  • 1.  Using Seating Charts to Take Session Attendance #CventHack

    Hi all! 

    Just wanted to share a #cventhack we used at a recent event! 

    My unit is currently using Cvent's Registration and Event Diagramming tools, but not OnArrival. However, we needed a way to not only track check-in to the overall event in the AM, but do a recheck during the day as to who would stay for dinner so we could move people off the dinner waitlist. 

    What we did is we used the Event Diagramming check-in feature for the overall attendance, and at that point we asked "Will you stay for dinner?".

    • If the answer was yes, we changed the seat assignment pastille from default grey to green.
    • If the answer was no, we changed the seat assigment pastille from default grey to red.

    Throughout the day, we changed those pastilles as needed. As evening drew near, the development team (this was a donor event) kept refining and reshuffling seating as needed. During the reception, we asked people to check-in again and started handing out table numbers, updating the pastille to blue to indicate that that seat was now fully locked in. There was also a point where we released seats of folks who hadn't checked-in at all to the event (no-shows). 

    I hope this gives some folks ideas on how to stretch the use of Diagramming!
