    Hey all the lovely members! We are back to start Monday with the next edition of the Huddle of the Week post.

    We are slowly getting on track with more hybrid and in-person events. However, the ease and flexibility of remote meetings and events are here to stay. The virtual meeting landscape requires a perfect set-up to have minimal interruptions and good event technology, among many other factors. In today's discussion, we'll talk about key engagement tactics for hosting great and efficient virtual meetings.

    Let's dive in:
    • Online meeting event tools: Virtual events rely on technology. Attendance wouldn't be possible without the use of computers and mobile devices. But there's more to virtual event technology than video conferencing tools. Just like an in-person event, virtual events benefit from the use of an entire event technology platform that helps you promote, execute and manage your event. Below are the most important pieces of event tech to use when executing your virtual event.
    • Maximize engagement with special features: Keynotes, while viewed individually, can employ live polling to engage attendees. Sessions can still involve live Q&A. With messaging capabilities in a mobile app, attendees can meet each other virtually and set up meetings. As always, social media is a great engagement tool to leverage. Utilizing an event hashtag and having attendees post pictures of favorite takeaways from the day, office setups, and more can make attendees feel like they're part of a community.
    • Networking and Connecting During Virtual Events: There are many possibilities to explore networking opportunities during virtual meetings and events. A mobile event app, whether used on the phone or in a web browser, can connect attendees and provide a messaging system. Once attendees connect on the app, they can schedule one-on-one appointments with each other, exhibitors, or sponsors. Consider providing dedicated networking time to encourage attendees to meet. Using registration data, link attendees with similar interests and set up group chats and breakouts. You can also facilitate networking through video calls, chat groups, and appointments.

    Think one of the best practices is to realize just because its virtual doesn't mean its easier. All those little details you'd put into an in-person event need to be present on the virtual platform. To figure out ways to engage in corporate missions like donating back to communities (we once on a virtual event offered a  'selfie' booth and for every photo taken and posted to social media we planted a tree), bringing in entertainment and breaks into the day.

    We find allowing people to network and interact with another is a great engagement hack.

    What are some of the best practices for those pivoting to a virtual event platform?
    • I would suggest to test, test and retest before the big day! A lot of unexpected things can happen, especially with technology. Just make sure that your equipment has been doubled-checked and that the battery is full.
    • Also, make sure that participants have a tutorial available for them or that you offer some training if needed. Even if you're used to a platform, someone might not be. You don't want your speaker to not be heard!
    Which remote meetings engagement hack has worked for you?
    • I've never had to do remote or virtual events, so I'm curious to read others' hacks!

    Engagement can be harder to achieve when going virtual since we know that attendees are likely multi-tasking, and may not be fully "present". So it's key to make your presentations short, pertinent, and have lots of moments that ask attendees to participate - polls, quizzes, multimedia, etc.

    Best practices for pivoting from in-person to virtual is to communicate. Be sure all attendees know where they need to go to access content on the day of the event. For remote meetings, using polls or other interactive tools helps keep the audience engaged.

    • Which remote meetings engagement hack has worked for you? Simple and straightforward. Our webinars are usually only 60 minutes in duration so we keep everything streamlined for our attendees so they are not overwhelmed. One registration confirmation, one pre-day event reminder with links, and a one hour event reminder with links again. Then we post our On Demand link within 24 hours.

    • What are some of the best practices for those pivoting to a virtual event platform?
      • Ensuring that everyone has the proper access long before the actual event. 
    • Which remote meetings engagement hack has worked for you?
      • I attended the CVENT Connect virtually and I loved getting points for participating, I'm very competitive and by learning and engaging I earned points. To me I think that's really smart to get participants to be paying attention and not multi tasking.

    What are some of the best practices for those pivoting to a virtual event platform?
    • Provide presenters with direction on how to present in the platform and the chance to practice presenting so that they understand what the experience will be like on their end.
    • Provide clear direction on presentation requirements such as use of video, slide animations, who will share/click slides. 
    • Provide attendees with "housekeeping" on how attend the meeting especially if there are interactive elements like polling or Q&A.

    Some of the best practices we have seen include the following:
    • Checking in during the event for engagement. Ask questions, submit polls, check to make sure that your people are with you still. It's so much easier with virtual events to 'check out' so checking in with people keeps them going.
    • Make sure your content is interesting! 
    • Treat virtual meetings the same as in-person.

    What are some of the best practices for those pivoting to a virtual event platform?
    • Make sure there are clear platform instructions for attendees. 
    • Be prepared to troubleshoot an hour to 30 minutes prior to the beginning of your event.
    • Look for ways to engage attendees, using polls, Q&A, gamification.

    • Offering events with engaging breakouts.
    • Frequent breaks to prevent screen burnout.
    • Sending UberEats or GrubHub prepaid codes for lunch for those attending.
    • Sending Starbucks prepaid cards for coffee breaks for those attending.

    • What are some of the best practices for those pivoting to a virtual event platform?
      • Have support staff test everything. Even a virtual production run through is very helpful to make sure everyone can login, understands the processes, etc.
    • Which remote meetings engagement hack has worked for you?
      • The standard gamification and "spin the wheel" has been the best go to's I have seen.
