizers.  You can take charge in asking them these questions, its a new learning process for both sides, so maybe they haven't even thought about these things yet!
